CHECKLIST - SEAFARER JOINING VESSEL
ARRANGE THE DOCUMENTS ACCORDING TO THE LIST BELOW
REMOVE STAPLE WIRES AND PAPER CLIPS
Cover Letter - can be printed from the Application Portal (if application has been successfully registered online)
*Schengen Visa Application Form- completely filled out and signed by the applicant
This form must be included in the application if the seafarer will join at Faroe Islands or Greenland .
One (1) passport sized photo with white background and not older than 6 months.
Edited photos are not accepted.
Paste your photo (do not staple) on the upper right corner of the Cover Letter.
Original passport (valid for at least 3 months after departure from Schengen)
Valid passport must have at least 2 unused pages (if approved, the visa will be affixed on said page/s)
Original Seaman's book
Original Guarantee letter from local manning/crewing agent
Original Guarantee Letter should be submitted along with the application, not to be sent directly to the Embassy.
If the seafarer is covered by a Travel Medical Insurance (valid for all Schengen States / Europe / Worldwide with
a minimum coverage of 35 000, EUR-), this should be stated in the letter from the Employer.
Letter of invitation from the principal in Norway /Denmark/Iceland/Finland/Estonia/Sweden indicating the
seafarer's name, date of birth, place/name of port, name of vessel and date of joining.
Invitation should be written on the company's letterhead and duly signed by the authorized representative from
Norway/Denmark /Iceland/Finland/Estonia or Sweden.
The invitation should be submitted along with the application, not to be sent directly to the Embassy.
Photocopy of Contract of Employment signed by both employer and employee (signed and stamped by POEA)
Photocopy of Overseas Employment Certificate (OEC).
Photocopy of Airline Ticket Reservation
APPLICATION PROCEDURE
1. Register and pay the application fee via Application Portal Norway.
2. No need to book an appointment.
Seafarers are welcome to apply between 8am to 10am, MONDAY to FRIDAY.
3. Seafarers must come in person to submit the application for biometric data registration at the
21st floor, Visa Section of the Norwegian Embassy.
PROCESSING TIME
>Visa can be processed for 1 to 2 days from the date of submission.
If the application is URGENT, attach a letter of request (from the Company) to expedite the processing.
For Seafarers that are going to the Faroe Islands or Greenland, the application will be forwarded
electronically to the Danish Immigration Service for decision. Processing time is therefore longer
(4 to 6 weeks). The applicant will be notified as soon as the decision is received.
