Addendum 1 for RFCSP 029-17 Produce for Child Nutrition Services
The following items clarify the plans and specifications and shall become a part of the contract documents.
Persons wishing to submit Proposal 029-17 Produce for Child Nutrition Services will have until 2:00 PM CST,
May 4, 2017 to submit their proposal in writing to Shelley Freeman in the Purchasing Department at 3124 Carson
Street, Haltom City, TX 76117. Only sealed proposals will be accepted. Faxed, emailed and/or late proposals
will not be accepted for any reason.
Answers to questions and clarifications are made in the below sections. Clarifications are bolded and
underlined:
DEFINITIONS
1. TRUE COST is defined as cost paid by supplier to wholesaler and includes FOB pricing plus
freight. Under no circumstances may any additional cost of doing business by included in TRUE
COST.
2. FIXED FEE is defined as a fixed price to deliver the items specified for the contract period each
year. FIXED FEE may be changed at time of yearly renewal.
3. WEEKLY PRICE QUOTES will be the TRUE COST plus FIXED FEE for the next week’s
delivery to BISD.
DUE DATE CHANGE
Sealed RFCSP’s will be received in accordance with the attached specifications. The sealed envelope
containing your RFCSP should be plainly marked with the RFCSP title, number, and opening date and time.
RFCSP’s are publicly opened and you are invited to attend. Mail or deliver complete RFCSP packets to
Birdville ISD, Purchasing Department, 3124 Carson Street, Haltom City, TX 76617 by May 4, 2017 at 2:00
p.m. CST.
INVOICING
Terms of payment to the successful Proposer will be contingent upon the terms offered based on invoices
submitted to and approved by the District for payment. Invoices shall be in accordance with the individual pricing
for each item.
Invoices will be paid upon completion of delivery and acceptance. Invoices must reflect only the amount due for
goods or the portion of the services performed, materials and equipment furnished for the period covered by each
invoice. Invoices shall be priced per unit prices as awarded.

AUDIT
Birdville ISD reserves the right to audit any and all invoices to verify TRUE COST. In the case of an
audit deficiency, the vendor will be required to reimburse BISD for any overcharge. In the case where
the vendor may have undercharged, BISD will not be liable.
PRICING
Replace Proposal Pricing Form with the attached document. Note that pricing is now requested using the
FIXED FEE and TRUE COST method as described in the definitions above.
