Letter to Coaches - Rock Valley College

Monday, January 30, 2017
Hello Coaches!
Important Notes
 Please reply to this email immediately indicating that you received it. Thank you!
 This email is being sent only to head coaches. Please forward as needed.
 Oral Registration information can be found below.
As we do each spring semester, the Rock Valley College Mathematics Department is getting
ready for the Region 16 ICTM High School Mathematics Contest on Saturday, February 25 at
Rock Valley College’s Main Campus. We have a total of 29 schools registered for our site.
Once again, this the most of any of the 21 regional sites! Because of some new room
configurations, I ask that each school bring one person to serve as a proctor. We won’t need
the typical 2 proctors from 3AA and 4AA. If you have someone that you would like to train as
a proctor, bring them along!
I will post all information about the contest on the web site:
http://www.RockValleyCollege.edu/ictm
Please check this web site periodically for updated information. It contains links to
information such as the detailed schedule for the day, oral competition registration
information, etc. If accessing the web site is problematic, I can mail information to you. I will
assume, however, that you will be going to the web site unless you let me know via phone or
e-mail.
Division A schools will begin the first period (written events) at 10:00 a.m., and the Division A
awards will be given from 2:00 – 3:00 p.m. Division AA schools will begin the first period
(written events) at 11:15 a.m., and the Division AA awards will be given from 3:15 – 4:15 p.m.
You will probably want to arrive at the college 20-30 minutes early, so that you can find your
school home area (locations are posted on the web site) and your students can find their
testing rooms before the starting time. The written events will begin promptly, even if there
are teams which have not yet arrived.
Division A coaches and proctors should report to Room 1104 of the Jacobs Center for Science
and Mathematics at 10:00 a.m. Division AA coaches and proctors should report to Room 1104
of the Jacobs Center for Science and Mathematics at 11:15 a.m. Testing envelopes for 2person, 8-person, and Calculating events will be distributed at those times.
You have been asked to complete your roster form online by noon, Friday February 17,
2017. You will not be able to enter roster information online after that, but you will be able to
make changes (a small number, if possible) on the morning of the contest once you arrive. If
you know you have roster corrections during the week before the contest, you can send those
to me via e-mail before 5:00 pm Friday, February 24th. This will allow me to enter the changes
ahead of time and eliminate some of the chaos on Saturday.
If you have an entry for the Oral Competition, in addition to entering them in your online
roster, you must complete the registration form found on the website. Be sure to use the
correct version (A vs. AA). The form asks for the name(s) of the student(s) and the other
event(s) in which the student(s) is (are) competing. If your oral team can compete before the
written events, please let me know this as well. I must have this information by February 15 at
5:00 pm. If you do not submit an oral registration form by the deadline, your oral team may
not be allowed to compete. This will allow me to complete the scheduling of oral judges. I will
send a note of confirmation indicating that I received your registration. I will try to
accommodate all scheduling requests; however, if too many teams request the same period, I
will have to use a lottery system to determine scheduling. I will post the oral competition
schedule on the website on or before Monday, February 20th.
It appears that Subway and Papa Johns will have food available on the 25th. There is a link on
the website for this information that will be entered as soon as I get confirmation from the
vendors. Please inform your students that there are classes in session at RVC on Saturdays, so
the amount of noise in the classroom buildings needs to be minimized.
One final note – the trial rule change in the oral competition (in which both students were
allowed to present for both parts of the competition) has been made permanent. Although it
is not a change, there has been some confusion in the past about calculator usage during the
oral competition. Calculators are permitted during the preparation time and the 3-minute
extemporaneous judges questions. They are not permitted during the 7-minute presentation.
I look forward to seeing you February 25th. Thank you for all the work you do with your
students!
