Thank you for considering our Club for your special event. Grey Oaks
Country Club, our staff and the management are committed to offering you
and your guests the finest service, as well as the highest quality and unsurpassed
cuisine in Southwest Florida.
We invite you to tour our facilities with a member of our professional staff to
explore our venues available to personalize your event.
We encourage your ideas and input in the arrangement of your event. In
addition to the variety of menus and packages we offer, our Chef will gladly
create or customize a menu to make your event a memorable and cherished
experience for years to come.

MEMBER PRIVATE EVENT INFORMATION
It is the policy of Grey Oaks Country Club, to serve our members on a daily basis in our
regular food and beverage operation. Private events are booked when they can be tailored
around the normal operation of the food and beverage department, so as to not interfere
with our members.
PRIVATE EVENT LOCATIONS AND SET UP FEES
All private events catered by Grey Oaks Country Club must take place on club grounds or at
a residence in Grey Oaks or the Estuary. Due to insurance issues we are unable to cater offsite for residents outside of Grey Oaks. The following is a list of approved event locations
and set up fees.

EVENT SPONSORSHIP
A private event may be hosted at Grey Oaks Country Club by a member in good standing
and that the member agrees to be in attendance. All members must fill out a private event
approval request form that will be processed by the Board of Directors. If the function is
approved, the Director of Catering will notify the member.
Examples of events that may be booked include: Gatherings of friends, weddings for family
members, entertainment for employees of a Grey Oaks Member, and non-profit groups
where the Member recognizes the cost of the party as a tax deductible donation to the group
with invitations being sent by the Member and not the group being entertained.
Alumni association events are permitted at Grey Oaks when the Member is responsible for
all charges related to the event. The member may be reimbursed for the charges related to
the event.
No Member will be permitted to have a party at the club that is other than a social function
or that is a commercial business endeavor in any manner.
EVENT ROOM USAGE
For any scheduled outdoor event the Club will provide an in-door function location for use
as a backup in the case of inclement weather. The decision to move an event in-doors due
to inclement or pending inclement weather is the responsibility of Grey Oaks Country Club.
The reassignment of meeting and dining room space due to an increase or decrease in guest
count remains at the discretion of Grey Oaks Country Club.
MENU SELECTION
To assure the very best quality of food and service for dinner parties of twenty (20) or more,
we require you select one menu entrée for your entire group. For groups less than twenty
(20), the host may choose two (2) separate entrees for the event. However, all guests must
be served the same appetizer, salad and dessert.
*For weddings or other large events, two different entrees may be served, as long as Grey Oaks Country Club
is given three (3) business days notice of quantities of each chosen entrée. Attendees must have name or place
cards to differentiate which entrée is to be served so we can offer more efficient service.
FOOD & BEVERAGE REGULATIONS
Grey Oaks Country Club does not allow any Food & Beverage, other than Wedding Cakes,
to be brought in from the outside due to city, state, health and liquor laws. Should you elect
to have a cake provided by an outside vendor, the Club does charge a cake cutting/serving
fee of $2.00 per person. The Club can also arrange for the service of a variety of cakes.
Grey Oaks Country Club will purchase any special items requested from a licensed purveyor.
All items are sold for on property consumption in accordance to city, state, health and liquor
laws.
All food and beverage must be consumed on the premises and purchased solely through
Grey Oaks Country Club. No Food or Beverage is permitted to leave property because of
state health laws.
BEVERAGE SERVICE
Grey Oaks Country Club, as a licensee, is responsible for the administration of the sale and
service of alcoholic beverages in accordance with the State of Florida Liquor Control Board.
It is the policy; therefore, that Grey Oaks Country Club supplies all alcoholic beverages. The
legal drinking age in the State of Florida is 21 years. It is the client’s responsibility to notify
Grey Oaks Country Club if any attendees are underage and to ensure that minors attending
the function are not served alcoholic beverages. All beverage service poolside must be
served in plastic ware. No glassware is allowed, due to safety regulations. Grey Oaks
Country Club does not accept cash payment for beverage service. A drink ticket system will
be implemented. Please see Catering Manager for details.
OUTSIDE VENDORS
Grey Oaks Country Club must be notified prior to any function if outside vendors have
been retained to provide entertainment, sound lighting, audio-visual equipment, props,
staging, etc. Failure to notify Grey Oaks Country Club could result in additional labor or
rental fees. Any damage incurred by outside vendors or guests will be the responsibility of
the host. Any special meals that need to be prepared for vendors must be included in your
final guarantee, three (3) business days in advance of event.
DECORATING/DANCE FLOOR
Our wood dance floor is 20 feet by 46 feet in size and can be exposed in increments of 1/3
of its original size. Typical events of 100 or more persons require the use of the entire dance
floor. Events 50-100 people require 2/3 exposure and events of less than 50 persons require
1/3 exposure.
It is our policy that no confetti, rice, glitter, birdseed, potpourri or any other similar items be
used unless approved by the Director of Catering. In the event that such materials are
utilized, a clean-up labor charge of at least $250 will be assessed by the Club and billed to
your account.
SIGNAGE AND DISPLAYS
Grey Oaks Country Club provides event signage if needed. Grey Oaks Country Club does
not allow handwritten signs in any area of the Clubhouse. Certain restrictions apply to
displaying signage and banners. Please contact Management to discuss these restrictions.
All displays, exhibits and decorations must conform to the rules and regulations of Grey
Oaks Country Club Building Code and Fire Ordinances and should be free standing, without
attachment to walls, ceilings and floors.
Any room that is used for a Private Event at Grey Oaks Country Club must be left in the order in which it
was presented, prior to 8:00 a.m. the day following the event.
CATERING REGULATIONS
GUARANTEES
A final guarantee is required on all events, by 12:00 noon, three (3) business days prior to your event.
This number is not subject to reduction. Grey Oaks Country Club will provide in the amount of
three percent (3%) over your guarantee number. Guarantee numbers may not be lowered once
established due to our ordering procedures for your event. The bill will be prepared for the
guaranteed number or the actual number served whichever is greater.
PRICES
There is an applicable Service Charge of 22% and a State Sales Tax of 6% added to all Food &
Beverage of a Catered Event. For any event not requiring Food or Beverage, a set up fee will be
incurred.
Service charges are a Club fee associated with each food and beverage charge and are solely
used to offset associated club costs for providing service. If you would like to leave a gratuity
for your server, please notify your Catering Manager.
DRESS CODE
It is expected that members will choose to dress in a fashion befitting the surroundings and
atmosphere provided in the setting of the Club. Attendees must adhere to Clubs’ pre-determined
dress code at all times. Please note, no denim of any type allowed on Club grounds.
EVENT LIABILITY
Grey Oaks Country Club reserves the right to inspect and control all private functions. Grey Oaks
Country Club cannot assume responsibility for personal property and equipment brought into the
Clubhouse. Grey Oaks Country Club will hold the host responsible for any damages to carpeting,
drapery, wall covering, tables, chairs, lighting, sound and audio-visual equipment, caused by attendees
or outside vendors. Grey Oaks Country Club is not responsible if, through fire, flood or other
emergency conditions, it is unable to fulfill this agreement. In the event of a hurricane, Grey Oaks
Country Club has the right to postpone any event. Management of Grey Oaks Country Club,
according to current weather conditions in the area or nearing the area, will make this decision.
Depending on the nature of the event a security deposit may be required, but it will be refunded if no
property damage occurs.
VALET PARKING
Valet parking is required for all Catered Events of 20 persons or more, regardless if the Club offers
valet for existing dinner service. Valet is available for an additional charge. Price based on the
number of guests. Standard price is $175.00 per valet. (One valet per 20 guests)
SECURITY
Grey Oaks Country Club reserves the right to require outside security to be assigned to any event
where children under 18 years of age will be in attendance. This may include, but is not limited to:
Security Officers and Restroom Attendants.
One Security Officer per 75 people at $300 per officer (Overtime rates apply after 5 hours)
One Restroom attendant per 65 people at $200 per attendant (Overtime rates apply after 5 hours)
All events held at Grey Oaks Country Club must present a list of attendees to our Security Gate
one day prior to the event.
