The secured login process on CassPort ® requires a User ID and Password. Step 1: Enter your User ID and Password Step 2: Select the Login button Self-Registration Step 1: From the main menu, select the Register Now link 3 Step 2: Complete the required information indicated by a red asterisk (*) Step 3: Select the Register link Once all of your information is confirmed, it may take up to two (2) business days to generate your profile. If you have any questions, please contact Carrier Services at (314) 506-5959. Return To Table of Contents 4 CARRIER MENU OVERVIEW The first screen after login contains the Carrier Reporting Menu. The below options are listed in the upper left-hand corner of the screen: Inquiry – Allows you to search multiple individual invoice numbers Remittance Reporting – Allows you to view a copy of the remittance for an ACH/check date Process Summary by Shipper – Allows you to view by count or $ activity for shippers Reject Reporting – Allows you to view all rejects for a selected time period View Billing Guides – Allows you to view billing guides for all shippers INQUIRY The Inquiry tool allows users to search for invoices and shipments that have been or are being processed by Cass. Users are able to search for multiple invoices at a time. To access the Inquiry tool select the Inquiry option on the main screen. Once the inquiry tool has loaded users will be able to search by the following types of numbers: • Invoice Number 5 • • • • • • • • • Document Number Billing File Number EBilling Number Final Invoice Number UPS Tracking Number FedEx Tracking Number DHL Tracking Number Loomis Tracking Number Purolator Tracking Number The tool allows you to inquire on multiple invoices at one time, between 20 and 40 invoices depending on the length of the reference numbers. Step 1: Enter the Invoice # (Pro), Document # (B/L), or any of the types of numbers listed above. Step 2: Use the Number Type dropdown to select the type of number you wish to search by: Invoice # (Pro), Document# (B/L), etc. Step 3: Select the Search button You may inquire on multiple invoices by one of the following ways: A. Placing a comma (,) to separate the specific numbers – 132456,123789 B. Stacking the specific numbers in a list – 123456 123789 C. Use a wildcard (%) to search for multiple invoices – 123% (all invoices beginning with 123 will be displayed) 6 There are several columns that may be seen on the main screen once the inquiry tool has returned information for the numbers being searched. Users may need to use the scroll bar at the bottom of the screen to see all the data fields. Return To Table of Contents 7 Fields and Definitions The following is a list of the column headers and the definition of the data that will be represented in that field. • • Shipper: The number provided in this field is a Cass created code that represents a client’s processing system. Shipper: This is the name of the client for whom the invoice is being processed. • Type: This field will contain a few different icons. The globe will pull up the shipping details, EDI image, Image, History, and Reasons for the specific shipment. The picture frame will pull up the image of the paper bill that was processed, and the lightning bolt will pull up an image of the EDI data that was processed. When you click on the globe icon, you will be directed to a form that contains the following data in a tabbed format: Shipping Details: Contains individual shipment information, including pro number, SID number, Client name, Carrier Name, Billed amount, Rated Amounts, Pay Amounts, and Charges. o EDI: This is an image generated by Cass for electronic invoices. o Image: This will show an image of the paper freight bill that is being processed. o History: This will show each step that the record has gone through, while going through processing. o Reasons: This will explain the reasons the shipment has fallen out of process for approvals or the reason the record is being rejected. Pro Number: This is the Pro number that was keyed by Cass from the paper invoice or provided in the electronic data. Doc/Sid #: This is the document or shipment identification number that was keyed from the paper invoice or provided in the electronic data. Curr: This is the currency code that is applied for the shipment. Amount Billed: This is the amount that was billed on the record. Amount Paid: This is the amount being paid by the client for the shipment. Diff: This is the difference between the Amount Billed and Amount Paid. Cut Reason: If the amount billed is not equal to the amount paid and the record has the disposition of Paid, then this will state the reason the full amount is not being paid. Process/Reject Date: This is the date the shipment was processed by Cass, if being rejected it will represent the date it was rejected from the system. Paid/Reject Date: This is the date the record will be set up to pay, or the date in which the record was rejected from the system. o • • • • • • • • • 8 • • • • • • • Check/ACH#: Once a check number/ach number has been assigned for payment purposes this field will be populated with the number. ACH Xfer Date: If the carrier receives payment via ACH this will be the date the payment will be transferred from Cass to the Federal Reserve. Payments will be sent from the Federal Reserve to the carriers banking institution. Cass is not responsible for processing times with the Federal Reserve or the carrier’s banking institution. Disposition: This will state what the current status of the shipment is, could be in one of the following “In Process”, “Rejected”, or “Paid”. If “In Process” it will state the queue in which the shipment is currently sitting (see example below). Base Reason: This will state the base reason a record is being rejected. Expanded Reason 1: This will state the extended reason for a rejected record. Expanded Reason 2: This will state the second extended reason for a rejected record if applicable. Expanded Reason 3: This will state the third extended reason for a rejected record if applicable. Return To Table of Contents 9 Inquiry Features • • • Copy and Paste: Cass has chosen to use Silverlight as the platform to run CassPort. This plug-in has functionality limitations. To work around one such limitation, users will need to use Ctrl + C on the keyboard to copy and Ctrl + V to paste numbers. Searched Numbers: Numbers will remain in the search box until the user decides to clear the numbers. This is currently set to 350 characters. Wild Card Search: If a user is unsure of the exact number they are wanting to research they can use the % sign as a wild card. (i.e. 12345%) Note: Users are only able to have 1 number in the search box if they are trying to use a wild card. See image below for example. Return To Table of Contents 10 Grouping, Filtering, and Sorting Columns The Global Inquiry tool allows users to rearrange the columns, add or remove columns, sort the data, filter or group the data into the users preferred way. Rearranging Column: Users can drag columns to the order in which they prefer to view the data in the Inquiry tool, once a column has been moved it will remain in the location until moved again by the user, or the user resets the layout. Grouping To group shipments, users will need to click on a column name and drag it to the header bar at the top. Once the user has dragged that column to the top it will group all the shipments that have been pulled by the search based on the order of column name(s) in the header bar. Filtering To filter the data, the user can click on the filter icon located on the right side of all the filterable columns. Once they have clicked, the user will have a few different options on how to filter the data. To remove the filter on the column the user will need to click the filter icon and then click the clear filter button. The filter icon will highlight yellow if the column is being filtered. Filter Icon Sorting To sort the data the user can click the column header. Clicking multiple times will allow the user to choose to sort the data in either ascending or descending order. When the user clicks on the column a small arrow will appear in the column header to designate that the data is being sorted by that column. The sorted column header will also be highlighted in yellow. 11 Multi-Sort Capability To multi-sort the data, the user will click a column header to sort it in ascending or descending order, and then the user can hold the ‘Shift’ key on the keyboard and click the column header to sort by another column in ascending or descending order. A small arrow will appear at the top of the columns that are being sorted to designate that the data is being sorted by those columns. Adding/Removing Columns Columns can be added or removed from the inquiry display page. Select the icon at the top right corner of the Inquiry page. A list of available columns will appear. To select a column, add the checkmark next to the column name. To remove the column, deselect the checkmark next to the column name. 12 Search Results You can see from the below example that records were returned for the first invoice number, but nothing was found for the second invoice number. No Record Found can indicate that Cass has not yet received the invoice, or that that number could have been entered incorrectly by the user. If you are unable to locate a record by the invoice number, you may want to try searching by the SID number, or another reference number as discussed in the Inquiry section of this document. 13 Payment Information From here, the user can view the amount billed and paid on the invoice, the date the check was initiated, ACH pending date, ACH transfer date and the corresponding check/ACH number. • • • • Process/Reject Date: This is the date the shipment was processed by Cass. If the invoice has been rejected it will represent the date it rejected. If the Disposition field is populated, the invoice has rejected and Process/Reject Date represents a rejected date. Paid/Reject Date: This is the date the record will be set up to pay, or the date in which the record was rejected from the system. Check/ACH#: Once a check number/ach number has been assigned for payment purposes, this field will be populated with the number. ACH Xfer Date: If the carrier receives payment via ACH, this will be the date the payment will be transferred from Cass to the Federal Reserve. Payments will be sent from the Federal Reserve to the carriers banking institution. Cass is not responsible for processing times with the Federal Reserve or the carrier’s banking institution. Note: If an invoice has been rejected, the Amount Billed and Difference Amount will be populated along with a check/ACH# assigned. The ACH Xfer Date column contains the date that the ACH will be transferred to the carrier. Return To Table of Contents 14 Reject Status Through the Inquiry tool, you are able to view exception invoices that have been rejected out of processing. There are many requirements that the shipper has provided to Cass in order to process and pay invoices on their behalf. If these requirements have not been met, Cass is no longer approved to process the invoice. These invoices either need special approval from the shipper or new/additional data will need to be provided on the invoice or back up documentation by the carrier. There are 3 main reasons an invoice will be considered an exception and then rejected from the processing: the invoice does not meet all of the requirements of the shipper, the invoice does not have enough information on it for payment, the liability of the invoice cannot be determined. Below are the reject statuses and what each of them means. In Process – Shipper Resolution (Customer Approval Is Required) Each shipper (customer) can provide certain scenarios in which they always want to review an invoice. When Cass has an invoice that fits into the scenario, the invoice is automatically sent to a queue for the customer to review. The customer will then work through the queue and either approve the invoice for Cass to continue processing, or they will reject it back to the carrier typically with instruction on how to resolve the invoice. Once the invoice is rejected to the carrier, a new invoice will need to be submitted to Cass as the original invoice is no longer in process and will have no further action. Rejected to the Carrier Invoices that do not contain enough data to meet the requirements given to Cass by the shipper will be rejected back to the carrier. Invoices that do not provide enough data for payment will be rejected back to the carrier. Invoices that are illegible will also be rejected back to the carrier. Once the invoice has been rejected to the carrier, a new/corrected invoice will need to be resubmitted to Cass for processing. Note that an invoice that has rejected back to the carrier is no longer approved for Cass to process and will not set up for payment. To view the status of the invoice, scroll over to the Disposition column. Using the screen shot below, the following describes the scenarios seen: st The first invoice (1 line) was not found (Disposition = No Record Found). nd The second invoice (2 line) is going to be paid; there is no disposition meaning payment will be scheduled. rd The third invoice (3 line) has been rejected back to the carrier for Duplicate Freight Bill as Cass already has another invoice paid or scheduled to pay. th The fourth invoice (4 line) is currently being reviewed by the client at the client’s request. Freight Bill Authorization Stamp (FBA) If an invoice has been rejected to the carrier by the shipper, the shipper is able to provide a form that is viewable on CassPort, containing additional information and instructions to the carrier. This form is called the FBA Stamp. The steps to view the stamp and the shipper’s instructions are as follows: Step 1: Select the Approval Stamp Icon Step 2: A pop-up will appear displaying the Freight Bill Authorization (FBA) Form. There are three possible outcomes to a resolved invoice: 15 1. Reprocess - This form will contain instructions for processing the invoice for payment at Cass. Once an invoice has received FBA approval, it can take 7 to 10 business days to reprocess the invoice. No action is required by the carrier. 2. Rejected - This form will contain instructions to the carrier to follow in order to get the invoice paid. Action is required by the carrier. Examples of reasons an invoice may be rejected are the Bill of Lading number or PO number is required or the carrier should bill to another client location. 3. Discard - Duplicate invoices are automatically discarded. If the bill is paid, no action is required by the carrier. If there is a discrepancy, the carrier should contact Payment Services at 314-506-5959. Return To Table of Contents 16 Viewing an Invoice Image Cass will store all images for invoices that are received and either processed for payment or rejected in CassPort. Most images will be available for up to 7 years; however, this can vary based on the shipper. To view the images of paper invoices, click on the picture frame and the invoice that was scanned into the system will be displayed. To view EDI invoices, click on the lightning bolt and a template image of the EDI data will be displayed. The image viewer will only display the first 10 pages of an invoice. For invoices that are longer than 10 pages, open the invoice in the browser by clicking on the link as shown below. Trouble Shooting the Invoice Viewer Internet Explorer Settings In some instances, users may have issues viewing the image via a pop-up window. To allow pop-ups to be displayed, from the top toolbar select Tools > Pop-up Blocker > Turn Off Pop-up Blocker. TIFF Viewer In other cases, users may have a particular application selected to view images (i.e. QuickTime). Images on CassPort are best viewed via AlternaTIFF. Step 1: Use this link to access the AlternaTIFF website: http://www.alternatiff.com/testpage.html 17 Step 2: To install this TIFF viewer, select the Install link located on the bottom page. Step 3: Follow the instructions on the AlternaTIFF Test Page to ensure correct installation. 18 Images are Not Showing in a Separate Browser If images are not displaying in a browser tab (instead of a pop-up window), this is due to the AlternaTIFF (Active X or plug-in) not being installed on the browser version of the computer. If the plug in is not installed, see the steps above to install it. Return To Table of Contents 19 REMITTANCE REPORTING This option allows you the ability to view a copy of the remittance for an ACH/check date. Step 1: A screen will pop-up requesting criteria. Enter the six-digit check/ACH number, or select the date the check/ACH was initiated. This information may be found under the Inquiry option. Step 2: Select the Run button. Another pop-up will appear listing both the check and ACH numbers as well as the Remit to Name/Address Step 3: Select the Cancel button if this is the desired information and the pop-up will disappear. 20 Step 4: If additional information is required, select the check or ACH number. A list of invoices and totals will be displayed. Note: All red headings can be used to sort. Step 5: The “Paid as Presented,” “Audit Cuts,” and “Rejects” reports are available by selecting the Reports text located at the bottom of the page and selecting the desired report from the pop-up. Return To Table of Contents 21 Paid as Presented Report This report provides invoices that were paid with no audit cuts. Return To Table of Contents 22 Audit Cut Report This report provides the invoices that were cut by the Cass auditor. Return To Table of Contents 23 Rejects Report This report provides the invoices that were rejected out of the process for the carrier to review, correct, and resubmit for payment. Return To Table of Contents 24 PROCESS SUMMARY BY SHIPPER This option allows you the ability to view by invoice count or dollars ($) activity for shippers. Step 1: A screen will pop-up requesting criteria. Select the applicable processed dates and select how you would like to view the report (counts or dollars). Step 2: Select the Run button. A list of Cass shippers and the corresponding information will appear Note: All red headings can be used to sort. Return To Table of Contents 25 REJECT REPORTING This option allows you the ability to view all rejects for a selected time period. Step 1: A screen will pop-up requesting criteria. Select the applicable processed dates, client, reject type, etc. Step 2: Select the Run button A list of Cass shippers and the selected invoices that required a freight bill exception are displayed. Note: The default sort is alphabetical by shipper name. All red headings can be used to sort. Return To Table of Contents 26 VIEW BILLING GUIDES This option allows you the ability to view billing guides for all shippers. Step 1: A screen will pop up requesting search criteria. Select the bill type (EDI or paper) and select the shipper from the drop-down menu. Step 2: Select the Display button A screen will appear detailing Cass Standard billing Requirements, Data Elements, Billing Information, etc. The pop-up window will remain open for multiple selections and displays. Note: You can also view the billing guide by selecting the client’s underlined name from the inquiry screens or the report screens. To view a client’s Billing Guide from the Inquiry menu, you can select the client’s name and a pop-up will appear.
