2012 Annual ASP Meeting, Gimli, CANADA GENERAL INFORMATION We have prepared this document in anticipation of some of the questions you might have regarding the meeting. If you still have questions, feel free to email one of the contact people identified at the end of this document. Accommodations – Winnipeg If you need to stay in Winnipeg before the meeting, we recommend the Four Points Sheraton Airport Hotel. • (http://www.starwoodhotels.com/fourpoints/property/overview/index.ht ml?propertyID=1180) • The room rate is approximately $125/night and it is located right at the airport. If you choose this hotel, indicate that you are with the University of Manitoba to receive a discounted rate. • These costs are not covered by the ASP • On Sunday and Monday, we will have a reception room on the main floor (Lakeview Room) of this hotel for those waiting to connect with the buses leaving for Gimli. Accommodations -‐ Gimli -‐ Lakeview Resort and Conference Centre • The ASP will pay for only the room and taxes. Participants are responsible for any other expenses charged to the room. • If you have indicated a single room, you will be charged for the room at check out. • If you indicate a shared room, you can also specify roommates on your registration form. Please note that there are very nice suites with full kitchens that can accommodate 4 people. • If no roommate is specified in your registration, we will assign rooms based on gender. • Facilities at the hotel include: swimming pool, hot tub, sauna, game/arcade room, gift shops, restaurant, bar/lounge. • CEOS participants from Manitoba will check out and depart Thursday afternoon. • In order to speed up check out on Friday morning, the hotel will allow you to process your check out on Thursday evening Transportation to Gimli • Chartered buses to Gimli will depart from the Four Points Sheraton Airport Hotel at the airport at designated times. – Sunday: 1-‐2 buses – Monday: 1-‐2 buses – departure times to be determined by international arrivals 2012 Annual ASP Meeting, Gimli, CANADA GENERAL INFORMATION • • • • • A reception room (Lakeview Room) will be available for you at this hotel, where you can drop off your bags and wait comfortably for the bus departures. Greeters will be at the Arrivals area at the airport and will direct you to the hotel and reception room. Look for the ASP signs when you arrive. CEOS participants from Manitoba can also board the buses at the hotel or use CEOS vehicles and personal cars to carpool. CEOS will reimburse mileage for personal vehicles. Taxis and rental cars are not covered by the ASP For your information, the distance between the Winnipeg Airport and the conference center in Gimli is approximately 95kms/1.5 hours. Registration • All participants must complete and submit the attached Registration Form • Deadline: OCTOBER 10, 2012. • A registration table will be set up outside of the main conference room and restaurant at the following times: • Monday – starting at 10:30am-‐9:00pm o Reception and cash bar from 7:00-‐9:00pm • Tuesday – 7:30-‐9:00am Side meetings • Informal and side meetings are encouraged as long as they do not interfere with your participation in the ASP meeting. • Meeting rooms will be available for side meetings starting on Monday. If you would like to book a room in advance, contact Lucette Barber at: [email protected] • A schedule will be posted on the door of each meeting room, showing when it is available. You are welcome to write your name on the schedule to reserve the room for your group. Program -‐ See attached AGENDA for details. • Introductions on Tuesday o Participants will have 15 seconds to introduce themselves to the group. Introductions will follow the alphabetical order of the participant list (to be provided). o A PowerPoint slide with your photo, name, institution and key words (provided by you in your registration form) will be prepared by organizers. Please provide keywords and a photo that best describes you. 2012 Annual ASP Meeting, Gimli, CANADA GENERAL INFORMATION • • • Presentations on Tuesday will follow a 20 x 20 format (20 slides; 20 seconds per slide). o Invited speakers will receive instructions and a template for their presentations. Your contact for these presentations is Peter Schmidt Mikkelsen ([email protected]) o Presenters must submit their PowerPoint presentations to be downloaded on the conference computer prior to the meeting, or upon registration. o Participants will vote for the Most Informative; Most Creative; and Most Entertaining presentation (ballots to be provided). Fun prizes will be awarded at the dinner on Wednesday. Breakout working groups on Wednesday and Thursday o Participants will be assigned to a working group. The number of your working group will be included on your name tag o Facilitators and rapporteurs for the working groups will receive instructions at the meeting. Digital Poster Presentation o Posters will be submitted as digital pdf files and displayed on two screens in the main meeting room during breaks, meals and receptions. o You will not have to print or stand next to your poster. o Posters will be combined in one pdf distributed to all participants o Submit to this call for posters on your registration form. o You will receive instructions from David Mosscrop ([email protected]) o Deadline for submitting digital copy of your poster: NOVEMBER 2ND Transportation from Gimli to the University of Manitoba Buses will leave Gimli on Friday morning at exactly 8:30am. • Please ensure that you have checked out before 8:15am if you are planning to be on the bus • If you miss the bus, it is your responsibility to find alternative transport back to Winnipeg Tour of CEOS and the Sea-‐ice Experimental Research Facility • Upon arrival at the University of Manitoba on Friday, November 16. o A one-‐hour tour of the SERF facility will be followed by lunch o Lunch hosted by CEOS at Marshal McLuhan Room – University Center o A one-‐hour tour of CEOS including the new floor (still under construction) o A classroom will be available to store luggage and personal belongings. • Travel from the UofM to the airport or hotel is your responsibility. 2012 Annual ASP Meeting, Gimli, CANADA GENERAL INFORMATION Costs paid by ASP • Bus transportation from Winnipeg to Gimli • Mileage for CEOS participants using personal cars to get to Gimli • All accommodations in Gimli – room only -‐ all other charges to the room are your responsibility • Meals starting with breakfast on Tuesday and ending with lunch on Friday (except dinner on Thursday) • Bus transportation from Gimli to University of Manitoba – Friday Costs not paid by ASP These costs may be covered by individual institutions – please talk to your advisor/supervisor about these. • Flights to and from Winnipeg • Taxis or car rentals • Meals on Sunday or Monday • Dinner on Thursday • Meals after lunch on Friday • Entertainment, telephone, food or drinks charged to the room Deadline for registration is: WEDNESDAY OCTOBER 10, 2012 Submit registrations to: [email protected] Contact people: • CEOS -‐ Lucette Barber at: [email protected] • GCRC -‐ Peter Schmidt Mikkelsen at: [email protected] • ARC – Jesper Madsen at: [email protected] • ARC -‐ Christina Levisen at: [email protected]
