Travelling Teams Policy

Kangaroos Junior Rugby League strongly supports junior teams having the opportunity to travel to
attend carnivals and representative games, and experience playing against teams from other
districts.
A great deal of planning is required to ensure that teams travelling away, do so within the required
perimeters required under our Risk Management, Duty of Care and Club Policies.
The following policy is introduced to
•
Ensure committee members are informed and pro-active with regard to risk
management
•
assist team management with planning and set out required procedures
•
to provide parents and guardians evidence of club standards
to ensure that club officials
•
are seen as appropriate role models
•
can respond appropriately in an emergency
•
are representing the club in a positive manner
Kangaroos Junior Rugby League Club Touring Teams Policy
1.
A team wishing to travel outside the district to compete in a carnival, play an exhibition
match etc, is to submit, as early as possible, a Permission to Travel Request to the Secretary,
Kangaroos JRLC Committee, to be tabled at the next General Meeting. If the time frame is short,
permission to travel may be given by the Executive Members. This will then be minuted at the
following Kangaroos General Meeting. Teams U6-U12 will not be able to travel any further than
Townsville.

A Permission to Travel Request will state reason for travel, mode of transport, qualified
personnel travelling with the team, any planned fundraising activities, and nominated Team Travel
Manager.
3.
If the Carnival Rules stipulate the team must provide a First Aid Officer, the Club will pay for
any reasonable costs incurred by the provision of a First Aid Officer.
4.
The club will pay any nomination fees for teams attending carnivals.
5.
After permission is given by the committee, the Club Secretary is to forward a Permission to
Tour Form to Cairns & District Rugby League.
6.
If any fundraising activities are to take place the Team Travel Manager is to contact the
Fundraising Co-ordinator, or in his/her absence, other nominated member to put in place
appropriate procedures.
7.
Unless special consideration is given, the travelling team is responsible for all costs
associated with travel, accommodation, meals, uniforms, strapping and any re-imbursement to club
personnel.
8.
The Committee is to be advised, in writing, of
• Travel and accommodation arrangements. (Scout halls etc will require a copy of Club Public
Liability Insurance)
• Players travelling and the criteria for their selection
• A copy of all correspondence relating to the trip.
9.
All correspondence regarding the trip must be on Kangaroos Juniors letterhead. Secretary to
be contacted for details.
10.
Parents must be informed, in writing, of carnival details, player selection criteria, travel &
accommodation arrangements, qualified personnel travelling, any costs to be incurred by parents,
and team contact person’s details. A permission form for each player travelling is to be signed by
parent.
11.
The team manager is to ensure they have contact details for each player and official
travelling.
12.
A copy of player’s Medical Advice Form is to travel with the team. A written record is to be
made of any medications required/given to any players. With the exception of an emergency
situation, no medications are to be given to any player without parental/guardian permission.
13.
Codes of Conduct for Coaches, Officials, Players, Parents and Spectators must be strictly
adhered to from commencement to completion of trip.
14.
Club Officials are to be acutely aware that they are representing the club from
commencement to completion of the trip. They are to conduct themselves at all times, in a positive
manner, being mindful of Risk Management and Duty of Care to all.
15.
If any alcohol is consumed in a social environment by club official during the trip, they must
at all times, remain within legal drink driving limitations.
16.
If a designated First Aid Officer is travelling with the team, they must not consume any
alcohol from commencement to completion of the trip.
17.
Compliance as per current smoking legislation must be adhered to at all times.
18.
Any incidents must be advised to the Club President as soon as practicable, and a written
report forwarded to Committee on completion of trip.
19.
Any reported breaches of the Policy will be dealt with in accordance with Club Grievance
Procedures.
