JOB PROFILE
Job Title: Stock Administrator
Department: Finance
Reporting to: Assistant Management Accountant
Dimensions of Role:
Type of Contract: Fixed Term Contract 27th March 2017 to 29th of September 2017 (6 months).
Hours: 8 hours daily as per rota, five shifts out of seven (Monday to Sunday inclusive), 40 hours per
week with one hour unpaid lunch each day.
Key Purpose of Role:



Administration of catering food and liquor stock systems ensuring all deliveries and movements of
Liquor and Retail Food are recorded correctly within the stock system so as to ensure the stock
system represents an accurate stock level in all sites set within the stock system.
To produce financial data required by the finance department to control and measure gross profit
performance.
To work alongside cellar supervisor to ensure all stock movements are controlled. Support the
Hospitality Coordinator reconciling Hospitality Boxes liquor consumption during major and non-major
matches.
Key Tasks and Accountabilities:
Maintenance of Stock & Procurement Systems
 Product set up & price updates.
 Book off deliveries in procurement system and log deliveries in stock system.
 Recording all transfers of stock between locations.
 Carry out periodic stock taking of storage areas, bars and restaurants as instructed.
 Follow up of discrepancies between invoices and goods received and follow up credits/returns where
applicable.
 Assist with month end and event based stock takes and investigate discrepancies.
 Assist with stock reconciliation on match close down when required.
 Prepare stock system period end for approval.
 Assist Cellar Manager with stock recording and reconciliation of the hospitality box liquor operation
and investigate variances for all matches. Work with Operational managers to minimise stock
variances, levels and wastage.
Reporting
 Monitor changes in products and dish costings and proactively highlight issues and report variances.
 Generate stock reports including usage, stock variances, wastage, costing and margin impact etc
and produce month end data.
Procedures and Controls
 Assist with the revision and introduction of necessary controls & systems to ensure smooth running
of department and protect the clubs assets.

Variations of job relating to Major Matches:




Attend all Major Matches with extended hours as appropriate, including where matches fall on
weekends and bank holidays.
Continue to administrate catering stock systems working with external audit and security team for
close down and verification of all areas related to Epos sales.
Any other duties as required whether in the Department or elsewhere around the Ground.
Reconciliation of Hospitality Boxes liquor consumption and assist with liquor billing post-match.

Person Specifications, Skills & Qualifications:
Essential:
 GCSE or equivalent level numeracy and literacy.
 A good knowledge of MS Office applications (particularly Excel).
 Knowledge of procurement and stock control systems and procedures.
 Attention to detail and analytic mind.
 Professionalism.
Key Skills:
 High quality and proven organisational skills.
 Ability to multi-task and change priorities at short notice.
 Strong attention to detail and accuracy.
