Foremen like you are the key to a successful KIDstruction Week campaign to raise funds for Children’s HealthSM As the KIDstruction Week Foreman, you will be responsible for distributing KIDstruction Week materials to each employee or tradesperson, encouraging participation, and collecting pledge forms. Depending on the size or structure of your company, you may want to enlist additional KIDstruction Week Foremen to ensure all employees and tradespeople have the opportunity to participate. KIDstruction Week is a community-wide effort. We encourage you to designate your company’s first full payroll week in March, although, the exact dates may vary from company to company. The enclosed suggested timeline will guide you through all steps necessary to make KIDstruction Week 2017 a success. JANUARY January 26: KIDstruction Week Kicks Off at The Ginger Man Stop by Thursday, January 26, for a kickoff informational session about KIDstruction Week, benefiting Children’s Medical Center Foundation. □ Register your company to participate in KIDstruction Week 2017 You can register your company online at give.childrens.com/kidstructionweek on the “Get Involved” page to join our crew for the KIDstruction Week 2017 campaign. Alternatively, you can register your company to participate in KIDstruction Week by downloading and completing the Company Registration Form; email the completed form to [email protected]. □ Pick up KIDstruction Week Tools At the kickoff you will be provided with KIDstruction Week brochures and directed to the website for the tools you will need to make your company’s campaign a success, tools such as: promotional materials, templates and forms. If you are not able to attend the kickoff, please visit the KIDstruction Week website, give.childrens.com/kidstructionweek, to download the materials on the “Foreman Toolbox” page. January 27-February 3: Outreach and Goal-Setting □ Identify and reach out to additional company foremen, company leaders and individuals in your payroll department who can help ensure your KIDstruction Week is a success. □ Talk to your company’s leaders or corporate foundation, if one exists, about considering a corporate gift or matching donation. This is a great way to jumpstart your 2017 campaign and for your company to demonstrate that it wants to play an important role in KIDstruction Week. □ Enlist the resources and support needed to determine and accomplish your company’s goal. Each goal will be dependent upon your company’s size. You can choose to set a dollar goal, percentage of participation goal, or both. All of these materials are available online at give.childrens.com/kidstructionweek 2 FEBRUARY February 6-10: Work With Your Team to Develop a Plan □ Talk to your payroll representative, employment services, and/or human resources team about the KIDstruction Week 2017 campaign and how it will work for your company. This meeting will help determine the deadlines for ensuring sufficient time for pledge forms to be processed by your payroll department. When selecting a week, be mindful of Spring Break dates that affect your employees. Consider the following: Determine the dates that KIDstruction Week will take place at your company during the month of March. This will affect the date when employee pledge forms need to be returned to you. Try to get a sense of how many of your tradespeople and professionals will be working and where. Share this packet and KIDstruction Week Brochure with your payroll department to explain what you will be using to authorize payroll deductions. The brochure contains the pledge form that indicates the level of support and the method of payment. The participant will fill out the pledge form and return to you with sufficient time for payroll to process and deduct gifts from participants’ paychecks. The brochure can be downloaded from the “Foreman’s Toolbox” at give.childrens.com/kidstructionweek. Review the KIDstruction Week Participation Worksheet template. Please explain that it will be necessary for KIDstruction Week participants to be recorded in the Excel file so that Children’s Medical Center Foundation can properly thank them for their donations. The worksheet will list all participants’ gifts: payroll deduction, cash, checks and credit card. The completed worksheet should be emailed to [email protected] by March 31, 2017. The Excel template can be downloaded from the “Foreman’s Toolbox” at give.childrens.com/kidstructionweek. In addition, the Campaign Contribution Summary document should be filled out and enclosed with any monetary donations, except for cash, that your company will mail to Children’s Medical Center Foundation by March 31, 2017. The mailing address is noted on the Campaign Contribution Summary. The summary can be downloaded from the “Foreman’s Toolbox” at give.childrens.com/ kidstructionweek. Find out if there is anything else the payroll department needs from KIDstruction Week participants or Children’s Medical Center Foundation to make the campaign work. □ Work with your team of KIDstruction Week Foremen to develop a plan to engage employees: Consider the following: Think of how you can best reach each group with the information. Is it an email blast, check stuffer or toolbox talk? You may have a different plan to approach office personnel versus tradespeople. Look for an opportunity to educate; try to get on the agenda at an upcoming company meeting. If meetings are not already scheduled, work toward setting up a meeting. To get the word out about your campaign, you can show the KIDstruction Week video at the meeting. The video can be found viewed and downloaded from the “Foreman’s Toolbox” at give.childrens.com/kidstructionweek. Take a look at the “Leading a Discussion” section on page 7 of the Foreman’s Toolbox. □ Get buy in. Talk to project managers and superintendents to bring them on board with KIDstruction Week and develop a plan to approach tradespeople at their sites. Mention KIDstruction Week during your design/engineering meetings. Consider the following: Have an introductory discussion with project leaders about what KIDstruction Week is and how they can help. Schedule onsite meetings with field personnel three weeks prior to KIDstruction Week. Consider introducing KIDstruction Week during safety meetings or at onsite breaks. Work through any logistical issues so you can start visiting job sites right away. Bring KIDstruction Week brochures and show the video on your portable electronic device. Explain how KIDstruction Week works and how each individual can be a part of it. Leave information with the group so they can share with other A/E/C firms. All of these materials are available online at give.childrens.com/kidstructionweek 3 February 13: Kickoff KIDstruction Week at Your Company and Collect Pledge Forms □ Begin collecting employee pledge forms to meet the deadline given by your payroll department to ensure sufficient time for pledge forms to be processed. □ Display KIDstruction Week Posters throughout your offices and at worksites to share the KIDstruction Week message. The poster can be downloaded from the “Foreman’s Toolbox” at give.childrens.com/kidstructionweek. Emphasize that KIDstruction Week is about your industry coming together to make a difference and that it requires everyone’s support to be successful. □ Distribute KIDstruction Week Brochures and information to every employee. The brochure can be downloaded from the “Foreman’s Toolbox” at give.childrens.com/kidstructionweek. Make sure participants understand that the brochure contains the pledge form that they are required to fill out and return to you. The pledge form indicates the level of support and their method of payment. Consider the following: Memos and posters are a great way to spread your message, but face-to-face contact is key to the success of signing up participants. Be sure to offer every employee the opportunity to participate. The No. 1 reason people do not contribute to good causes is because they are never asked. Try to have participants fill out the form in-person, as they may forget to turn them in later. Use payroll stuffers with a personal note and link to the video. Post information and provide extra pledge forms at central locations on worksites, such as the office or near the time clock. This will help to promote the event after you visit the site and remind employees to sign up to participate. Ask your colleagues about their experiences. Be available. Participants need to know you can and will answer questions. □ Remind employees about KIDstruction Week. Many times, people may have the best intentions to give and simply forget. Be sure to send or post reminders so everyone has a chance to participate. Communicate with your workforce and with us. Let everyone know about the success you are having. Keeping your co-workers informed of your company’s progress will make them feel that they are part of a team and may encourage others to participate. February 27– March 3: Remind Employees to Turn in Pledge Forms; Deliver Forms to Your Payroll Department □ Remind employees to return pledge forms to you by the publicized deadline. □ Please turn in all employee pledge forms to your payroll department before your company’s selected KIDstruction Week, so that every gift can be processed and recognized. It also will allow you to announce the total amount of funds raised by your company during KIDstruction Week. MARCH March 6: KIDstruction Week Is Your Company’s First Full Payroll Week in March 2017 □ Stay in contact with your workforce, and remind them that with each hour they work during KIDstruction Week, they are making a difference in the life of a child. For inspiration, visit give.childrens.com. March 31: Wrap Up the Campaign □ Collect and turn in all outstanding donations to your payroll department. Your payroll department should cut one check for the total amount pledged by your employees, along with any corporate matching funds and corporate donations. If employees contribute by check, please place them in a secure location and be sure that each participant completes a pledge form and attaches it to his/her check. Checks should be made payable to Children’s Medical Center Foundation. If employees contribute cash, make sure that a pledge form is completed and attached to each donation. Please contact Audra Cozart at [email protected] to make arrangements for your cash donations to be picked up at your office. Do not send cash contributions by mail. Children’s Medical Center Foundation will notify you if anyone from your company makes an online credit card donation. Employees who make cash or check donations and do not return fully completed pledge forms, will not be appropriately acknowledged or thanked. Children’s Medical Center Foundation will use the worksheet to thank every KIDstruction Week participant with a hard-hat sticker and thank you letter for their tax purposes. You may also want to follow up with your KIDstruction Week participants by sending a personal note of thanks. Handwritten notes (if possible) have the most impact. □ Fill out the Campaign Contribution Summary document and include it in the envelope when you mail in donations. Your payroll office may keep the pledge forms for employees who are donating via payroll deduction, but you will need to send in the pledge forms for any cash or check donations. Please send a check for the total amount of employee payroll deductions, matching funds, and/or corporate support, by March 31, 2017. Don’t forget to include any personal checks that have been turned in. Checks should be made payable to Children’s Medical Center Foundation. Do not send cash by mail. Welcome and intro: “Hello everyone. I know we are all busy, so thank you for taking a few moments to learn about an exciting program our company is participating in: KIDstruction Week. KIDstruction Week is a great opportunity for people in our industry to come together in support of a common cause and join Children’s Health in its mission to make life better for children.” “Many of the A/E/C companies in our area will be participating in KIDstruction Week during the first week of March. Our company is very excited to contribute to this great cause, and we hope that you will be, too. “ Talk about any commitment your company has made in terms of matching gifts or kick-starting your campaign with a corporate gift. 2. Show the KIDstruction Week video: “I would like to show you a short video so you can learn a little bit more about how we can help Children’s Health during KIDstruction Week.” ACTION: Play KIDstruction Week video available on the website in the Toolbox, give.childrens.com/kidstructionweek “As you can see from the video, we can make a tremendous impact on the patients and families of Children’s Health. Explain how to participate with KIDstruction Week and how their donations are used: “Just like any of our projects, KIDstruction Week requires a strong team to get behind a common goal: improving the lives of our community’s children. I would like to ask you to consider making a $1 donation for every hour you work during KIDstruction Week, which will take place (give your company dates). Just $1, for every hour you work, for one week. That’s it. Your gift can mean so much to kids who are fighting disease, learning to cope with changes in their health, and just trying to be kids.” “Your donation will help support essential services like clown therapy, pet therapy, pastoral care, social work, language access services, and school services. These programs would not be possible without support from the community.” ACTION: Hand out brochures which are participant’s pledge form, available on the website in the Toolbox, give.childrens.com/ kidstructionweek Give them a minute to look at the both sides of the brochure. “As you look through the brochure, you’ll see that it includes more information about how your donation makes a difference. I encourage you to make your pledge today. Making your donation through payroll deduction is the easiest way to join KIDstruction Week. Just complete the pledge form located on the inside of the brochure, sign, and return it to me. We will take care of everything else. This will allow us to more easily keep track of our progress and total number of donations. Our goal is [insert dollar]. I’ll be around after the meeting to collect your pledge form. Click “donate now” and complete the online donation form. If you would like to make a donation by cash or check, please complete the employee donation pledge form in your brochure and return it to me with your donation attached. That’s okay. Here are some simple tips to help you deal with objections: Don’t take their objection personally. Listen to their concerns. Try to understand where they are coming from. Don’t argue with the person. Instead respond with facts. Try to suggest an option that will work for them. Most importantly, thank everyone for their consideration, even if they decide not to give. Here are some common responses that you may hear and suggested responses that may help you overcome them: “I don’t have any kids. Why should I give?” Each year more than 282,000 patients visit Children’s; hundreds of them are children or grandchildren of our fellow professionals. Beyond that, Children’s supports kids in our community through multiple outreach and advocacy programs. Chances are, you know someone who has been helped by Children’s or who will need its services. “What’s the point? What is my small donation really going to do anyway?” Your donation can make a difference. Take a look at the center panel in your brochure. It gives just a few examples of ways that your donation can help. Please remember that KIDstruction Week is an industry-driven, team effort. If everyone does a small part, together we can make a huge difference. “Money is tight right now; I can’t afford to donate that much.” I understand your circumstance. Why don’t you think about what you could afford to contribute? Every little bit helps. Tip: Share a personal story, either from the video or perhaps your own experience with Children’s Medical Center. This helps donors to put themselves in someone else’s shoes and see what a difference their donation could make. “I don’t live in Dallas. Why should I give?” Children’s Health is one of the premier pediatric health care systems in the United States. It serves not just the children of North Texas, but literally kids from across the world. Children’s Health has served patients from all 50 states and 80 countries. “I already give to charity.
