Primary/Subsidiary Bank Accounts

Function in ConnectNow Accounting that
allows you to have one physical bank account
but tied to multiple general ledger account
numbers.
Accomplished by designating a “Primary”
bank account which is used to reconcile to
the bank statement, and “subsidiary” bank
accounts that are recorded across multiple
general ledger bank accounts.

Eliminates the need for multiple bank
accounts
Easy to let different groups within the parish
know their cash balances.
Helps to monitor that funds raised are used
for intended purpose.

Pay all unpaid bills currently in ConnectNow
Finish all open bank reconciliations
Insert new GL asset accounts needed for
subsidiary bank accounts (if any are not
already inserted).
Do a journal entry to move funds to
appropriate subsidiary bank account.

Sample Parish currently has the following
bank accounts:
◦ #1005 General Checking
◦ #1315 Building Fund Checking


They would like to combine these into one
physical bank account but keep separate on
Statement of Financial Position.
They would also like to create a Spring Picnic
subsidiary that would be included.




Because the Building Fund is already separated
out, the only thing the Parish would need to do is
close the physical account with the bank.
Currently the money collected for the Spring
Picnic is included in #1005 (General Checking).
Before activating the primary/subsidiary function,
Sample Parish will need to insert a new asset
account (#1027) for the Spring Picnic.
Now Sample Parish will need to do a journal entry
to move the amount from #1005 to #1027 that is
for the Spring Picnic.

Contact Laura (515-237-5009) in the
Diocesan Finance Dept. to activate the
Primary/Subsidiary Function for your parish.
1. Go to Setup
2. Select “Setup Primary/Subsidiary Bank
accounts”
Create Primary
Bank Account –
this will not
have a GL Acct
#
Choose from
existing GL bank
Accounts – These
are your subsidiary
accts
Choose which
subsidiary account
should be tied to
each Primary
Account


It is recommended that you define a default
subsidiary bank account for your most
commonly used income/expense accounts.
This will save time when entering deposits
and bills.


If you utilize the vendor account distributions
you MUST define a default subsidiary bank
account for each expense account used in the
vendor account distributions.
To determine which accounts those are, go
to:
◦ Reports
◦ Vendors
◦ Detail List

This Report will list all vendors and the
account distributions
1. Go to Accounts
2. Find the
Income/Expense
Account needed
3. At the bottom of the
screen, choose a default
subsidiary bank account.
Every time this account is
used on a bill, the
subsidiary bank account
field will default to this
account. You can change
the account on the fly if
you want to.
