VCU’s Code of Conduct Communication Plan* Initial ECoC Launch Create ECoC Webpage (ongoing)—Introduction to the code and link to PDF ECoC Forums—Host forums for employees to present an overview of the new ECoC and discuss questions/feedback during the 30-day comment period. Links on the Human Resources, Department of Assurance Services and President’s Website (ongoing)—Linking multiple sites to the code, increases accessibility Broadcast Email Announcement—Introduce ECoC through an email from President Rao. TelegRam Announcement—Announce the ECoC through the faculty/staff TelegRam for a period of 20 business days (eight per month – summer schedule). VCU Homepage PR Box—Highlight the ECoC through the PR box on the VCU homepage. Compliance Training (ongoing)—Educate employees on the ECoC during compliance training presentations and include information about the ECoC in annual compliance training. The Compass and Other Employee Newsletters—Introduce the code in The Compass e-newsletter and ask Compliance Partners to include an announcement in VCU employee newsletters. Social Media—Request that Compliance Partners include an announcement on Facebook, Twitter and other VCU social media pages. Periodic Updates—Announce the ECoC through the President’s Periodic Updates. Orientation (ongoing)—Discuss and distribute One-page Handout for New Hires.docx. Postcard Announcement (sent inner-campus mail to save money)—Invite all employees to explore the new ECoC and attend a ECoC Forum. Annual Awareness (in addition to ongoing initiatives) Acknowledgement—Require employees to sign off that they read, understand and will follow the ECoC. Integrity and Compliance Culture Survey—Survey employees on their awareness of the ECoC and use this information to focus awareness communications based on identified needs. TelegRam Newsletter Announcement—Remind employees to review and sign off on the ECoC. Periodic Updates—Continually incorporate references to the ECoC in the President’s Periodic Updates. ECoC Refresh—Update the ECoC every few years. This may include text changes and/or new photos, cover design or topics based on evolving needs. When this occurs, employ initial launch initiatives (e.g., postcard announcement, PR box, etc.) to increase awareness of these changes. *Our approach may not be ideal for your institution or directly transferable.
