During our visit we will have intensive rehearsals, ensemble playing and three Concerts; the first taking place at Uplands Special Needs School in Swindon, the second at Fairford Church with ladies community choir Splash of Red and youth musical theatre group MJ-UK and the final concert being a family concert at the Neeld Community and Arts Centre in Chippenham featuring Ian Stephen’s We’re Going on a Bear Hunt. We have booked a day of outdoor activities which will be held on-site at Grittleton House. These will include a range of team challenges. We also plan a walk around Fairford to explore the surrounding area. As usual we have tried to plan with February weather in mind, but some of our plans are weather-dependent and may have to be revised at the last minute. However, with previous years in mind, we still expect to have a very rewarding trip, with ‘lots of fresh air and fun’ to balance the hard work. You must follow all instructions from staff without hesitation. At no time are course/tour members permitted to enter rooms designated for use by the opposite sex, and all participants are expected to remain quietly in their own rooms after the ensemble staff have called ‘lights out’. THIS IS NOT NEGOTIABLE. On arrival at the venue you will be introduced to the venue staff who will indicate where the leisure rooms are located. The venue is in its own grounds. No-one may leave the area immediately outside the venue. During off-site activities, please be aware of road traffic and keep to defined footpaths and crossing points. You should always be in the company of at least two other ensemble members - ie. do not wander off alone. All participants are responsible for ensuring their instruments are in the correct place at all times. Communal areas must be left tidy and clear of all instruments, personal belongings, rubbish etc at the end of each rehearsal session. A designated area will be set aside for storage of large instruments/cases. During rehearsals and concerts please listen carefully for instructions on getting there and back, ie, where to assemble and when. Please be prepared to assist with setting up and clearing up for the rehearsals and concert, and also to help with loading and unloading instruments onto the van and coach. When taking part in activities you may be in different groups, but please return to your reporting groups when requested. You will be shown any areas which are out of bounds. Please do not wander off without permission. This is an alcohol free course for all students involved. Possession or misuse of any illegal substances will result in immediate dismissal from the course, and the possibility of further action through Southampton Music Services and the Police. Only those aged 18 and over may smoke in designated areas and with consent from a supervising adult. All participants will be responsible for the safety of their valuables and instruments at all times. Your personal belongings remain your responsibility throughout. Staff may ask you to put any of these items away at any time if they feel they are being used inappropriately. At the end of the course participants are responsible for stripping beds, clearing rooms, stacking luggage and leaving all accommodation clean and tidy. All attending the course have a responsibility for ensuring that our stay is a positive and enjoyable experience for everyone involved. REMEMBER your behaviour at all times reflects on the Music Service and our ensemble. We want to leave a good impression! USEFUL INFORMATION AND REMINDERS CLOTHING: The weather in February is likely to be cold, possibly wet, and almost certainly muddy underfoot! As well as bringing a change of clothes, please ensure you have appropriate outdoor clothing and footwear for these conditions, especially suitable footwear for the walk. Please also bring plastic bags for dirty/wet clothes and shoes. CONCERT DRESS: Please remember to bring this with you (+ a coat hanger) Boys - black trousers, long sleeved white shirt, black bow tie and black shoes. Girls - Black shirt/blouse, black trousers/skirt/dress (below the knees), black socks/tights, black shoes BEDDING: Pillows, duvets, sheets are all provided but you will need to bring your own towels and toiletries. MEDICATION: We do have First Aiders for emergencies but participants will be responsible for their own regular medication. Ensure you bring all medication with you which you may need during the trip, including travel sickness tablets, labelled with names and doses. LUGGAGE: Space is very limited, so please keep to 1 small suitcase OR holdall plus one piece of hand baggage. A luggage label or other form of identification would be useful. You will not need to bring a music stand. INSTRUMENTS: Make sure you have an adequate supply of reeds, strings etc, with you. Remember, there will be a lot of loading and unloading, and whilst care will be taken you need to pack your instruments carefully using cases suitable for travelling, with extra padding (bubble wrap or blanket) if they are a loose fit. This may also be a good time to check that your instrument insurance is up to date. NOTICES: Whilst we are in the hostel any notices giving information or instructions will be given out at mealtimes and posted in a designated place in the main entrance. FOOD: Once we arrive at the hostel dinner, breakfast and lunch are provided, but you will need to take food and a drink for the journey. There will be opportunities to buy snacks. MEALTIMES: Please make sure that you clear away all of your dirty plates, cups, cutlery when you have finished and leave the table (and surroundings) clean and tidy for other people. SHOPS: There will be brief opportunities for ‘retail therapy’ as we move around. However it is unlikely that you will need to have large sums of money to get you through the visit! Students must speak to a member of staff before taking any medication This is a basic list only, so you do not restrict yourself entirely to what is on the list, however, remember we are only going for four days, so small cases only please. Electricals and valuables are brought at the students’ own risk, and are their responsibility. Please ensure that all valuables and musical instruments are appropriately insured. Collection on return Please let us know in writing or by email if your child will be collected on Thursday evening by somebody other than his/her parents/guardians.
