GALA
*1920s Theme Fillers: (10 volunteers needed) Dress in 1920s attire to help set mood and atomosphere,
roam event and interact with guests. Must be at least 21 years old, outgoing and able to stand for
majority of shift. Shift is Friday 6:30-10:30p.m.
*Ambassador: (2 volunteers needed per shift) Circulate to all exhibitors and cash bars to check on and
meet needs. Must be at least 21 years old and able to stand or walk for entire shift. Shifts are 6:309:30p.m. and 8-11:30p.m.
*Cash Bar Attendant: (8 volunteers needed per shift) Manage all credit card and cash transactions at
cash bars. Alcohol will be served by professional bartenders. Must be at least 21 years old, comfortable
handling cash, making change and/or using credit card machine. Must be able to stand for entire shift.
Shifts are 6:30-9:30p.m. and 8-11:30p.m.
*Champagne Tasting Distributor: (2 volunteers needed) Pass out tasting glasses and pour tasting
portions of champagne to guests. Ensure glass display is presentable, restock and break down packaging
as needed. Must be at least 21 years old and able to stand for entire shift. Shift is 7-11p.m.
*Entrance Gate and Wristbands: (4 volunteers needed) Collect entrance tickets and apply wristbands
after IDs are checked by security professional. Must be at least 21 years old, comfortable with guest
interaction and able to stand for majority of shift. Shift is 6:30-10:30p.m.
*Floater Set-up: (2 volunteers needed per shift) Assist where needed with event set up. Must be
adaptable, at least 18 years old, able to stand/walk for entire shift and capable of lifting up to 20
pounds. Shifts are 6-10a.m., 10a.m.-2p.m. and 2-6p.m.
*Floater Event: (2 volunteers needed per shift) Assist where needed during event. Must be adaptable, at
least 21 years old and able to stand/walk for entire shift. Shifts are 6-10p.m. and 7-11p.m.
*Hors d’oeuvres Service: (5 volunteers needed per shift) Circulate and carry platters of hors d’oeuvres
throughout event. Must be at least 21 years old, able to walk and carry tray for entire shift and
comfortable interacting with guests. Shifts are 6:30-9:30p.m. and 8-11:30p.m.
*Hospitality Tent Attendant: (4 volunteers needed) Under supervision of event staff, assist with
managing all aspects of hospitality tent, including beverage service, refreshing ice supplies, cleaning
tables, monitoring guest intoxication levels and ensuring amount of people in tent is appropriate. Must
be at least 21 years old and able to stand for majority of shift. Shift is 7-11p.m.
*Ice Runner: (2 volunteers needed) Deliver ice to all beverage exhibitors and cash bars. Must be at least
21 years old, able to stand for majority of shift and able to carry 20 pounds at a time. (Shift is 7-11p.m.)
*Money Handler: (2 volunteers needed per shift) Retrieve and transport money from cash bars and
ticket tables to designated areas with security escort. Must be at least 21 years old, comfortable
handling cash and able to stand/walk for entire shift. Shifts are 6:30-9:30p.m. and 8-11:30p.m.
*Perimeter Cleanup: (4 volunteers needed) Pick up trash throughout event grounds, oversee All Sweep
services to ensure trash boxes are empty, ensure trash bags are secure and check exhibitor booths to
remove empty bottles and trash for recycling. Must be at least 21 years old and able to stand/walk for
entire shift. Shift is 7-11p.m.
*Perimeter Monitor: (4 volunteers needed per shift) Monitor event perimeter to ensure only ticketed
guests are entering and that all guest exit at approved areas. Must be at least 21 years old and able to
stand for majority of shift. Shifts are 6:30-9:30p.m. and 8-11:30p.m.
*Photographer: (2 volunteers needed) Take pictures of guests in photo staging areas as well as roam
event to capture candid photos. Volunteers must be at least 21 years old and have some photography
experience. Must be able to stand/walk entire shift and comfortable interacting with guests. Shift is 711p.m.
*Set-Up: (6 volunteers needed per shift) Assist with load-in and set-up. Volunteers must be at least 18
years old, able to stand/walk for entire shift and capable of lifting up to 20 pounds. Shifts are 6-10a.m.,
10a.m.-2p.m. and 2-6p.m.
*Stage Manager: (1 volunteer needed per shift) Responsible for all stage-related activities. Oversee
check-in of bands and talent and work with sound team as needed. Must be at least 21 years old,
personable and able to stand for majority of shift. Shifts are 6:30-9:30p.m. and 8-11:30p.m.
*Ticket Sales: (4 volunteers needed) Assist with purchase of entrance tickets, collect cash, process credit
card transactions and greet/welcome guests. Must be at least 21 years old, comfortable handing cash
and able to sit and stand throughout shift. Shift is 6:30-10:30p.m.
LAWN PARTY
(All Lawn shifts Saturday and Sunday unless otherwise noted.)
*Ambassador: (2 volunteers needed per shift) Circulate to all exhibitors and cash bars to check on
needs. Must be at least 21 years or older and able to stand/walk for entire shift. Shifts are 11a.m.-3p.m.
or 2:30-6:30p.m.
*Break down: (10 volunteers needed) Assist vendors with loading out booth items, pick up trash and
assist with general clean up. Must be at least 21 years old and able to lift 20 pounds and walk for entire
shift. Shift is Sunday 6-10p.m.
*Cash Bar: (2 volunteers needed per shift) Handle cash transactions for professional bartenders on site.
Must be at least 21 years old, comfortable with handling cash and making change and able to stand for
majority of shift. Shifts are 11a.m.-3p.m. or 2:30-6:30p.m.
*Floater: (2 volunteers needed per shift) Fill in for any volunteer shift listed as needed. Must be at least
21 years old and able to stand for majority of shift. Shifts are 11a.m.-3p.m. or 2:30-6:30p.m.
*Gate and Tickets: (3 volunteers needed per shift) Take entrance tickets and apply wristbands after ID
check (by professional security company). Must be at least 21 years old and able to stand for majority of
shift. Shifts are 11a.m.-3p.m. or 2:30-6:30p.m.
*Ice Runner: (2 volunteers needed per shift) Deliver ice to beverage distributors and cash bars
throughout event. Must be at least 21 years old and able to lift and carry 20-pound bags of ice. Shifts are
11a.m.-3p.m. or 2:30-6:30p.m.
*Load In: (10 volunteers needed) Assist vendors with unloading trucks and setting up booths, hand out
signs, place table covers and other general set-up tasks. Shift is Saturday 9a.m.-noon
*Recycling/Trash Collection: (4 volunteers needed per shift) Pickup trash throughout festival grounds,
oversee All Sweep services to ensure trash boxes are emptied, ensure trash bags are secure in trash
boxes at all times, remove bottles from exhibitor booths to recycle bins. Must be at least 21 years old,
comfortable with handling trash and able to stand/walk for entire shift. Shifts are 11a.m.-3p.m. or 2:306:30p.m.
*Set Up: (5 volunteers needed) Assist any new vendors with load in, clean up grounds from previous
evenings, clean vendor tables, collect trash, distribute ice and other general duties. Must be at least 16
years or older and able to stand and lift for three hours. Shift is Sunday 9a.m.-1p.m.
*Stage Manager: (1 volunteer needed per shift) Oversee check-in process for all bands and talent and
work with sound team. Must be at least 21 years old, good working with people and able to stand for
majority of shift. Shifts are 11a.m.-3p.m. or 2:30-6:30p.m.
*Tasting Glass Distribution: (2 volunteers needed per shift) Maintain and stock tasting glass display
table. Restock and break down packaging materials. Greet guests and distribute glasses. Must be at least
21 years of age and able to stand for majority of shift. Shifts are 11a.m.-3p.m. or 2:30-6:30p.m.
*Ticket Sales: (3 volunteers needed per shift) Collect money, process credit card transactions, greet
guests and sell entrance tickets. Must be at least 21 years old, comfortable with handling money and
making change and good with people. Shifts are 11a.m.-3p.m. or 2:30-6:30p.m.
RACE
*Flag Person: (20 volunteers needed per shift) Control racers with flags (training will be provided at
event). Must be at least 21 years old, able to stand for entire shift and comfortable making quick
decisions. Shifts are Sunday 9a.m.-1p.m. and 1p.m.-5p.m.
*Race Check-In: (6 volunteers needed) Check in drivers and VIPs with list. Provide with appropriate
credentials. Must be at least 21 years old, able to read spreadsheets, comfortable with basic customer
service, and able to sit and stand. Shifts are Saturday 12-5p.m. and Sunday 8a.m.-1p.m.
*Race Monitor: (80 volunteers needed per shift) Monitor gap between track and crowd to ensure
spectator safety. Must be at least 16 years old and able to stand for entire shift. Shifts are Sunday 9a.m.1p.m. and 1p.m.-5p.m.
*Retail Sales: (6 volunteers needed per shift) Handle cash and credit card transactions for race-related
retail items. Must be at least 21 years of age, have some customer service skills, comfortable with
handling cash and able to stand for majority of shift. Shifts are 9a.m.-1p.m. and 1-5p.m.
*Rover Crew: (6 volunteers needed per shift) Engage with patrons and problem solve as needed. Must
be at least 21 years of age, able to handle money and comfortable interacting with people. Shifts are
Sunday 9a.m.-1p.m. and 1-5p.m.
*VIP Staff: (8 volunteers needed) Assist VIP patrons, bus tables, answer questions and take inventory of
food and beverage. Must be at least 21 years old, able to stand for majority of shift and lift up to 20
pounds. Shifts are Sunday 9a.m.-1p.m. and 1-5p.m.
