Terms and conditions
Age of participants


Waterworld requires all party guests including the
birthday child to be over the age of 5 years
There is no maximum age
Number of Participants
Minimum numbers / minimum payment

The minimum number is 10 participants

Parties can have less than 10 people but must
pay for the minimum of 10

The Birthday Child is included in the total number
of participants
Maximum numbers

Maximum number for a single party room is 19

Maximum number for a double party room is 40

Maximum number for the outside marquee is 30
Regulations on the number of participants

The number of participants determines what
areas the party can be hosted in

Should a booking not know how many guests
they are expecting, they will be committed to the
maximum and minimum allowances (costs) of the
party area they book

Please be aware there will be no refunds or
changes to booked areas allowed after the
deposit for the booking is made
Should you believe that you now have more expected than
was first booked – please contact the Aquatic Programs
Team Leader to discuss options. They will endeavour to
accommodate you as best as possible
Party Areas and Access
Access to the party areas

Parties/ parents will only have access to the party
areas for the official time of their party
Cleaning of the party areas

Party decorations must be removed at the end of
your party.

Waterworld will be responsible for the cleaning of
the party area. We do ask that areas are left in a
reasonable condition
Departure of the Party areas

All parties are required to depart their party areas
at the conclusion of their party at the set time

It is up to the party parents to ensure that they
are leaving their party area as soon as the party is
complete.
o It is up to the parents to move their
belongings to another area in the centre

Waterworld will not be responsible for the
belongings and safety of any items brought into
the centre – they are the responsibility of the
individual and the hirer
Access to Waterworld outside of the official party time

Paying guests have free access to the whole
complex for the day of the party
Includes:

Unlimited use of the slides between 11am and
4pm

Access to all water facilities
o Parents of the Birthday child are free of
charge and may use the pool areas at
any time

Slides must be paid for
o Siblings are not free and must be paid
for
Spectators and Guests

Parents are not required to provide guest lists for
their party

Waterworld will only supply wristbands for official
participants
o These wristbands (colour coded) indicate
who can take part in the water activities
and who will be provided food during
the food section of the party



All other guests are welcome to attend the party
as a spectator only
o They do not have the same rights as a
paying member of the public and are
only allowed to view the party in areas
the party is
o At the conclusion of the party the guests
must exit the centre
Any guest that wishes to take part in the water
activities must pay and enter as a general entry
patron
o Waterslides are any extra cost and must
be paid for as per standard fee
o Paying guests then have the same rights
as the general public
If a guest pays the entrance and slide fees, they
cannot take part in the party directly
o They are excluded from the reserved
water areas and cannot get priority
access to the slides
Catering and food








Time and length of Party


Hosted birthday parties last for 90 minutes
o Any time used after this will be charged
at $100 per 30 minutes
Should Waterworld be responsible for any delay
or variation to the scheduled time, the party will
continue so that all times promised, are carried
out
Arrival time for the party

All parties should arrive15mins prior to their party
to receive their safety talk

The safety talk is compulsory and must be
undertaken before participating in the party
o Those arriving late will have to wait for a
later safety talk conducted by the Party
Supervisor – when possible
o Parents may choose to wait for late
guests to host a safety talk - any time
lost cannot be made up and parties will
remain on their scheduled starting/
finishing time


Parties may bring any food to the party at no
extra cost. Any food brought into the centre must
meet Waterworld guidelines
Waterworld will not be responsible for any food
or items brought into the centre
At no time will Waterworld heat up or defrost any
food items
Waterworld will allow use of their freezers for icecream cake only
Should you require any specialised catering or
variation to the food for the package – this must
be done prior to the final confirmation and
payment
Should Waterworld not be able to supply a
suitable alternative a deduction back to the price
of the self-catered option will be made to the
overall package price (per person)
Waterworld will supply plates, cups and cutlery
for all paid participants only
At no time will Waterworld heat up or defrost any
food items
Strictly no glass or ceramic permitted
Should these items be brought on site they will
be taken away and held at Waterworld until the
party leaves the centre
o Alcohol is strictly prohibited
o Should any party be found with Alcohol
on the premises they will have their
party cancelled with no refund - they will
be asked to leave the premises
Party amenities

Should any area not have or can’t use amenities
promised, Waterworld will endeavour to provide
alternatives for storage and heating

Waterworld will only supply seating for paid
participants

All decorations in our areas remain the property
of Waterworld

Any damage or theft of these items will be
charged to the parents of the Birthday child
Details of the parent / child

Bookings must provide current details for:
o Name
o Mobile phone number – for SMS
confirmation
o E-mail
o Birthday child’s name and age


Payment
Deposits

A $100 deposit is required to make a birthday
party booking
o Deposits are non-refundable.

The deposit is taken away from the final cost of
the party when making the final payment

No booking can be held or is officially recognised
without a deposit
Final Payment for Parties

Payment in full is required by 5pm the Monday of
the week of the party.
o At this time final numbers must be
confirmed and packages finalized

Should a party not pay in full and confirm details
by this time, their party may be cancelled and any
payment made forfeited

Should a party confirm their numbers and pay in
full, but a participant does not arrive or use the
party:
o A entry free pass and an unlimited slide
band will be provided to the hirer
o To be used during the current season
o All food paid for will be delivered and
there is no exchange or refund given for
food supplied.
Cancellations

Waterworld will cancel any party that has not
confirmed and fully paid by 5pm on Monday of
the week of their party. Any payments made will
not be refunded

No refunds will be given should a parent choose
to cancel the party
o In the event of a cancellation of a party
due to extenuating circumstances, a
formal letter may be written to the
Facility Manager for consideration
o Each case will be individually considered
and any decision made is final
Waterworld parties will continue regardless of the
weather
o Should a parent choose to rebook/
change the date of a party due to the
weather – full rates will apply to the new
booking. No credit shall be carried over
to the new booking
Should Waterworld decide to cancel the party at
any time – the party will be offered a new time/
date at no cost.
o Should this not be possible a full refund
of any payment made will be done
through the Council system.
o Refunds will be in the form of a cheque
and distributed on Council next cheque/
payment run.
o Refunds cannot be supplied on the day
Inclement weather

Due to the risk and nature of lightning, parties will
be delayed/halted should lightning be present

Waterworld will endeavour to deliver the party in
its entirety – but will only do so should the
circumstances allow it

If Waterworld cannot extend the party in these
circumstances the parents will be informed.
Unfortunately no refund will be given in this
circumstance
Changes to Party details

Waterworld will only acknowledge confirmations
and detail changes prior to 5pm Monday of the
week of the booking

After this time any changes are at the discretion
of the Aquatics Program Officer

Please be aware that at no time will Waterworld
be required to take last minute or on the day
changes to your details. What you have confirmed
will be delivered to your party
Invitations


Free Waterworld themed invitations – both hard
copy and electronic are available upon request
o These must be requested at the time of
booking
o Can be posted or e-mailed on request
Waterworld will not be held responsible for
delivery of invitations through Australia Post
o Invitations will only be supplied after the
$100 non-refundable deposit is made
Other Items
Damage to Waterworld property

Any damage or theft of items within Waterworld
will be charged to the parents of the Birthday
child regardless of the perpetrator

Parents will be responsible for all participants and
guests belonging to their party
Water activities

Priority access to waterslides is dependent on the
total number of people within the site and the
safety of all people riding the slides and safety of
party guests. We will try to provide priority access
to the slides where possible

Waterworld will at no time allow persons under
1m in height to ride on the waterslides

Children above 1m but 5yrs or under must be
accompanied by a full paying adult
o Children in this circumstance are
restricted to use of the curly slide only
Photo gift for the child

The Birthday child will receive a free photo of
their party group

Photos will be taken during the safety talk prior to
the starting time of the water activities

All photos will be handled in the strictest
confidence and deleted after the photo has been
printed. At no time will Waterworld use these
photos for any other purpose than presenting a
copy/ gift to the Birthday child

Hosts will take this photo unless parents have
instructed otherwise

Should you want a child excluded from the photo
- it is up to the parents of the party to remove the
child from this photo

Should there be any delay or problem with the
delivery of the gift, it will be sent to the birthday
child as soon as is possible
Photography and Images

Waterworld allows photography of parties as long
as all that is being photographed is the
participants and guests of the party

Waterworld staff at any time may stop any
photography at the centre should it be deemed
inappropriate
Pool etiquette

All pool safety rules apply, e.g. No running, diving,
etc

The Watch Around Water program must be
adhered to when on site. For more information

At any time, birthday party hosts and
management reserve the right to remove children
from the pool or activities should they deem
behaviour inappropriate. This will not be
refunded

Management reserve the right to remove people
from the pool at all times. Entry or cost will not be
refunded in these circumstances.
