east-coastFinancialInstitution’smigrationfromlegacyvideoconferencingequipmenttoanextgenerationvideocollaborationenvironment.Thecasestudyprovidesextensivedetailonhow
Yorktel’sassessmentoffacilities,infrastructure,andusecaseshelpedthiscustomerincrease
flexibility,overcomemulti-platforminteroperability,conferenceroommanagement,andsolve
useradoptionandsupportissues.
Followingastormthatrockedtheeastcoast,severaloftheFinancialInstitution’semployees
weredisplaced,hinderingtheirabilitytoengagewithcolleagues.Coupledwithapropriety
videoconferencingsystemnearingitsend-of-life,thecompanyactedonitsneedforanew
videocommunicationsandcollaborationsystem.Primaryobjectivesincludedincreasing
flexibilitybeyondwhatthelegacytechnologyallowed,andadesirefromtheFinancial
Institution’sA/Vdepartmentforin-houseITmanagement.
YorktelProfessionalServiceswasretainedtoprovidestrategicrecommendationsonhowto
eliminatetheprevailingcomplexityofthecurrentuserexperience,anditsvisionforan
environmentthatfosteredcollaborationandwidespreadadoption.
“Therewerealotofchangeshappeningwithinthecompanywhenwefirstengagedwiththem,
andalotoffrustrationwiththeirlegacyvideoconferencingsystem,”saidErickRace,strategic
accountmanageratYorktel.“Oneproblemwasconferenceroomhijackingwhichoccurred
whenapersonorgroupreservedaconferenceroomforaspecifiedperiod,buttheir
conferenceextendedbeyondtheallottedtime.Anotherchallengewastheinflexibilityofthe
legacysystem.Userscouldonlyusethesystemfromadedicatedconferenceroom,andthey
couldonlyconductvideoconferenceswithotherpartieswhousedthesamesystem.
“Also,thecompanywasabouttobeginconstructionona12-storybuildinginJerseyCity,and
wantedvideoconferencinginthisnewfacility,too.”
Aspartofitscomprehensiveassessmentprocess,Yorktelconductedathoroughanalysisofthe
customer’snetworkinfrastructure,equipment,usecases,trainingandsupportpolicies.Yorktel
alsoreviewedthenewbuilding’sblueprintstoensureitwouldbeproperlyequippedforthe
newvideocommunicationsandcollaborationset-up.

newdeployment.ExecutingonYorktel’sguidanceallowedtheFinancialInstitutiontoreduce
costsbyseveralhundredthousanddollars,aswellassolveinteroperabilityinamulti-platform
environmentcomprisedofCisco,MicrosoftSkypeforBusiness,Polycom,andotherendpoints.
Inaddition,Yorktelalsohelpedbuildaprofessionalstudioforinternalcommunicationsand
marketing,fromwhichexecutivescouldgivelivetelevisedinterviews.
Sincecompletingtheinitialrollout,thecustomerhascontinuedtogrowbothdomesticallyand
internationally,expandingthenumberofendpointsfrom143to240,allofwhicharecurrently
managedbyYorktel.
