THE EMERGING TREND—CONFIGURE VERSUS CUSTOMIZE
EMC® Documentum® D2 is a modern and easy-to-use content management client that is also
highly configurable with a spread­sheet-like approach that enables users to define
applications without the need for additional customization. EMC Documen­tum D2 +Pack
enhances and extends these powerful features to effectively manage documents stored in
Documentum by applying and interfacing to standard and popular document processing
capabilities.
Enterprises are constantly on the lookout for more effective ways to reduce their deployment
and maintenance costs and raise their productivity levels in order to meet their most
demanding business needs. Companies seek new ways of managing their enterprise content
more efficiently, effectively processing the information, and thereby helping their customers
make better business decisions. Thus, users need flexible and intuitive content
management tools that can address changing business needs without having to fully
customize their business applications.
Documentum D2 Premium is an easy-to-use application that provides an intuitive user
experience for Documentum paired with a robust and easy way to create and deliver
Enterprise Content Management solutions, faster than ever before through configuration—
not customization. EMC Documentum D2 +Pack provides extensions to these powerful
features to effectively manage documents stored in Documentum by applying and providing
extended document processing capabilities. The extension modules included in
Documentum D2 +Pack provide a seamless approach for additional document processing
capabilities to further enhance the management of your enterprise content.
TAKE CHARGE OF CONTROLLING PDF DOCUMENTS
Portable document format (PDF) is considered as the gold standard for capturing and
reviewing information from almost any application or any computer system and provides a
secure format of sharing a document with virtually anyone, anywhere. Enterprises in general
use PDF since it is a trusted secure format for delivering content information. Thus,
enterprises want an easy and seamless approach to process and manage content to these
formats.
As part of Documentum D2 +Pack, D2 PDF Configuration (formally known as C2), users can
take charge of their PDF documents and at the same time have the ability to apply
watermarks, generate a table of contents, and create cover pages and signature pages to
content prior to viewing, printing, or exporting the documents. Users can enable the security
settings of PDF files that need to be managed and controlled. Document control, stamping,
merging, and protection of PDF documents are all fully supported. Documentum D2 PDF
Configuration offers the ability to manage and enhance documents by adding
complementary components on PDF renditions such as:
•Extra pages—Add one or several pages (cover or blank page) in PDF format at the
beginning, the end, or after any given page of a document
•Layers—Enables layers to be overwritten in the document; for example, a header, a footer,
or an image—such as a company logo—can be added to the document
data sheet
•Watermarks—Allows the additions of watermarks to all or part of the document; the
watermark may be an image or a full text type
•Dynamic pages (covers, glossaries, e-signatures, etc)—Enables dynamic construction of
pages, such as a signature page, that is added gradually over the course of a document’s
lifecycle
These features are set up in the configuration matrix of Documentum D2 Configuration and
applied to the original document when it is viewed, printed, or exported.
EASY TRANSFER OF DOCUMENT ATTRIBUTES AND FILE
PROPERTIES
File properties are details about a file, such as author names, tags, or the date when a file
was last modified. Properties make files easier to find and organize. For example, one can
search for a file by one of its properties or use libraries to arrange files by a property. When
browsing a documents folder, for example, one can see the most recently changed files first,
arranged by the “date modified” property.
As part of Documentum D2 +Pack, D2 Office Integration (formally known as O2) enables the
automatic transfer of the file attributes and properties of a Microsoft Office document to the
docbase content and vice versa. It also has full support to manage attributes and properties
associated to outlook emails. Documentum D2 Office Integration makes it possible to
exchange metadata between Documentum content and Microsoft Office (Word, Excel,
PowerPoint, Outlook) documents and/or emails. It provides the ability to:
•Apply the file attributes and properties of Documentum content to Microsoft Office
documents and vice versa
•Control the transfer of file properties for a Microsoft Outlook email to Documentum
content
These features are set up in the configuration matrix of Documentum D2 Configuration.
EFFECTIVELY MANAGE DOCUMENTS NO LONGER NEEDED
The recycle bin is considered as a temporary storage for files that have been deleted by the
user, but not yet permanently erased from the physical media. Typically, a recycle bin is
presented as a special file directory to the user (whether or not it is actually a single
directory depends on the implementation), allowing the user to browse deleted files,
undelete those that were deleted by mistake, or delete them permanently.
Within a trash folder, a record is kept of each file and/or directory’s original location. On
certain operating systems, files must be moved out of the trash before they can be accessed
again. Whether or not files deleted by a program go to the recycle bin depends on its level of
integration with a particular desktop environment and its function. Some low-level utilities
usually bypass this layer entirely and delete files immediately. A program that includes a file
manager functionality may or may not send files to the recycle bin, or it may allow the user
to choose between these options.
As part of Documentum D2 +Pack, the D2 Recycle Bin (formally known as D2 Bin) feature is
fully integrated into D2 Premium User and manages the cancellation and deletions of
documents utilizing the Microsoft de-facto standard recycle bin approach. This recycle bin
feature is designed to manage documents removed from a Documentum repository. It also
allows users to browse deleted files, undelete those that were deleted by mistake, or delete
them permanently. The following features are fully supported:
•Avoid accidental deletions—Helps users avoid accidental deletion actions by using the
recycle bin concept to configure which removed objects (documents, folders, etc.) may
need to be restored back to their original destinations/locations
•User options—Provides the user with options to delete or restore documents
These features are set up in the configuration matrix of Documentum D2 Configuration. The
interface enables users to configure various parameters such as security and automatic
deletion of objects from the recycle bin for a specified period of time.
