Family law requires a lot of documents for discovery:
emails, bank statements, cell phone records, and any kind
of paper trail that can be imagined needs to be produced
to opposing counsel. Not only do all these documents
require a Bates number (a unique number to identify each
page of each document), but in the larger counties in
Texas, they also have to be turned into searchable PDFs
before the attorney can file the documents with the court.
Vereb knew that, in today’s tech-savvy world, there had
to be a program that could do all this for her so that she
could focus on practicing law.
Finding more than just software
Vereb began exploring her options. She was already familiar
with Nuance as a regular user of Dragon dictation applications, so when her patent attorney husband forwarded her
information on Nuance® Power PDF, she was intrigued. It
provided all the features she needed and was cost-effective
—and from a company she trusted.
When Vereb bought Power PDF, she immediately was able
to save money. Her previous employer spent nearly $4,000
per month on printing-related costs, and Vereb buys a case
of paper every 18 months. She converts emails, downloadable PDFs, and other documents to searchable PDFs and
files them electronically with the courts, saving everything
to client files on her secure cloud-based file server. Power
PDF’s Bates numbering functionality allows her to Bates
stamp hundreds of pages of documents in minutes, instead
of having to pay $200 per month for additional functionality
or hire an assistant.
“My former employer had one person whose entire job,
40 hours a week, was gather, Bates stamp, and file
discovery with the court,” Vereb recalled. Using Power
PDF’s PDF insertion and organizational capabilities, Vereb
can assemble these discovery packages herself and Bates
stamp them with a couple mouse clicks.
“The first time I used the Bates stamp functionality on
Power PDF, I had to produce 980 pages. It would have taken
another person a good two days of gathering, ordering, and
stamping, but I was able to stamp 980 pages in 10 minutes,”
Vereb said.
Discovery has become simple, instead of an arduous
document-gathering and—organizing process. Vereb’s clients
email her copies of the statements they’ve downloaded from
their banks or utility providers, and Vereb compiles them in
Power PDF, stamps them, and files them with the court. She’s
able to do this all herself and hasn’t had to hire an assistant,
which keeps costs down for both her and her clients.
Ease of use Is key
Vereb doesn’t have time to spend figuring out complex
software—she has motions to file and clients to represent. Power PDF has proven easy to use, and version
2.0, which she purchased in June 2016, has made
converting emails with attachments even easier. Just
one click saves the entire email package, and it was
the deciding factor that encouraged her to upgrade.
“I received an email invitation from Nuance to watch a
how-to video, and I bought 2.0 that very day,” she said.
Vereb has been able to discover more features that have
pushed her closer to becoming a green business. For
example, instead of having her clients print 50-page
documents to sign, she emails them the document
and has them print and sign only the signature page.
Then, she scans in the signature page, inserts it into the
document, and uses Power PDF’s electronic signature
features to countersign before filing.
The in-application support has also been extremely helpful.
Vereb has found that the help function will tell her exactly
what she needs to do, in the exact order it needs to be
done, to use a certain feature. She calls it “flawless.”
“It’s such a lifesaver in the digital age to not have to print
documents or have someone handle them,” Vereb said.
“I believe it would probably cost me more money training
an assistant on how to do it than simply doing it myself.”
