Position Summary
Systems Biology Ireland (SBI) is an initiative between University College Dublin (UCD) and the
National University of Ireland Galway (NUIG) based on the Belfield campus of UCD. Established in
2009 through a Science Foundation Ireland (SFI) Centres for Science, Technology & Engineering (CSET)
programme grant, Systems Biology Ireland is set to become a national centre for excellence in
systems biology research. The interdisciplinary nature of systems biology holds the promise of
significant advances in science beyond the boundaries of individual disciplines. SBI will draw on
expertise from distinct but complementary scientific disciplines to develop quantitative analysis and
predictive modelling approaches with state of the art technology platforms for bio-therapeutics.
One of the main strategic objectives of Systems Biology Ireland is to seek out external sources of
funding in order to sustain and build upon the initial investment made to SBI through SFI via the CSET
Program. SBI is seeking applications for a full-time administrative role to support the Centre
Management Team, in the development and management of the Centre’s core administrative
function, particulary in relation to proposal preparation and post-award grant management.
SBI is housed in the Conway Institute on UCD’s Belfield campus. UCD’s mission is to advance

and excellence, drawing out the best in each individual, and contributing to the social, cultural and
economic life of Ireland in the wider world. University College Dublin is a large and diverse university
whose origin dates back to 1854. There are over 22,000 students including over 3,000 international
students from more than 110 countries.
Salary: €30,000 - €40,000 per annum
Appointment on the above range will be dependent on qualifications and experience.
Principal Duties and Responsibilities
In support of the research activities of Systems Biology Ireland, the principal duties will include the
following:

To support the Centre Management Team with administrative functions, including the
development of proposals and the post-award administration of grants.
To contribute to the smooth running of SBI initiatives and cross-functional activities as
directed e.g. assistance in the management of high-profile international events such as
workshops and conferences.
To organise all aspects of meetings including scheduling, booking rooms, catering, etc.
To minute meetings.
To arrange travel and accommodation as directed.
To contribute to the development and updating of web-sites as directed.
To assist in the preparation of comprehensive reports related to research activities.
To assist the Centre Manager, Grants Manager and Finance Officer with the Centre’s
financial reporting.

To organise and maintain SBI records.
To maintain and order office supplies.
To support the recruitment processes in liaison with HR for incoming SBI staff.
To raise requisitions on the UCD e-finance system for purchases and to process expense
claims for staff.
It is likely that additional duties and responsibilities will emerge and develop over time in line
with the natural development of SBI.
Selection Criteria
Selection criteria outline the qualifications, skills, knowledge and/or experience that the successful
candidate would need to demonstrate for successful discharge of the responsibilities of the post.
Applications will be assessed on the basis of how well candidates satisfy these criteria.
Mandatory
• 3 years minimum experience in a similar role.
• Proven technological proficiency and computer literacy, including databases, spreadsheets,
word processing, email, Internet and electronic research administration systems.
• Strong interpersonal skills.
• Experience in providing administrative support at an executive level.
• Experience in management of diaries, organising travel and hotel arrangements and
organising meetings.
• Experience in development and updating of websites.
• Excellent communications skills both written and oral and the ability to generate reports.
• Experience/previous exposure to finance systems in Universities or a large organisation.
• Ability to cope with ambiguity and change, and work under pressure.
• Ability to manage competing priorities, demonstrating initiative and an ability to work
independently.
• A high degree of professionalism and integrity in a high pressure environment.
• Ability to work as part of a team.
Desirable
• Comprehensive secretarial/adminstrative qualifications in line with position norms.
• Project management experience and a working knowledge of project management tools
(e.g., MS Project).
• Experience of working with File Maker Pro.
• Experience of event management/administration.
• Experience working in an academic research environment.
• Experience in proposal preparation and grant administration.
