WHAT IS A ROOM FEE?
WHAT IF I NEED TO CANCEL?
A room fee is a flat, non-refundable fee that reserves the room for you.
It is due two weeks after booking.
Cancellation before your contract is due results in no penalty. If
cancellation happens after the signed contract and room fee are
submitted, this will result in the forfeiture of the room fee. Large
events in our Woods & Prairie room will also be subject to additional
cancellation charges that will be outlined in the contract if
cancellation happens close to the date of the event.

WHAT IS A MINIMUM?
A minimum is the amount that you are required to spend for the event
on food, beverages, and alcohol beverages combined. The room fee
does not count towards the minimum. The minimum does not include
tax or gratuity.
HOW DO I BOOK A ROOM?
Email or call (using the information on the title page) to inquire if we
have an opening for the date that you would like. Once a date is
chosen that is available, we will gather your contact information and
send you an agreement via email. You will have 2 weeks to return the
agreement to us along with the room fee payment (no payment is
required at booking).
DO YOU OFFER OFF-SITE CATERING?
YES! All offsite catering events are unique based on the event
location. We work with you to make sure your guests have everything
they need and your event runs smoothly.

CAN WE BRING IN OUR OWN FOOD
OR BEVERAGES?
No. We offer full service catering and beverage services onsite.
CAN WE BRING IN OUR OWN CAKE?
Yes. The one exception to the rule above is dessert. You are welcome
to bring in a cake or other dessert from a MN licensed company or
individual (grocery stores are licensed). If you bring in a dessert, you
can take those leftovers along with you. The following Fees Apply:
$.50 per person covers dessert storage, plates, forks, napkins, and
clean up, but does not include cutting or serving.
$1.50 per person includes all of above plus cutting and serving
CAN WE BRING HOME OUR LEFTOVERS?
In compliance with state health codes, food and beverages prepared
by Rockwoods but not consumed during the event become the
property of Rockwoods and may not be removed from the premises.
In special instances where food has not been exposed to consumers
or set out for extended periods of time, a waiver may be signed to
allow you to bring extra items home. If you bring in a dessert, you can
take those leftovers along with you.
WHAT ABOUT TAX AND GRATUITY?
Menu prices do not include sales tax or gratuity. Food, non-alcohol
beverages, and rental prices are subject to a 6.875% state tax. Alcohol
prices are subject to a 9.375% state liquor tax. Our recommended
gratuity for any event is 18.5-22%. We do not have a mandatory
service charge because the state of Minnesota also requires us to tax
you if it is mandatory. 18.5% recommended minimum gratuity will
appear on all event estimates and event orders to help you with your
budgeting.
CAN WE BRING OUR OWN DECORATIONS?
You may provide your own decorations. You may drop them off prior
to the event and our talented team will set them up for you. Nothing is
to be removed from our walls or hung on the walls without prior
approval and you must supply your own approved adhesion supplies.
The use of confetti, rice, birdseed, silly string, potpourri, tiny pebbles,
are not permitted within or outside of the facility. Candles are
welcomed, but the flame must be surrounded on all sides by its
container (no candle sticks). Violation of the above mentioned items
would result in an additional cleaning/damage charges. Rockwood's
is not responsible for any lost, damaged, or stolen items.
WHEN DO I PAY THE BILL?
The room fee is paid within two weeks of booking for all events, but
most events do not require any additional payments in advance. Large
events in our Woods & Prairie Room may be contracted to provide a
payment one month before the date of the event equaling 50% of the
minimum. The total remaining balance is due at the conclusion of the
event. Billing is available upon request for corporate events only.
There is no penalty for pre-payment. Payment options include major
credit card, cash (U.S. only) or check. Cash or check is preferred.
WHEN DO I TURN IN THE GUEST COUNT?
Your event agreement will outline guest and meal count due dates
specific to your event. Typically the final details and food order are
due 10 days prior to your event, but this varies based on the day of the
week the event is held. Please ask for a due date specific to your
event date. Your final guest count is considered a guarantee and not
subject to reductions. Guests that arrive in addition to the given final
guest count may be subject to a wait time for their meal while it is
prepared and will not be guaranteed the same meal.
AM I LIABLE FOR GUESTS THAT
CONSUME ALCOHOL?
No. Paying for alcohol for your guests does not put you in a place of
liability. As the serving establishment that liability falls on Rockwoods
and our liquor license. We do not serve individuals showing clear
signs of intoxication. Underage drinking is not permitted; this includes
the purchase of alcohol for minors. Legal drinking age is 21 years of
age. Staff will check guests’ identification as needed.
CAN I BRING IN A DJ OR BAND?
Yes. You can bring in a DJ, band, or entertainment selection of your
choice, from any vendor of your choosing. We can book a DJ for you
through our partner, Midwest Sound, for a discounted price. I will add
the fee onto your final bill and pay the company for you. You will then
just be responsible for the DJ tip at the end of the night. You will have
access to their online library of music to make selections for your
dance, and customize your event. Prices start at just $695!

ONSITE WEDDING CEREMONIES
Available only as an addition to wedding receptions being held at Rockwoods
Indoor Full Room $200 (300 ceremony guest maximum)
Guests will enjoy your ceremony from their dinner tables. The center of the room will have an
aisle arranged and the front of the room will have ceremony tables of your choice. Following
the ceremony staff will replace the ceremony tables with your head table. This smaller
transition will take about ten minutes.
Indoor Half Room Transition $400 (220 ceremony guest maximum)
The Room is divided in half and the ceremony will take place in half of the room with chairs set
in rows and an aisle to walk down. The reception tables will be preset and waiting in the closed
Prairie Room. When the ceremony is complete, your guests will enjoy social hour in the lobby
while staff open the room divider and transition the tables and chairs for dinner service. The
transition will take about twenty to thirty minutes.
Outdoor Garden $500 (300 ceremony guest maximum)
We will set up the outdoor grassy ceremony location with all white or black chairs with an aisle
arranged down the center. We will also provide a white, metal trifold back drop for the
ceremony front. There is an option to have a tent for this area as well, otherwise one of our
indoor options is a great back up in case of rain.
