Keep battery charged Page 2 of 8 StaySafe Lone Worker Safety – Training Notes Introduction StaySafe Business is a solution for lone workers that reduces the increased level of risks they face just by working by themselves. Lone Workers are often exposed to higher levels of risk because there is no one close at hand to help them in case of an emergency, for example accident, threat, assault or breakdown. StaySafe is designed to track people for their own safety so help can be available when and where it's needed. You just don't know who's going to trip, fall, have a heart attack, faint, be involved in an accident, be electrocuted, or have an allergic reaction. The solution offers peace of mind to know that someone is looking out for you, and is able to take action should something happen. Established in 2011, Safe Apps Ltd (StaySafe) provides protection for lone workers taking advantage of smartphone technology, providing a solution which is very simple to use, flexible and cost effective. StaySafe Business is designed for lone worker protection and nothing else. StaySafe supports lone workers around the world in the UK, the EU, Canada, the US, Australia & New Zealand. StaySafe protects lone workers in the property, construction, infrastructure/utilities, social services and education sectors where we are now helping an ever increasing number of employees & workers feel safer and better protected. About StaySafe Business: Smartphone Hub: StaySafe uses a Smartphone App that provides your GPS coordinates to a centralised Hub in the cloud where your employer can respond to any alerts you trigger. Lone Worker protection solution: The StaySafe App is user controlled, and can only be turned on by users for their own safety. StaySafe is only designed for Lone Worker protection. Page 3 of 8 Why we are implementing StaySafe? o Employers owe a duty of care to their employees and staff, ensuring, as far as is reasonably practicable, their health, safety and welfare at work. This includes identifying and managing any hazards related to the work and the work environment, assessing risks, and ensuring suitable measures in place to avoid or control those risks. Lone workers work in isolation from other workers without close or direct supervision. They are exposed to higher levels of risk because they have no one to look out for them in case of accident or emergency. o If something happened to you as a lone worker - accident, assault, threat, stalking or an urgent need for assistance – your employer needs to know where you are and that you need help to be able to respond and send help rapidly. You will not always able to make a phone call, and you will not always be where you expected to be. o Lone worker devices don’t generally prevent incidents from happening, however they are good at response. By bringing the three key elements of person, location and situation together your employer can verify, escalate and respond to your situation rapidly, and send help to the right place. o StaySafe manages lone worker risks, using an App on a smartphone, GPS and a centralised Hub, enabling employers to know where their lone workers actually are, whether they’re ok or not, and to be able to send help to the right place. o The solution uses the phone you carry with you every day. There are no additional devices to carry or keep charged. The protection it offers is available 24/7. o StaySafe only tracks a smartphone: When there is an active session When the panic button is pressed (24/7 availability – even when a session is not running) Responsibilities as an employee: Responsibilities: You share the responsibility, with your employer, to keep yourself safe by using your knowledge, common sense and the technology available. To follow policy: We will be developing a Lone Working Policy which you should follow at all times when working by yourself. False Alarms: Keeping down false alarms is important, so you need to know how to use the App and how to reduce false Alarms. Battery Life: You need to make sure your phone is charged before starting work and during the day wherever possible. Page 4 of 8 How it works: GPS and A-GPS (Assisted GPS): The App uses GPS and A-GPS to find your location. When establishing a session, it is always advisable to start a session when outside or near a window if possible. It is also important to give your phone the best chance of a good signal by keeping it out of bags and in the open air as much as possible. GPS and data turned on: The App requires both of these to be turned on to function properly. Session based tracking: The App is user controlled, and cannot be turned on by your employer. Description of all alerts and how they can be set off. Panic: This is a generic alert, and can be triggered at any time, when in a session or when outside of a session. Proactive Alert. Duress: Designed for when a “would-be” attacker forces you to turn off StaySafe, enter your Duress PIN to send this alert. Proactive Alert. Non Movement: This is designed for accident protection; this measures the accelerometer in the phone. If the phone does not move for 5 minutes, then an audible alert will be triggered, if the phone is not moved for a further 5 minutes then the Alert will be triggered. Differences in functionality between different handsets. Automatic Alert. Session Expiry: This is triggered when you do not safely end your session after an allotted time period. To end a session, use your Safe PIN. Automatic Alert. Low Battery: When your phone reaches 10-8% battery, this alert will be triggered. You cannot start a session when you have less than 15% battery. Automatic Alert. Session Started: This initiates tracking. Enter a time period, confirm your location and add notes. PIN’s: StaySafe uses PIN numbers to guarantee it is you using the App and not someone else, they are 4 digits and are used to: safely end sessions, cancel false alerts and trigger a Duress Alert. User Guides and Tutorials: These will be provided to you, please read them. Notes: This is a feature which will be outlined in your policy, and is a vital part of how StaySafe works. Limitations: Description of GPS and A-GPS: Starting sessions outside, near a window and with a decent signal are recommended. Mobile phone signal/data signal: The App communicates its location to the Hub via a data connection, so when this is not available it cannot update this. If going into an area of known low signal, please identify this in your notes. Battery Life: StaySafe does use battery charge, and depending on how you use your phone for work, you should limit this as much as possible. Note that StaySafe has the Page 5 of 8 functionality to adjust tracking frequency to reduce battery consumption. Also use other techniques to reduce battery consumption (e.g. turn off Bluetooth, turn down screen brightness etc.) False Alarms: We have a number of functionalities to reduce false alarms (e.g. warnings), but seek to avoid false alarms as each alarm is potentially a genuine threat. How to set up an iPhone/iPad Download Download StaySafe Business App o iPhone App Store Search “StaySafe Business” o If you're using an iPad and don't see the StaySafe Business App listed, you may need to change the settings to include all Apps. o Tap the search result for StaySafe Business, tap the 'install' or 'open' button on the page that opens - this is the App's information page. o You may now be asked for credentials - this is your Apple iCloud or iTunes account. If you don't have an account set up, you can create one for free at this stage or your company may have an account for you to use. o The App begins to download. When complete you can start using StaySafe. o Enter Hub ID, User Name & Password according to your Login email. You may need to tap the 'All Apps' button if it doesn't show on your home screen. Installing the App requires a free Google Play account - it will prompt you to log in or register for an account at this stage. Then, tap the magnifying glass at the top right to search and type “StaySafe Business” into the search bar. Tap “enter” on the suggested search result to continue. Choose “StaySafe Business” from the listing that Appears - the App with the black Icon Tap the “Install” Icon The App begins to install. Setup GPS & Data must be turned on Battery management (phone charged, Bluetooth & other Apps off) o Turn off Bluetooth unless needed o Close Applications not in use, e.g. weather updates etc. Audible Session Expiry Alerts On/Off Non-Movement Alerts On/Off Adjust “Battery Life Settings” between “Location Updates” and “Battery Life”. Placement of phone when travelling: Keeping the phone on the dashboard and plugged into a car charger is strongly advised for long distance travel. Notes: Ensure the notes are completed as fully as possible in accordance with your policy – they provide vital information to facilitate any response required, including emergency services. Page 7 of 8 Management reporting: Your Monitor will be able to establish your location to ensure you are safe, and potentially to be able to send you to assist a colleague should they be in difficulty. Sessions are retained in case of need for training, audit or investigation purposes later. Usage reports are provided to the System Manager. Awareness: What Happens when you trigger an alert: If you trigger an Alert, you should know what procedures are in place to assist you. Answer your phone: If you are being monitored externally, always answer the phone if you receive a phone call from your Monitor. Ensure your supervisor & Monitor’s numbers are set as favourites in your phone – even with a unique ring tone. False Alarms: There is False Alarm reduction functionality, e.g. audible alerts, use it.
