ConflictMediator Inevitably,studentswhojointheorganizationwithdifferentagendas,goalsandideasabouthowthings shouldfunctionandwhatdirectiontheyshouldbetaking.Whenworkingwithstudentswhohavecome intoconflict,youmayneedtomeetwiththemandhavethemdiscusstheirissueswitheachother.In somecases,itrequireshonestfeedbackfromtheadvisortothestudents. ReflectiveAgent Oneofthemostessentialcomponentstolearningin“outofclassroom”activitiesisprovidingtimefor studentstoreflectonhowandwhattheyaredoing.Asanadvisor,encourageyourofficerstotalktoyou abouthowtheythinktheyareperforming,theirstrengthsandtheirweaknesses.Studentslookto advisorsforconstructiveandhonestfeedback. Educator Asanadvisor,youwillhaveanimportantroletoplayinmodelingbehavior,guidingthestudentsto reflectonactions,andbeingtheretoanswerquestions.Sometimesyourroleistodonothingatall, whichcanbeoneofthehardestthingstodo. Sharingyourknowledgewithothers AdvisorExpectationsandResponsibilities BelowisourlistofadvisorrolesandexpectationsforFloridaAtlanticUniversity.AlladvisorsatFAUare requiredtoreviewtheserolesandexpectationswiththestudentorganizationpresidentduringthe formationofanewRSOandeveryspringduringtheannualre-registrationprocess. 1. UnderstandUniversitypoliciesandregulationsrelatingtoregisteredstudentorganizations.Asan advisor,youshouldbeawareofUniversityRegulation4.006,theStudentOrganizationManual,the StudentUnionreservationspolicies,eventplanningpoliciesandprocedures,studenttravelpolicies, andotherinstitutionalguidelinesthatestablishexpectationsforstudentbehaviorandactivities. TheadvisoristheprimaryconnectinglinkbetweentheUniversityandtheorganization,andyouare expectedtoassisttheofficersinfollowingallUniversityregulationsandpolicies. 2. Understandandbefamiliarwiththestudentorganization’sconstitution.NorbertDunkelandJohn Schuh(1998)statethe“constitutionisthemostimportantorganizationaldocument.Itgivesthe organizationandmembershippurpose,direction,andguidance…Thelanguageshouldbeclearand concise,leavinglittletointerpretation.”StudentInvolvementrequiresallstudentorganizationsto reviewtheirconstitutionsperiodicallyandmakeappropriatechangesasneeded.Anupdated constitutionisrequiredannuallyduringre-registration,somakesureyoureceiveanupdatedcopy. 3. Meetregularlywiththeofficerstodiscussexpectationsforrolesandresponsibilities.Tostay connectedwiththeorganization,youshouldregularlyattendexecutiveandgeneralmeetings.You shouldalsobeavailableoutsideofthosemeetingsforadviceandconsultationrelatingtothe operationsoftheorganization. 4. MakesureyouknowthestudentsinyourRSO.Leadershipchangesfrequently,sogettoknowthe membersoftheorganization.StudentInvolvementrecommendsmeetingwiththegeneral membershiponaconsistentbasistostaycurrentwiththemandtomakemembersawarethatyou areavailabletothem. 5. Knowwhenthestudentorganizationmeets.Ifyoudon’tknowwhentheyaremeeting,chances arethatpotentialnewmembersdon’teither. 6. BeknowledgeableaboutyourroleasaCampusSecurityAuthority(CSA)inregardstotheClery Act.AsaCSA,youareresponsibleforreportinganypotentialcriminalincidentinformationyou receiveinatimelymanner.Formoreinformation,refertopage10ofthismanual. Beknowledgeableaboutstudentorganizationfinancesandprocedures.Staycurrentaboutyour organization’sfinances,soyouwillknowwhenanewideaisoutofscope,andwhatthegroupcan financiallymanage.Inaddition,youshouldhavetheinformationforanyoff-campusaccountsused todepositmoneyfromduesorfundraiserstohelpthegrouptransferfinancialleadershipyearto year.Bystayingcurrent,youwillalsoknowwhenitistimefortheannualCOSOorGPSAbudgeting process. Motivatestudents/officers.DunkelandSchuh(1998)believethatmotivatingstudentsisoneofthe (ifnotthe)mostdesirableskillsofanadvisor.Theysaythat“ifitisn’tevidenttoyoualready,you willsoonfindinyourworkwithstudentsthatsomeofthemhavewhatappearstobeaninnate desiretobecomeinvolved,workhard,andmakeadifferenceintheorganization.Conversely,some studentsdonotseemtobeambitiousatall.Understandingtherangeofmotivatingfactorswill enableyoutohelpindividualstudentstotakeonresponsibilitiesandbecomeinvolved.” Celebrate/recognizetheofficersandthehardworktheyputintotheorganization.Recognizing thehardworkofofficersisonewaytomotivatethemandevenothers.Asimplethankyouor congratulationswillgofar.Studentsoftenwilltakeonadditionalresponsibilitiesortheinitiative withaprojectwhentheyrealizethatothersnoticetheirhardwork. Youshouldtakeresponsibilityforquestioningthegroup’sactivitiesanddecisionsandvoice disagreementwhenyouseeaproblem.Generally,youareexpectedtoactasa“reasonablyprudent person”inyouractionsandinvolvementwiththestudentgroup. Hazing RegisteredStudentOrganizationsandtheiradvisorsareexpectedtoadheretoandabidebytheantihazingpolicyintheFAUStudentCodeofConduct: “Hazingisprohibited.Nostudentorstudentorganizationshallconduct,engagein,orcondonehazing activities.Thispolicyshallapplytoactsconductedonoroffcampuswheneversuchactsaredeemedto constituteHazing. Hazingmeansanyactionorsituationthatrecklesslyorintentionallyendangersthementalorphysical healthorsafetyofastudentforpurposesincluding,butnotlimitedto,initiationoradmissionintoor affiliationwithanyorganizationoperatingunderthesanctionofFloridaAtlanticUniversity. Additionally,Hazingincludes,butisnotlimitedto,pressuringorcoercingthestudentintoviolating stateorfederallaw,anybrutalityofaphysicalnature,suchaswhipping,beating,branding,exposureto theelements,forcedconsumptionofanyfood,liquor,drug,orothersubstance,orotherforced physicalactivitythatcouldadverselyaffectthephysicalhealthorsafetyofthestudent,andalso includesanyactivitythatwouldsubjectthestudenttoextremementalstress,suchassleepdeprivation, forcedexclusionfromsocialcontact,forcedconductthatcouldresultinextremeembarrassment,or otherforcedactivitythatcouldadverselyaffectthementalhealthordignityofthestudent.Hazingdoes notincludecustomaryathleticeventsorothersimilarcontestsorcompetitionsoranyactivityor conductthatfurthersalegalandlegitimateobjective. Itisnotadefensetoachargeofhazingthat: 1. Theconsentofthevictimhadbeenobtained;or 2. Theconductoractivitywasnotpartofanofficialorganizationaleventorwasnototherwise sanctionedorapprovedbytheorganization;or 3. Theconductoractivitywasnotdoneasaconditionofmembershiptoanorganization.” CleryAct AdvisorstoRegisteredStudentOrganizationshelpenforcetheJeanCleryAct.Accordingtofederallaw, specificallyTheStudentRighttoKnowandCampusSecurityActof1990(renamedtheCleryAct),Florida AtlanticUniversityisrequiredtoreport“statisticsconcerningtheoccurrenceofcertaincriminaloffenses reportedtothelocalpoliceagencyoranyofficialoftheinstitutionwhoisdefinedasa“CampusSecurity Updated6/2016 11 Authority.”ACampusSecurityAuthority(CSA)isdefinedas:“Anofficialofaninstitutionwhohas significantresponsibilityforstudentandcampusactivities,including,butnotlimitedto,student housing,studentdiscipline,andcampusjudicialproceedings.” Accordingtothisdefinition,advisorstostudentorganizationsareCSAsbecauseyouareinvolvedin campusactivitiesandinteractwithstudentsfrequently.AsadesignatedCSA,youarenotconsidered eitherasecurityofficerorlawenforcementofficial.YourroleasaCSAmerelyinvolvestheprocessof reportinganypotentialcriminalincidentinformationyoureceiveinatimelymanner. IfyouhearaboutacrimethatwascommittedoncampusoronapropertyleasedbyFAU,itisyour responsibilitytoimmediatelyreportitviatheIncidentReportingFormontheDeanofStudentswebsite. Youshouldcollectasmuchinformationaboutthecrimeaspossiblesothatyoucanfilltheform completely.Thecrime’stypeandlocationareespeciallyimportant. ThisformshouldalsobeusedforStudentCodeofConductviolations,toreportastudentwhoyoufeel maybestrugglingphysicallyorpsychologically,ortoreportanyotherbehaviorsofconcern. Updated6/2016 12 RegisteredStudentOrganizations ResponsibilitiesandPolicies Regulation4.006 Regulation4.006isaUniversityregulationforStudentOrganizationsandStudentGovernment.It outlinestheformationandre-registrationprocessforstudentorganizationsaswellastheofficer eligibilityrequirements.Asstatedintheregulation,allregisteredstudentorganizationsarerequiredto re-registertheirorganizationannuallyeachspringtoremainaregisteredforthefollowingacademic year.Newstudentorganizationformationcanoccurwithinthefirstsixweeksofeachsemester(Fall, Spring,andSummer.) Foranundergraduatestudenttoholdanofficerpositionwithinhisorherorganization,he/shemust maintainacumulativeGPAof2.5andmustbeenrolledin12creditsinthefallandspring.Foragraduate studenttoholdanofficerposition,he/shemustmaintainaGPAof3.25andbeenrolledin6creditsin thefallandspring.Eligibilitychecksaremadewithinthefirsttwoweeksofeachsemester,andan appealprocessisavailabletointerestedstudents. Herearesometipstohelpwithmanagingconflictwithinyourstudentorganization: 1. Analyzetheconflict:Identifythenatureandtypeofconflictthegroupisdealingwith. 2. Onceyouhaveageneralunderstandingoftheconflict,determinethestrategytobeusedand withwhomtheywillbeworking. a. Ifyouareworkingwith“Avoiders,”lettensionscoolandthendiscuss. b. Ifyouareworkingwith“Accommodators,”bereasonable. c. Ifyouareworkingwith“Competitors,”talkaboutstandardsandexpectations. d. Ifyouareworkingwith“Collaborators,”solvejointproblems. e. Ifyouareworkingwith“Cooperators,”workonequalground. 3. Workoutproblemsinsmallgroupsbeforetheentireorganizationgetsinvolved.Sometimesthe officerscandiscusstheirperspectivesandgivedirectiontofollow. 4. Alwaystaketimetodealwithconflict–evensmallproblemscanleadtoanexplosionthathurts theentireorganization. 5. MotivatingStudents Astudentmaybemotivatedbyavarietyoffactors,andnoformofmotivationwillbe100%effective. Thefollowingisalistofdifferentformsofmotivation.Someoftheexamplesareextrinsic(motivation comingfromanoutsidesource)whileothersareintrinsic(motivationthatstemsfromtheinternal desireorgoalofthestudent). Recognition: Recognitionisusedfrequentlybyadvisors.Recognizeamember’scontributionverballyorinprint,in frontoftheorganizationoralone.Thisisaneasyandeffectivewaytomotivatesomeone.Almost everybodyappreciatesa“Thankyou!”orrecognitionofajobwelldone.Alsonotewhoenjoyspublic andprivaterecognition. PeerApproval: Astudentcanperceiveapprovalandmaybemorelikelytoparticipateifprovidedwithappropriate recognition.
