Secure Print Management
VDMS Enterprise Virtual Server is a network
server-based solution for Enterprise customers or
for those with special needs providing a highly
scalable cluster-enabled document tracking, client
billing, reporting and security solution that can be
working without any needs for separate print
servers or spooling functions. The server is
based on the Open Platform OS system Linux
with an integrated web architecture, that
enhances the functionality of MFP’s (MultiFunction Printers) together with the option for
any kind of database integration, mobility option
for printing or browser based web administration.
Open Platform system Linux has been chosen as
the operating system due to is its open nature,
which gives advantages in cost of license and
customisation option.

Accounting of your print and copy
Document accounting is a solution that gives
organizations the possibility to track and manage
the output volume of users, departments, projects
or customers. Document accounting systems
monitor who is copying and printing what, where
and how and allows administrators to define rules
for automatic re-routing of print jobs to the most
cost-effective devices. For instance if a user tries
to print a 500 pages document on a low-end

printer, this job will be automatically rerouted to a
larger MFP where the cost per page is lower.
Specific user rights with regards to the usage of
printing and copying, such as the utilization of
color or forced duplex, can also be predefined
according to the company policy.
Authentication saves unnecessary prints
As the user gets an overview of print jobs on the
display, there is the opportunity to delete double
print jobs - or jobs not needed after all.
Fewer and better printers needed
As the system secures confidentiality and you can
print from any printer, there is only the need for
fewer, more cost-effective printers. These will
typically also have more and better features than
the smaller, decentralized printers.

With the secure print management systems,

Have you ever printed a document and then left it
in the pile in the printer room? Maybe even
something you did not feel was ready for a prying
eye?
This can happen often in the busy daily life of an
office - and often the consequences can be rather
inappropriate.
Secure pull printing
With pull printing the printed documents are
delivered directly in the hands of the right person,
who first perform authentication with e.g. an ID
card or PIN code.
What is the cost of poor security? Is it worth
avoiding?
1. Secure pull printing
With pull printing the user is ID'ed with a card or
PIN code at the printer, so the documents are
printed out 'in the hands' of the user. That way
your prints do not end up in the wrong hands. You may have experienced having just sent a
confidential print out to the printer when your boss
or an important client calls with an emergency.
While you are handling the urgent situation, your
confidential information is sitting in the printer's
output tray unattended. - Many offer pull printing,
but not in combination with the following '4 layers
of extra security' described below!
2. Secure architecture
Authentication of users
The users can be authenticated using an existing
user-database, e.g. LDAP, so there is no need to
run special databases for this purpose. This can
be used to give certain groups or individual
specific rights or limits for printing. It can also be
used to enforce print policies or rules. These
rights can also be set-up to allow an assistant to
pick up prints for you. But it is always defined who
can pick up which documents!
The use of a unique open platform core of the
print management application gives the highest
security. Many applications for health care,
defense, public administration use open platform
applications to get high data security.
Our Windows version also uses this core, but the
print queues etc. are handled in Windows. In the
open platform the whole process is handled on a
secure, virtual server.
3. No data stored on hardware
In the open platform version, all processes and
stored print jobs are on the virtual server. So no
information can be disclosed via any hardware,
whether it is in operation or discarded.
4. Encryption
SSL encryption ensures against
intercepting confidential information.

Both print jobs and user information can
be encrypted all the way from the user
PC to the MFP.
5. Special procedures
Even with these security features, some
organization want further security - e.g.
organizations in defense, finance or
health care. The highly flexible open
platform architecture makes it is much
easier to customize special procedures
to fit special requirements - e.g. double
authentication procedures or clustering
of servers.
Fail-safe solution
This solution secures reliable continued
operation, if a server fails.
The print jobs are sent from the user’s
PC via a Print Monitor client to the
servers, which secures that the print
jobs are available in the servers. In case
the primary server goes down, the
secondary server immediately takes
over. It already holds the print jobs the
failed primary server did not handle. It
informs the embedded clients on the MFPs about
”the change of guard” and performs the print jobs
instead of the primary server.
The users can request their print jobs released on
any printer / MFP at any location in the
organization.
The Print Monitor on the user’s PC handles each
print job. At the same time the Print Monitor on the
user’s PC prepares the print job before sending.
This reduces the workload on the servers.
The solution is designed to generate minimal
network traffic. The print jobs only travel across
the locations when you release them at another
location.
This means, that a total breakdown of a server
results in about a one minute delay for a few print
jobs at the time of the breakdown. But no prints
are lost. – This is a server breakdown the users
will never notice. This is especially important if
printing business-critical documents.
The Cloud security key makes sure the
communication between the servers is secure. As
Ubiquitech print management is the most secure
solution in the market, it is also possible to get full
encryption of both user data and print jobs – all
the way from the PC’s Print Monitor via the
server(s) to the MFPs.
