1 Creating your orders on the e-pharmacy There are two types of order that you can create using the e-pharmacy, you can choose to create a Prescription/Stock order or a Stock Only order. A stock order will contain no patient data and cannot contain any POM items. Creating a Prescription/Stock Order A prescription/stock order allows you to create an order that contains a mix of both stock and prescription items. A prescription order also allows you to add unlimited patients to the order, therefore only requiring payment for one order, one delivery charge and resulting in one order saved to your account. Creating the order: Step 1: Order Type When you create a new order click ‘Prescription/Stock Order Step 2: Choose or add a patient Select the first patient that you wish to order for. You can select a patient from the drop down list or click ‘Add New Patient’, once added select that patient Step 3: Adding Products to your first patient Start adding the products you need to the order. All products you add will be added against the chosen patients name. At the bottom of the order it shows you the current order totals for then chosen patient. Products & Offers are further described in part 2 Step 4: Choosing your next patient When you have finished adding products to the first patient select the next patient you need to order products for and add these items to the same order. It is good practice to ‘Save for Later’ at regular intervals. 2 Creating a Prescription/Stock Order Continued Step 5: Choosing patients Continuing selecting as many patients from the drop down list as you need to order for and add products against these patients until your order is as required. Step 6: Review your order Once you have ordered for all the patients you need to, you can click on the ‘summary’ tab at the top of the order to review the entire order. Make any changes that you need to. Step 7: Adding stock only items If you need to add any stock items to the order select ‘Stock’ from the patient name drop down and add you stock items. Some items (bulk packs) can only be ordered on a “stock only” order but you will see a pop up informing you if this is the case Step 8: Completing your order Once you have finished adding your required items you can click ‘Complete’ and work through to payment or you can click ‘Save for Later’ to be able to return to the order and add more items later. Step 9: Reviewing your final order Once your order is completed or saved go to your order history, and click on the order summary icon . This will open the order for you to review, click on the ‘Prescriptions’ tab at the top and this will show you the overall order arranged by patients precriptions. Scrolling down on this order summary will then show you the individual prescriptions that make up this order. Please note: Until an order has be been signed by a prescriber (if prescription) or has been completed and paid for (if stock) this order can be changed. 3 Choosing products and Offers Products The Healthxchange e-pharmacy contains our complete product list, all of which can be added to stock and/or prescription orders depending on the product type. Products can be viewed and added to an order from the product list on the left hand side of the screen when creating an order. Offers Any offers that Healthxchange Pharmacy are currently runnning appear under the top category called ‘All Offers’. The description text of the product will inform you how to order, for example a product with the description ‘Multiples of 7’ would mean you need to add a minimum of 7 units to qualify for the offer. Products Menu 1 2 1: Product categories 2: Current Order window 3: All Offers 3 Offer Example In this example Volift Retouch has an offer of Buy 5 get 2 Free. To include this offer in your order add the offer from the ‘All Offers’ product category in multiples of 7. The website and customer Services then recognise this as an offer product, charging for 5 and adding 2 FREE to your order when packaging for delivery.
