Junction City hosts the Scandinavian Festival annually to celebrate our town’s
cultural heritage. Our theme is “Little Scandinavia” and we expect our performers
and vendors to fully support this theme by wearing proper wardrobe and by vending
juried products in an “old world style atmosphere.” Please follow the guidelines
enclosed with this letter closely.
Our jury process entails you to set up a sample of your product(s) for a small
committee of 10 to 15 community representatives, board volunteers, and vendor
committee members to sample and ask questions. This is also your opportunity to
ask any questions of the committee. After each jury session, the jury members will
fill all openings, and recommend a waiting list (if needed) for this year’s event. The
earlier you jury the better chance of getting in, as we fill spots after each jury
session.
Jury Location: Fletchall Hall – 5th and Greenwood, Junction City, OR 97448
Times: A jury session will be held in March of each year, and a second jury session
will be held in May of each year. Specific dates will be posted online in January of
each year. If the May jury date has passed, then the Scandinavian Festival
has closed for that year, and you will need to apply for the following years
festival. The vendor committee starts looking at potential applicants in
January each year.
At a jury session, potential vendors will do the following:
1. Potential vendors must present their own products to the Vendor Committee. Jury
exactly what you intend to sell during Festival, which includes pricing. Be prepared
to discuss your entire line of products you wish to vend at Festival. Only like line
products will be allowed (ceramics, wood, jewelry, etc.) All new lines of
items will need to be juried before adding.
2. Selection is based on how each product fits into the theme of the Festival. Some
or all of the aspects listed below for the product, booth, and/or vendor will also be
based on selection, so please keep these in mind when you come to jury:
A. Scandinavian origin of the product.
B. Local or Out of the Area Vendor Status.
C. Handmade or commercial, (the board limits commercial crafted booths.)
D. Vendor understanding of the Festival Booth and Costume requirements
E. Product original to the Festival (The board minimizes duplications of products.)
F. Salesmanship, presentation, cleanliness, neatness, and pricing.
G. There is no fee to jury; the fees are explained separately in the General
3.) The jury process basically a question and answer time for the vendor committee
and potential vendors alike. So, if you have any questions regarding the festival,
this would be a great time to ask. The committee includes an arrangement of people
involved in the festival in different aspects, so you will be able to get your questions
answered by experts.
4.) Once your products have been accepted into the Scandinavian Festival, all new
vendors will need to present their booth and costumes to the committee by June 1st
for final acceptance into the Scandinavian Festival. The committee members will
discuss how you might present your booth and costumes to us based upon a vendors
distance from Junction City.
Please read through all the information in this packet before you apply for
the festival. The Scandinavian Festival is a unique, family oriented event,
and we pride ourselves on this atmosphere. Vendors play a huge role in
creating this atmosphere, and we expect that any new vendor will strive to
adhere to the guidelines to make the event what it is.

GENERAL INFORMATION
Festival Dates: Second full Thursday through Sunday of
August.
Festival Hours: Participants must be present all four days of the Festival. Hours
are from 10:00 AM to 10:00 PM Thursday through Saturday, and Sunday 10:00 AM
to 8:00 PM. Booths must be open for business during these designated hours, but
may open early (especially Saturday for race runners) or continue on in the night on
a voluntary basis.
Fees: Entry Fee as seen on your contract. Festival will provide electrical hookups for those who own a booth, depending on the need. Vendors must provide their
own extension cords to hook to the festival provided power panals. A full refund is
available only if written cancellation is received prior to July 1st. After said date, it
will be up to the committee’s discretion if money is refunded.
12% of gross sales (10% for approved Junction City non-profit organizations)
must be paid to the Scandinavian Festival Association within seven days after the
completion of the Festival. Failure to do so will result in non-renewal of contract.
Costumes: All individuals working in booths must be in acceptable Scandinavian
costume at all times. (See costume guidelines for details.)
Set-up: Booths must be moved in on assigned day and time (Move in schedules will
be mailed in July.) All vehicles must be off of the streets 9:00 AM Thursday of
the week of Festival.
*** No outside booths will be allowed to set-up Wednesday and absolutely
NO booths may set up Thursday ***
Takedown: No booths will be removed without vendor chair approval on Sunday
night. All booths will be removed during daylight hours and before 7:00 PM Monday.
Booth Acceptance: If you are building a new booth, plans/pictures/drawings must
be submitted prior to June 1st for mandatory Scandinavian Festival Committee
approval. Failure to do so could result in the committee not allowing your
booth to be at Festival.

Craft and Food Booth Guidelines
The following guidelines are required of Festival participants who plan to provide
their own booths. All booths that do not meet the following standards must upgrade
prior to participating in the 2012 Scandinavian Festival. There will be no exceptions.
General Booth Requirements
1. Booths may not extend more than ten feet in to the street from the edge of the
curb.
2. Booths should be at least eight feet wide by eight feet deep. The roofline must be
at least seven feet tall.
3. Shade structures erected for seating areas must be fire resistant.
4. Signs should be appropriate to the size of your booth, but we suggest no more
than two feet by two feet. It should have your name, or the name of your business
or organization. The sign can be mounted flush on the booth, or from overhead
holders. Please use only primary colors.
5. Price signs must be mounted flush to the booth. You will be asked to remove any
commercial signs (sponsorships or advertisements), or signs deemed not
appropriate.
6. All Festival participants must provide their own interior and exterior lighting. Use
of clear outdoor Christmas lights is encouraged.
7. Participants must screen or cover equipment stored outside the booth consistent
with motif, and this storage must be kept to a minimum. Plywood covers are
encouraged. Storage on the sidewalk behind the booth is discouraged.
8. “Mark Downs,” “Show Specials” and discounts are not allowed.
9. No unauthorized distribution of advertising, political, religious, or any other
printed materials.
10. NO drugs or alcohol permitted in Festival area. No consumption
permitted by vendors during working hours.
11. All booths must comply with Fire Department guidelines. These guidelines are
available upon request or at the July vendor meeting.
Construction Guidelines
1. Booths must be of “old world” Scandinavian motif with decorative trim, flowers
and flags.
2. Booths are encouraged to be of wooden construction. This adds to the “old world
village” theme that helps make our festival unique. Booths can be mounted on
trailer chassis or assembled on the street. If a trailer is used, tires must be removed
or disguised.
3. All metal trailers or “pop-up” tents must be completely disguised so as to
conform to the old world image. Lattice is an acceptable method of décor, however
lattice alone is not sufficient. Flowers, garland, and/or other accents are required.
4. A gabled roof is mandatory. Solid wood or shake-shingled roofs are encouraged.
5. If fabric is to be used for the roof, the following requirements must be met:
-Use heavy, taut fabric (plastic tarps are not acceptable).
-Roof fabric must have a flame resistant certificate, or the Fire Chief may subject
the roof to a burn test.
-The use of solid, bright, and contrasting colors are encouraged.
6. It is understood that vendors use modern materials in construction for ease and
efficiency of set up. A façade is required to disguise tents from looking like a mere
tent. A humble shanty does fit in the market place as long as it appears to be
constructed from period materials. Wooden posts, scrimshawed moldings, and
colorful accents are an effective means of transformation.
7. A culturally authentic image can be attained by realizing the prideful nature of a
Scandinavian community. Vendors would put on airs in an attempt to have the best
looking shop in town. Getting by with the minimum is not truly conducive to the
spirit of a festive environment.
The following construction methods are
not allowed under any circumstances:
1. Exposed pole, “tent-type” construction, whether it is metal, PVC or any other
material.
2.Un-altered “pop up” style structures or Metal trailers
Approval by the Association must be gained prior to setting up. A picture or
design concept, colored drawing included, can be used for approval. These
materials must be submitted with your contract for festival records.
Costume Guidelines
Men
Minimum Requirements
• White shirt, long sleeves or short sleeved only if cooking. Must be a dress shirt not
a t-shirt.
• Dark colored pants.
• Scandinavian style vest.
• Dark colored, closed toe shoes.
Nice additions to costumes
• Woven garters
• Trim on the cuff of pants and/or vests
• Clogs
• Silver buckles on black shoes
• Pewter neck pin on shirt
Women
Minimum Requirements
• Long sleeve (short sleeve if cooking) blouse, not a t-shirt.
• Scandinavian Vest (upper portion of a dress replaces this)
• Long, pleated, dark colored skirt or dress
• Closed toe, dark colored shoes
• Apron
Nice additions to costumes
• Ribbons or flowers in hair
• Braid or trim on skirt or dress
• Silver or pewter jewelery
• Scarf or shawl
• Waist bag
• Silver buckles on shoes
Shorts, jeans, cut-offs, light colored pants, short skirts, tank tops, T-shirts,
bare chests, bare feet, light-colored tennis shoes, ruffles on bottom of
skirts, fanny packs and knit shirts are not permitted for any vendor,
regardless of product. This apparel is not consistent with the Scandinavian
atmosphere that the festival is trying to maintain. We will be strictly
enforcing costume requirements so please expect to be asked to comply or
leave the booth if you are not in proper costume.
