Improved layout of patient information in Presentation
Manager documents
This relates to using templates from Presentation Manager with Data > Charts tab > Treatment Items

Before v11.6 all Notes in the patient documents that were generated from these templates were inserted into a
single column, which could then run over multiple pages:

From EXACT v11.6 the Notes are displayed horizontally, and service items are identified clearly by means of an
identifier:

The View Patient History button is located above the Treatment Planning area between the 3D and New
treatment plan buttons:

This shows a record of the patient’s historical and current treatment, including:

The date the treatment was completed or planned
The provider who completed or planned the work
A graphical representation of the service (if applicable)
The service code including tooth number and surfaces
Particulars of each line item
The total fee
The patient and payor portions of the total fee
Any clinical notes, invoice notes or custom screens that are attached to services.
Details of any treatment that has been flagged as Failed, for inclusion in the Clinical Audit (tick the Show
Failed checkbox to display Failed treatments).
(Optional) Voided items - these are not deleted, simply hidden from view by default. Check the Show Void
checkbox to view voided items, which are identified by the voided icon:
Treatment can be sorted in three ways:
Sort by Date arranges treatment carried out by date
Sort by Tooth No groups treatment by tooth.
Sort by Plan groups treatment within a Treatment Plan
Historical Treatment is sectioned into areas for:



Base Chart items
Historical Chart items
Current uncharged treatment items
The Base and Historical sections display treatment that has been completed and either charged or added to

history.
The Treatment Planning area displays treatment currently planned for the patient. The treatment text is displayed
in the colour of the provider logged on when the treatment was charted.
To collapse and expand ALL sections of the history list
The list opens expanded and you can see all items.
Use the two buttons at bottom right to collapse all or expand all.
You can then use the normal + - icons to expand or collapse specific sections.
To display the history of specific teeth only

To search Treatment / Tooth History
Use the Search field to search for anything that matches the entered text, including Service names, Notes,
Custom screens (both field names and data), and provider codes.
While the search uses exact matching, it is not case-sensitive. For example, searches for both EXAM or exam will
match any of the following:




Patient came in for exam and Xrays.

The search text remains in the Search field until the Tooth History window is closed, enabling you to edit and
refine your search criteria and conduct further searches.

ICCMS software link
The ICCMS (International Caries Classification and Management System) is a health outcomes focused system that
aims to maintain health and preserve tooth structure. Staging of the caries process and activity assessment is
followed by risk-adjusted preventive care, control of initial non-cavitated lesions, and conservative restorative
treatment of deep dentinal and cavitated caries lesions.
From version 11.6, EXACT provides a link to online ICCMS software, with integration of basic patient information
between EXACT and ICCMS.
You can optionally use this ICCMS software in the daily handling of patients for caries prevention and
management.

Suitable for all dental practices.
Confidentiality: Only basic patient demographic information (name address, DOB, etc) is transmitted to the
ICCMS website. Clinical history remains confidential within EXACT.
Any user with an EXACT login can access the ICCMS through the patient file link (the link is not restricted to
any user roles in the practice).
EXACT has only a single button link to ICCMS online, visible when a patient record is open:

Requirements


EXACT version 11.6 or later
The Xray link requires registration in EXACT:
Configure > Practice Information > Register button


Each computer that uses the link requires access to the Internet via a functional Broadband connection.
Please contact the Support Desk for help with the EXACT setup for ICCMS. (each practice using ICCMS
requires a unique identifier, which is only configurable by Software of Excellence)
Limitations

As this is not an EXACT product it is not fully supported by the EXACT Support team.

Software of Excellence manages and supports only the X-ray link between EXACT and ICCMS software.

Outbox Statuses
The Outbox for Email and SMS includes two new message statuses:

Pending online booking synchronisation (EXACT hasn't yet finalised the URL / web address for the patient to
use)
Online booking synchronisation Failed (EXACT is unable to finalise the URL / web address for the patient to
use)
Instant Messenger updates
Optionally configure Instant Messenger (per User) so that incoming instant messages are minimised by default.
Receiving instant messages
The way you receive instant messages depends on whether these messages are un-minimised (the EXACT
default), or minimised (an optional per user setting).
To close EXACT when there are messages open

If you attempt to close EXACT with messages open you will see an error message:

(This is default EXACT behaviour)
When the message comes in you will hear a beep (configurable), and the message will overlay other screens, and
you have to Reply or Close to remove it from the screen:

To receive minimised instant messages
(This happens only if EXACT has been configured for minimised messages).
When a message arrives you will hear an audible beep. Nothing else changes on your screen.
Locate the message where it is minimised to your taskbar:
Configuring default message minimisation
By default EXACT displays all incoming instant messages overlaid on other windows.
From v11.6 each user can optionally change this behaviour so that incoming messages (except for panic button
messages) are minimised by default.
User will still be notified of message arrival by means of an audio beep (customisable).
If users attempt to close EXACT they'll be prompted to deal with minimised messages.
To configure default message minimisation
1. Go to Configure > User settings
2. Locate the Instant Message area at bottom right and check (tick) Minimise incoming messages:
