The College offers a range of general and specialist undergraduate and postgraduate courses that are rigorous and attuned to meeting the needs of students in ensuring their readiness to work in changing environments. Our courses are appropriately linked to emerging trends and critical global issues. The College research achievements have an outstanding reputation for their innovation and contribution to society and are at the forefront of building strong relationships with industry partners. Based within the Partnership Operations team and reporting to the Coordinator, Placement Operations, with direction and guidance also provided by the Experiential Learning Advisor (WIL), this position will provide a range of administrative services to support the delivery of Work Integrated Learning programs across a variety of disciplines. This position involves extensive stakeholder management and will have responsibility for the provision of high quality customer service and advice to industry partners, academics and students involved in Work Integrated Learning Programs across the College. Duties at this level may include: In accordance with set procedures evaluate, process and tracking work integrated learning placement requests, rostering students and liaising with various stakeholders Assist in the development, documentation and implementation of procedures relating to work integrated learning Programs to ensure consistent business processes Act as the main point of contact for students, staff and work integrated learning agencies, dealing with enquiries, providing support and guidance Assist with the development and maintenance of work integrated learning Program promotional materials for industry and students Liaise effectively with organisational units and staff beyond the immediate unit to gather information, stay informed and contribute to the requirements of the Partnership Operations portfolio Apply relevant and applicable policies and procedures to ensure the provision of effective and efficient administration of placements and work integrated learning partnership agreements Update existing work integrated learning program materials Provide factual and accurate information, as appropriate to internal and external stakeholders regarding work integrated learning experiences Access and maintain relevant University data bases and systems, including developing and maintaining an employer database Provide a range of administrative support services such as word processing, drafting routine correspondence, taking minutes and action items, organising meetings, room bookings for pre placement workshops and following up on relevant action items Commitment to providing excellent customer service to students, staff and the community which may require assisting other staff across the work integrated learning Portfolio as directed by Coordinator, Placement Operations and the Experiential Learning Advisor (WIL) during peak periods and at other times as required Work collaboratively as a member of the College’s administrative staff and undertake other administrative functions and tasks as required. Key Selection Criteria Completion of a degree without subsequent relevant work experience; or an equivalent combination of relevant experience and/or education/training. Demonstrated office administration and administration management experience. Excellent written and oral communication and interpersonal skills, including the ability to communicate with a variety of stakeholders at different levels (students, academics, industry etc). Develop and maintain excellent working relationships with colleagues, internal stakeholders and external providers. Demonstrated capacity to work independently and organise work effectively and efficiently whilst also contributing positively to an effective team. Demonstrated ability to work in a multi-functional team environment and contribute proactively to an effective team.
