Registration Periods
The initial questions are:
1. Do you want Registration periods to show on timetables?
2. If so, do you want them showing for just Teachers or for Teachers
and students?
Whatever the answers to the above, this has a chain effect on what is seen in
Sims. Net and how Lesson Register/Monitor is set up.
If the answer to the first question is No, then a
cycle definition such as that shown right is
perfect and this needs to match with the cycle
definition in Sims.Net and T4 .
Registration period for Teachers AND Students
Here a registration period has been introduced at the start of the day.
But this set up will allow any block to be
scheduled during the registration session.
This will also allow a registration block to be
scheduled at any other time.
This could prove dangerous if locking is not
applied and any auto schedule routines are used.
A Registration block is created in each year
group
- probably using blank as an identifier
(shown as a ? but never enter a ?
yourself) and then apply whatever labels
are required. These might be A, B, C … or
might later be changed to staff initials
when more is known.
The block will be left as S5 in the Sessions
screen.
Even if you intend to immediately schedule
and hard lock the registration blocks before
any “proper timetable” scheduling, you are
advised to act as follows:
Apply a period type to the Registration
period and make it exclusive;
- In Cycle, point at Reg and right click and
choose Period type, select Add + Reg and
hit OK.
- This will introduce green circles with an
R in them in each Reg period.
- then point at Reg again and right click
and choose Period Type Mode and select
Exclusive + Ok.
- This will change the green circles to red
circles.
- This means that only blocks that are of the period type Registration can
be scheduled at these periods AND these blocks can only be scheduled in
periods with the same type.
- Go to the Auto screen and highlight a Registration block, right click and
choose “Set Period Type” and choose Reg.
- You can schedule this as and when you want, applying staffing and rooming
to the block
- As Registration is a subject for the above purposes, add Rg to Plan |
Teacher Departments for all required teachers and adjust Plan | Teacher
Rooms as appropriate so that Automatic Rooming can be effective.
- In SIMS .Net students will need allocating to classes and any Student and
Teacher printouts will show registration.

Registration period for Teachers ONLY
As a result of this method, Teacher’s printouts will show Registration but
not those of students (though using pre-prepared stationery or footers could
add any extra information).
The cycle definition is amended to allocate
Period types and exclusivity as described
above.
In this method Non Class Codes are created
for Reg periods
Go to the NCC screen.
In the left hand column, if a suitable
code(s) is not already available then create
using the + button for that column
There are 4 slightly varied approaches for this work. Three of these employ
similar methodology whilst method 4 applies a different technique. Which
method suits you is up to you.
The user must decide from the following
likely options
Method 1 --A generic REG code
a) used to create an NCC blocks
for each registration Tutor
b) If the Registration periods
in the cycle are defined as
Reg type + exclusive it is
important to note that the
Reg type has been applied to
this NCC block
c) Note also that as the block
is defined for one person
only the room can be
allocated and scheduled at
the same time.
d) When saved, click on Assign
above the sessions column
e) If the block is defined for
the full number of available
sessions then click on
Schedule as the only periods
into which these sessions can
be scheduled is also of the
type Reg
f) If a part-time teacher and therefore only available for selected
sessions, manual scheduling must be applied.

Method 2 -- A Reg code for each year group.
a. Exactly the same as above only an NCC code is created for each year
group and blocks are created for each of the relevant staff.
b. Rooming as above.
Method 3 --A Reg NCC code for each tutor group.
a) Exactly as the two methods
above, but create individual
NCC codes for each Reg group.
– eg 10AWREG, REG9JB etc
Method 4 none of the above!!
This method may be deemed quicker and
again creates individual NCC blocks
for each Registration group.
However it relies on the definition of
the registration periods in the Cycle
screen to not be of Reg type.
Therefore if scheduling is not yet
completed this can be a dangerous method
to employ as any unscheduled teaching
block could be moved by the user or by
the software into a registration period
as the protection is not present.
a) Create and highlight the Non Class code to be used
b) In the staff
list highlight
the required
form tutor
c) Click in the
relevant sessions

e) Right click on the scheduled reg session in the large display and
choose Assign Room then choose the room for this teacher. This will
make two additional entries
f)
Click on the Assign Button at the head of the Session Column.
g) This will have assigned the chosen room for all the sessions.
h) Repeat for other staff registration sessions.
Some Notes on pm Registration
a) If PM registration session is included in the cycle at the start of
the timetable work it should be given a period type Reg as discussed
above.
a. Consequently extra sessions need to be created using the chosen
method.
b. This will mean that any blanking codes designed to go over pm
Registration will need to be created in two parts as a single
block cannot straddle a period which is of a different period
type
b) If PM registration is added after or part way through the scheduling
process and is given a period type REG
a. then the user is advised to check ALL blanking codes
b. AND check any block which now straddles the pm Reg session.
c. Block lengths and sessions may need to be redefined and teaching
blocks rebuilt.
