First of all I would like to say Thank you for taking on the Manager's position. Read this manual if you have any question's email our Head Manager Joanna Bowman; [email protected] Remember you are the manager not the coach. The coach looks after the players, please remember that your position is to communicate clearly between your coach and your parents/players consistently throughout the season. Lacrosse is a team sport that requires everyone from player, parents, coaches and managers to communicate to ensure the season goes well. Manager's checklist The following checklist helps you summarize some of your tasks and will help you guide you through the season. There is detailed information to follow. 1. Complete team and parent Conduct forms 2. Ensure criminal record checks for coaches and yourself are up to date 3. Medical forms are completed. Make sure coaches are aware of any concerns ASAP. 4. Contact your division commissioner with yours and coaches contact information. 5. Send an introductory email to your parents. 6. Have a parents meeting 7. Sign up for Team snap easy way to contact your coaches and you to communicate. 8. Distribute Team Jerseys and collect Jersey deposit cheques. 9. Once Jersey cheques are collected drop off to Head Manager. 10. Check in with Tournament Co-ordinator for tournaments and if you want to sign up for any extra Tournaments 11. Picture Day April 27th and 28th. 12. Volunteer Schedule for clock and game sheets 13. Peewee/Bantam/Midget Managers complete Minor Provincial Team Declaration Forms for Playoffs 14. Plan a wrap up /Year end Party 15. Collect Jerseys and return back to our equipment Managers. Thy will shred the cheques once jerseys come in. Team and Parent Conduct Our Association is held responsible for the behavior of everyone associated with our teams, be they coaches, players or parents. Coaches are not in the stands but you are as a team manager. Verbal abuse of coaches, referees, players or opposing team fans will not be tolerated. One method is to prevent negative parent interaction is to ensure they understand the rules. Another method have one of our board members come to your parents meeting and underline the zero tolerance. Inform the parents of the team that the referees have the right to remove abusive fans from the stands, and if the person refuses to leave the game will be stopped and the time clock will run until that individual leaves. In these situations it is the players that will suffer as their playing time will be lost. Encourage the parents to sit back and watch the game. Let the kids play Lacrosse. If parents aren't happy with the coaches strategies, hold a parent meeting 24 hours after the game and have them address these concerns with the coach away from the players. Matters that are serious and cannot be resolved informally are to be referred to the NDLA Head Coach, Steve Bishop. We encourage parents/guardians to ask questions. If parents don’t know why a policy or procedure takes place a certain way, please ask the coaches rather than just speculating. Remember the coaches are volunteers! Managers are responsible for all parents to make sure they sign the code of conduct form and kept on hand at all times with themselves. Criminal Record Checks Criminal record Checks can be done online. All coaches, door people and Managers need to have this done. You may also choose to give out a list to parents with Jersey numbers so they can see who is playing and when. Nice for parents to have coaches and parents phone numbers and emails in case their child can't make practice or needs a ride. Medical Information It is mandatory to gather all medical information on all players (food allergies, and or preexisting health conditions such as prior concussions or asthma etc.) On our website there is a medical form that you can print off and give to each family to complete and return to you. Remember if there is a health issue you need to let the coaches know right away. Some parents don’t remember to tell the coaches. Its mandatory for every team to have a first aid kit on the bench for games and their practices. If an injury occurs that may require medical or dental attention please give the parent/guardian the BCLA claim form. You MUST inform and email Brian Boas with the details of the injury. Including the player's full name, date and location of game/practice immediately. Once the parent/guardian/doctor completes the document it must be returned to you for completion and submitted back to Brian Boas. SUCH CLAIMS MUST BE MADE WITHIN 30 DAYS. Have parents meeting to go over Team Expectations and fill out the mandatory forms • • Parent Conduct Medical Forms • • Let the coaches speak to give their expectations of the team. Talk about tournaments. NDLA pays for one tournament. • • • • Fundraising; if you want extra shorts, hoodies or extra tournaments. Examples of Fundraising; hot dog sales, bottle drives, run-a-thon. Any Fundraising needs to be approved by Head Manager Joanna Bowman. Draft a team budget for parents. • Please remind all parents are not allowed on the players bench or floor during practices and game times. It's for insurance reasons. Only people allowed on bench are coaches and managers and door people. • If your team decides to get extra jerseys they need to be approved by the NDLA board before purchasing. TEAM ACCOUNTS Teams are allowed to have their own bank accounts, if they choose to go that route. Any fundraising that is done needs to be processed to the NDLA accounts. Natalie Cashmore is our treasurer. [email protected] TOURNAMENTS: NDLA will pay for the registration costs of one BCLA sanctioned tournament per team. The NDLA board will have applied for tournaments by the time you have received your team. Please contact Kim Sharpe our Tournament Co-ordinator to see which tournament your team is in. If your team wants to go in extra tournaments it's your responsibility to apply for them yourself. You have to start by going into the BCLA site and apply that way, you can also email the hosting team to see if there is space and that your interested. A complete list of tournaments is on the BCLA website. HOTELS As Managers you are responsible to phone hotels and book a block of hotel rooms. The hosting tournament usually has a list of hotels that you can choose from. As soon as you find out your tournament that would be a great first job to find a team rate and book a block of rooms. Then email your team with information of hotels and rates. TIP: book a Team Lunch or dinner during the weekend. Parents are responsible for their own children. Another suggestion is ordering a bunch of pizzas for the team and have a pool party at the hotel. Parents can chip in $10 each TEAM JERSEYS Your team jerseys and socks can be collected from our equipment Managers. Brandi and Shane Terris When you are handing out jerseys you need to collect $100 post dated cheque for September 1st 2016 from each player. Note on each cheque player's name. No cheque no jersey. Every bank makes cheques. Once you have collected all the cheques. Please put in envelope or zip lock labelled with team names and contact the Head Manager, Joanna Bowman. You can drop off in her mailbox. This needs to be done ASAP. AT HOME GAMES; SCOREKEEPING AND TIMEKEEPING: You will need to provide a scorekeeper and timekeeper for home games. Be sure your parents know which games(s) they are responsible for and have them arrange an alternate if they are unable to do a game. TIP: Prepare a schedule at the start of the season specifying which families are responsible for scorekeeping and timekeeping each home game. SCOREBOARD OPERATION: If People need to learn how to use a scoreboard contact your Head Manager and we can set up a few clinics to get everyone use to it. GAME SCORESHEET: You will be given a supply of scoresheets at the beginning of the season and are responsible for having them filled out before the game and mailed to the Division Commissioner after the game. Make sure you include the bench personnel (coaches and door personnel) and their NCCP numbers. Have the visiting team's managers fill out their roster before game time. TIP: Cross out any players who are not actually playing in that game and include all bench personnel on the scoresheet. The referee will check and sign the scoresheet at the end of the game. Give the visiting team's manager their copy of the scoresheet and keep your copy (this is important the Commissioner may contact you if he/she has any questions regarding the game. The original copy is mailed to your Division.s Commissioner. Tip: pre stamp about 6 envelopes with the commissioners address on it so you can send away right away. As soon as possible after the game, send an email to your Commissioner with the following information: • • Game number and date Home Team and Score, visiting team and score; • Any significant game notes (ex. Major penalties, including player name, number, and teams, player or coach ejections. FACILITIES AND FLOOR TIME Teams needed extra floor times to practice need to contact our Arena Allocator Cathy Coulson. You must notify her 72 hours in advance if you are not using your floor time or outside box time. if you don't notify Cathy your team will be charged for unused floor time.
