Monthly meeting minutes

Welcome
Kate welcomed Teachers and parents to tonight’s meeting and thanked the new faces for coming along.
Acceptance of minutes from 20 March meeting
Minutes were taken as read. No matters arising.
Correspondence
 Icon photography – $10 photo session, participant gets a photo and the cost is donated to the school. Karen
Cartmill will investigate and report back
 Fieldays Tractor – a competition to pull a tractor and the quickest school wins $2,000.00. Sarah Freemantle will
investigate this and report back.
 Chiefs fundraiser – If parents purchase tickets to the game through the website link and select Hukanui school
we get a commission from it at the end of the season. Debbie-Jo will get more information on this and once
confirmed get the school to send an email out with the link and details and it will also be published on facebook.
 EZ lunch has requested that we add some more options to the menu, these were agreed to and Debbie-Jo will
let them know.
Treasurer’s Report
Treasurer’s report for March, prepared and read by Cara Giles
Closing balance as at 1/03/2017 was
$37,168.62
Total withdrawals for March were
$7,915.00
Total deposits for March were
$5.98
Kate moved that the financial report for March be accepted, seconded by Helen Derry.
Annual Treasurer’s Report
Cara has received these back from the accountant and some points that were made are;
Ensure all reimbursements are made from the bank account directly to each individual party involved.
That we count cash carefully as there were discrepancies in deposits and we will double count from now on.
Kate moved to hold off the acceptance of the annual report until these have investigated further into the
discrepancies with the figures, this was seconded by Jenny Abel.
Teachers Report
School News
 Welcome to our teachers here tonight, Nicola Turnbull, Ashleigh Hope, Anne Flanigan.
 Winter Sports teams are nearly all out. We have had big numbers of children interested in playing.
 Today we had our Caring Fundraiser for Casey. Lots of the children really got behind this. We raised around
$2,650
 AliM 3 is beginning next term with the Year 2 team.




We have our Special Anzac Assembly tomorrow. As mentioned in the newsletter, Achievement awards for this
term will be given out at first Whole School Assembly Term 2. The student leaders have also put up the cross
display which has had a lot of interest and good discussion from students.
Last day of Term is Thursday
The big shade by the swimming pool is up and looks fantastic.
Interschool Swimming Sports - the students did really well and looked great in their Hukanui Caps.

General PTA Business
 Grants update
Bruce confirmed that everything for the Swimsafe application needs to be sorted and applied for by the
beginning of June. He will talk to Lisa to approach other company for a quote and once received will get a signed
copy of the minutes and apply for the Grant. Kate moved that we sign the minutes at the next meeting,
seconded by Mel Ruffell.
It was agreed to apply to the Blue Sky Community Trust for $13,000 towards the cost of swimming and water
safety instruction for our children.

 Entertainment Book sales are coming along great. Expect an increase in the next two terms.
 Calendar Art – Jenny Abel is organising this and it will be completed during Swimsafe week in Term 3. Teachers
will decide if it will be artwork or a picture of the student.
 PTA Coffee cart update - Great success lots of new faces. Very visible to the parents which meant more
exposure. They really enjoyed viewing the poster of what has been completed over the last five years. This
event will be repeated.
 Mini Ball/Hoop Purchase – Mel met with David to discuss the type required which raised further questions about
past experiences and what they are really wanting. Deirdre and David are now to discussing what type of hoop
to purchase and are aware we have earmarked up to $2,000 for this.
 Cricket update – a group of dads are meeting in the holidays to discuss, and the project will be completed by the
start of term 4. Mel Ruffel is assisting in the organising of this so please contact her or Ainsley if you can help in
any way.
 Secondhand uniform sale on Thurs 13 April and lots of donated items. Bring cash.
 First kits –Ainsley will give an update on this at May meeting.
 Sunscreen – This will be revisited in the last meeting of term 3 as required for term 4.
 Dough Raiser – the proceeds made from the dates below will be given to the PTA. Cara Giles will handle the
advertising of the following dates to ensure it is advertised to the school community and flyers sent out.
Term 2: 10th May (wk 2) (PTA Meeting night) and 28th June (wk 9)
Term 3 : 23rd August (wk 5)
Term 4 15th November (wk 5)
New Business
 Hot dog day - Friday 26 May
Volunteers are required to count money and deliver hotdogs and if you have a crock pot we can borrow this
please. Only standard hot dogs are to be made with no allergy adjustments.
 Facebook page
Kate moved that the Gala page is removed and just the main PTA page used. Seconded by Bruce.
Kate moved the current officers of the PTA are the only administrators of the PTA Facebook page. Seconded by
Bruce.
Debbie-Jo requested that everyone here tonight please like and invite other parents to the PTA page, agreed.




Robotics/Technology Gear
Please see the attachment. A group discussion was had and Kate moved that we approve the funding for this
and Helen seconded this.
Nothing Naughty
Liz Savage was looking into this as a fundraising option but was absent so we will revisit at the May meeting

Living Room
Target this year to fundraise $20,000 which is earmarked for extending the outdoor Kitchen and BBQ for
sustainable living.
Mel read out an email from Michelle White with information from the children’s wish list as they have been
revisiting the list and adding reasons why the items listed will add value to the outdoor area. They are really
excited about this and we are really excited to be able to assist them in the progress and look forward to the
results.
Things to fundraise for:
Plastic protective sheets to keep the children’s bags dry in winter when hanging up outside.
A refit of lost property.
Fundraising ideas
 Colour Run – 4th term. This was successful at another school. Ashley Hope will ask her friend on that PTA about
details and contact the Colour Run Company and update us at the May meeting.
 Adult Bingo / Auction / Disco night - 4th term
Agreed to revisit this idea at the May meeting once confirmation of colour run profits is received and then
choose if we do one or both events.
 Garage / Carboot Sale – charge for entry of the car, any leftover items can be donated to Redcross/Sallies/St
Lukes. We will revisit this at May meeting.
 Kids Disco - Dawn, Susan, Kate, Mel, Jen Tilley, Jen Burns, Natasha and Sarah will investigate the options and
decide whether we have 2 or 3 mini discos and pass their knowledge onto others who can take over in years to
come. 0 – 2 yr, 3 – 4 yr, 5 – 6 yr. Proposed date before daylight savings starts – end of September.
 Movie night – Nic Carter, Kate Cooper and Toni Bowler will get information to organise this. Family orientated
movie – but could possibly do two nights with the second as Adult movie.
