SCHEDULING OF EVENTS Who works events? • Clubs who elect to receive the $500 stipend How many events does my club have to work? • 5 events during the school year assigned by the concessions scheduler • MUST also provide 2 workers for the Wolhutter Track Meet in the Spring – date TBA Can we work more than 5 events and receive extra money? • If there are extra events available and a team is interested, that club may contact the concessions scheduler to let them know they are willing to work an extra event for $100/event. How were my dates assigned? • We asked for feedback from all clubs as to their preferences. We tried to accommodate as best as we could. We also tried to assign smaller clubs the smaller events and to get you your 5 assigned dates by your Meet the Team date. What if I have a TBD on my assigned dates? • You will receive those assignments as soon as the dates become available. The Spring schedules are not usually finalized until March. What if my scheduled event is cancelled? • Your club will be notified and reassigned to staff another event What if I can’t work on my assigned time? • You may contact another team to switch dates as long as BOTH teams affected contact the concessions scheduler and notify him/her of the change. If no one shows up and the concessions scheduler was notified of the switch, the scheduled team will forfeit $100 of their yearly stipend. What if I don’t show up for my assigned event? • If you do not show, your club will forfeit $100 of the yearly stipend for each event that is a “no show.” You MUST also provide the required # of volunteers for your event or you will also lose the $100 stipend. What time do I need to show up for my event? • Check the MASTER SCHEDULE column “Concession Times.” Note that event starting and ending times are not the concession starting and ending times. GENERAL STAFFING INFORMATION Will someone remind me of my assigned date? • You will receive a reminder e-mail 7 days prior to your event. Please read the Communication Process Flow for more details. How many volunteers do I need for each event? • Check the MASTER SCHEDULE column “# Volunteers.” • This number is how many workers should be in the stand at a time. If you choose to split your time into 2 shifts, you will need twice as many volunteers. • The number of volunteers INCLUDES the concessions manager for your team. • We suggest that any event spanning more than 4 hours be split into 2 shifts. Who can I ask to serve in these events? • Your trained concessions manager or representative must be in the stand for your clubs 5 assigned events. This person will count in the total number of volunteers needed. • Football Games – ONLY ADULTS can serve in the Norris Stand • Other Events and Norris/Indoor Stands – All money handlers should be adults and the others can be high school students. • We request that no children younger than high school age work in the concessions stand. What positions can High School students serve? • They may serve as Food handlers, but they may NOT handle money in the stand. What are the assigned jobs in the stands? • Generally there are order takers, order fillers, and food prep jobs. • The Concession Stand Workplace Layout shows where the people should be assigned. • Go to “Stand Information” section for more specific details What if I have a problem staffing an event? • It is your responsibility to staff your assigned event. If you do not supply the required number of volunteers, you will forfeit $100 of your yearly stipend. • Teams that have a problem staffing might consider requiring a check from each family that will only be cashed if the volunteers do not show up for the time that they signed up for. • Make it clear to parents that if your student played on the team last fall/winter/spring, they are committed to work this year's concessions events. WORKING IN THE CONCESSION STAND How will I be trained? • All concessions managers and alternate concessions managers must attend the Orange and Black Football game where Central Boosters Concessions Staff will lead the training. What if I forget what to do when I get in the stand? • Each stand will have a book with all pertinent information • Each piece of equipment will have directions posted at or on the equipment When and how do I open the stand? • Each Booster Concessions Manager has a key in their book that gives them access to each concessions stand. • Check the MASTER SCHEDULE for “Open Concession Window” column • Check the STAND INFO. Tab in your book for start up procedures for each stand. • The stand should be open 30 minutes prior to the start of the event What do I wear while working in the stand? • Orange aprons are available in the stands and should be worn by all volunteers. • If hair is shoulder length or longer, you must put your hair in a ponytail • Nametags are in your notebook and should be filled out by each volunteer and worn while working in the stand Do I have to pay to get into the event? • The assigned team concessions manager should fill out the form with the names of all volunteers and give it to the ticket office/table. This form is located in the FORMS section of the handbook. Does anyone get free food? • Volunteers get ONE beverage free of charge while working in the stand. • A schedule will be given for each event for hospitality items for the Referees. Someone from the Central Boosters Concession Team will inform you of this process. • Athletic Director will occasionally give out tickets which can be used at the concession stand to purchase items. The Athletic Dept. is charged for these tickets. Put these tickets in the cash box and treat them as CASH. NO Change is given for these tickets. • No food is to be sold at half price or given away. All extra food gets put in the coolers at the end of the event. FINANCIAL INFORMATION As the concession manager you are responsible for all money during your event. Please keep these simple rules in mind: 1. Only adults are allowed to handle the money during events 2. Do not accept bills over $20.00 3. Count the starting cash immediately and record this amount on the Cash Reconciliation form 4. When the event is over have two people count the money and completely fill out the attached Cash Deposit Reconciliation being sure to record the number of singles, fives etc. Use the calculator in the stand to verify the total, and record the total on the deposit slip you have been provided. 5. Take this deposit immediately to the Chase Bank at 520 Dunham Road to the night deposit box, you have been provided with the key. You are responsible for this deposit. Do not leave this money in the stand and do not take it home. Call the CB Concession Treasurer if you have a problem. 6. Email the Central Boosters Concession team when event is over to inform the team of the total deposits, if food was left over, and if there were any problems. Fill 4 crockpots with water and put on high. Once water is boiling, place as many hot dogs that will fit in the crock pot. 2. Fill hot dog warmer pans with 2” of water and start. 3. Put 2” water in bottom of pizza oven warmers and turn on. 4. Check the refrigerator for nacho cheese or open new can and start nacho cheese warming 5. Fill large coffee urns with water and put on high for making hot chocolate 6. If cold night, go ahead and put hot chocolate mix in coffeepot. Otherwise, add hot chocolate powder into cup on an as needed basis 7. Turn on pretzel display cases 8. Start making pretzels in convection oven and put in pretzel display cases. 9. Start putting pizza on foil and place in oven in assigned locations. 10. Start assembling hot dogs and put in warmers. 11. Make enough Popcorn to fill the machine ½ full and fill trays next to machine. You may also leave some boxes in machine 12. Make a pot of coffee 13. Plug in menu boards 14. Clean serving counters off with disinfectant 15. Place Candy on shelves on the counter. 16. Place condiments on concession cart located outside of stand. CLOSING ROUTINE: 1. Put all leftover food (hot dogs, pretzels, pizzas) in drink coolers. Someone will come in and count the next day. We DO NOT sell at half price or give away free. 2. Clean all equipment and turn off 3. Wipe down counters 4. Restock beverages in coolers and LOCK all coolers 5. Empty trash and leave outside for janitors to pick up 6. Turn off cooler lights, menu lights and outside concession lights at the main breaker panel. 7. Lock door RE-STOCKING THE STAND: Make sure that you are rotating the stock and moving the older stock in front and putting the new stock in back. This is especially important for all beverages. Check the refrigerator for nacho cheese or open new can and start nacho cheese warming 4. Fill 1 coffeepots with water and put on high (make cocoa in cups as needed) 5. Turn on pretzel display cases 6. Start making pretzels in convection oven and put in pretzel display cases. 7. Make 3 batches of popcorn and leave boxes in machine. 8. Make a pot of coffee (depending on weather) 9. Plug in menu boards 10. Clean serving counters off with disinfectant 11. Place Candy on shelves on the counter. 12.
