Lukos Web TimeSheet Quick Start Guide - GBPS Entering Data in a Timesheet This guide provides a visual overview of the steps required to enter and submit time using a Standard 2.0 (Smart Interface) timesheet. A Standard timesheet allows you to enter the duration of time you worked on each task or each day, without recording start and end times. Refer to Web TimeSheet’s online help for more information on using timesheets. Entering Data To enter time using a Smart Interface timesheet: 1. Select Timesheet from the top menu Your current timesheet will display, by default. Changing which timesheet period displays If you want your oldest unsubmitted timesheet to display by default instead of the current timesheet, click the Settings button and update the Default timesheet to display option. 2. Select tasks to enter time against Find your tasks using the Client Project Task field: Search for a task by entering its name or the name of its client or project in this field, or Click this field, and then select a client in the selector that displays. This will update the lists of projects and tasks to show only ones associated with that client. You can also select a project to filter the list of tasks further. For GBPS, the client is SRA, the project is GBPS, and the task is the office you support (SORDAC M, etc). You can duplicate a task row by clicking , and delete a row by clicking . 3. Complete the Billing column For GBPS, all work done on site is normally billable. Time.spent conducting Lukos company business such as HR or training is not billable. 4. Enter hours and comments for work you performed Enter the duration of time you worked on each task, on the correct day. You can enter comments related to each task in the pop-up that displays when you click each cell. If an Activities column appears in your timesheet, you can select an activity to enter hours against. For GBPS, select “Task” for all work performed on site. In your timesheet, time displays either in decimal format (default), or HH:MM format If your timesheet is using decimal format, and you enter time using the HH:MM format, time values will be converted to decimal time when displayed. For example, if you enter 3:15 in your timesheet, it will display as 3.25, the decimal equivalent. You can change the time display format via Settings. 5. Once your timesheet is complete, select Submit When submitted, your timesheet will be sent to your assigned approver or approvers. Booking Time Off and Viewing your Time Off Balance 1. Before you can take time off, you may be required to pre-book your time off using Web TimeSheet. Use this guide to understand the steps involved in: creating a time off booking checking your time off balance remaining for each type of time off 2. You may not need to pre-book certain types of time off, such as sick time – you may be allowed to enter this sort of time off directly in your timesheet after taking it. Refer to Using a Timesheet in Web TimeSheet’s online help for information on entering time off into a timesheet. Contact Lukos management for questions on time off booking policy. Booking Time Off 3. You can book time off from your Time Off Calendar, from your timesheet, or from your List My Time Off Bookings page. 4. To book time off from your Time Off Calendar: 1. Select Time Off from the top menu. The Time Off Calendar displays. 2. Click the day you would like to book off. The day will turn yellow when selected. If you would like to book more than one day off, click the first day, hold the mouse button down, and move the mouse pointer to the last day. Page 3 of 5 Version 8.25.3 and higher Last Updated: August 24, 2011 weekly days off are Saturday and Sunday, and you book full days off from Friday to Tuesday, your booked days off will be Friday, Monday, and Tuesday, for a total of three days off. 3. From the Time Off Type drop-down list to the right of the calendar, select the type of time (for example, vacation, sick, jury duty) you want to book off. 4. Click the Book Time Off button. A Time Off Booking page displays. 5. Select the time off Start Date and End Date using the done so. icons, if you have not already Booking Partial Days Off Fields for booking off partial days display beside the start and end date field. 6. If desired, enter more information about the booking in the Comments field. 7. Select Submit. The booking will be sent to your time off approver for approval. You will receive notification via email when your booking is approved or rejected. If it is rejected, you can change the booking and then re-submit it. You can also access the Time off Booking page from your List My Time Off Booking page (click the link in your time off calendar’s side menu to open this page) and you may be able to access it from your timesheet by clicking the Book Time Off button. Viewing your Time Off Balance 6. The sections below describe the three methods of checking how much time off you have available, for each time off type. In the Time Off Balance report: 7. Use the As Of Date filter at the top of the report to view your balance as of different dates. 8. In your the Time Off Calendar: 9. Click a day to view your time off remaining. 10. 11. The balance that displays is for the selected time off type, as of the last day selected, with the selected days subtracted from your remaining balance.
