ABSENSES With apologies – Stacey Warren Without apologies – Surf and Wakeboard, Karate, Futsal, Rifle, Pole Dancing, Cricket, Gliding, Squash 2. ITEMS FOR DISCUSSION a. Sports Executive Committee Elections JL introduced Sports Standing – a meeting that occurs once a month which all sports clubs must send at least one representative to. JT introduced the Sports Executive Committee elections by explaining that anyone (even non-committee members of a club) can run and everyone gets one vote per club. JT stated that the Sports Executive committee work closely with VP Sports & Recreation to help out with any projects and give their input on how sport is run within the union. Roles were explained and elections proceeded as follows: a. Chairperson: Works closely with VP Sports & Recreation and organises and chairs Sports Standing. Sits on the Colours Award Committee and the Democracy Committee within the union. Candidates: Alex Mackenzie Smith Elected: Alex Mackenzie Smith b. Secretary: Sends out training cancellations to clubs twice a month. Takes minutes of all Sports Standing, Sports Executive and Team Surrey Operational Meetings. Works with VP Sports & Recreation and Student Sport Coordinator to organise events such as Varsity and Team Surrey Photos. Voting Member of the Transport Committee within the union. Candidates: Richard Reece Elected: Richard Reece c. Management: Assists in creating and maintaining club inventories. Heads up club grading with VP Sports & Recreation. Champions the ‘Management’ side of clubs explained within the Team Surrey Strategy. Candidates: Stephanie Gooch Elected: Stephanie Gooch d. Development: Identifies the weakest clubs with VP Sports & Recreation and ‘mentors’ them to aspire to be better. Helps champion the ‘Performance’ side of clubs as explained within the Team Surrey Strategy. Assists all newly ratified clubs to develop. Candidates: Ben Jarman Elected: Ben Jarman e. Events & Recreation: Helps sports clubs put on their events. Works to publicise club events and charity work. Assists in major sporting events such as Colours Ball, Varsity and promotes social sports opportunities. Candidates: Alex Nixon, Ian Watts Elected: Alex Nixon f. Communication: Works closely with student media to ensure that sports news is reported. Works as the main point of contact between StagTV, Stag Radio, The Stag and all sports clubs. Liaises with the union’s Communications Officer. Candidates: Ian Watts Elected: Ian Watts g. Coaching & Volunteering: Oversees the recruitment of the Team Surrey Sports Ambassadors. Plays a key role in running PlaySport sessions. Engages Team Surrey Sports Ambassadors in local events such as Freshers’ Fayre. Candidates: Tom Speed Elected: Tom Speed b. Varsity Opponents JL explained that Chichester have contacted him regarding playing Varsity against Surrey. They are willing to host it every alternate year. They don’t currently have an opponent. Their facilities are nice and they would be able to conduct an event as big as Varsity but JL wants opinions from sports clubs. KN suggested that Surrey could still have a Varsity against Kingston and a smaller scale event against Chichester. Having two Varsities may lessen the impact of Varsity as a competitive sporting event. JL mentioned that ticket prices would increase for the years that Surrey would have to travel to Chichester as coach travel will be included within the ticket. Surrey beat Kingston by a very large margin and have done so for quite a few years, a different opponent may be needed Chichester are 50th in BUCS which is below Surrey but much better than Kingston. Action: Club committee to make their club aware of Chichester wanting to become Surrey’s Varsity opponent. Club committee to send feedback regarding this to VP Sports. c. 2024 Experience HW introduced the 2024 experience as a document put together by the union over the past few months that focuses on reforming the structure of the Students’ Union. This involves changing the roles of the VPs in VP Voice, VP Community, VP Activity and VP Support amongst other changes. A referendum will take place on 29th May. All students will be sent a unique voting link to vote whether they want this reform to take place. Next year’s sabbatical officers will look at the results to drive the future of the union. The 2024 experience document is available online on the union website. MH explained that the parttime, sports and societies executive roles will be reshaped if the 2024 experience is voted through to support all sports clubs and societies as much as possible. Action: Club committees to make their club members aware of the 2024 experience and encourage them to vote using the voting link that will be sent to them on 29th May 2014.
