When you have completed these notes you should be able to:

Switch between programs

Move or copy and paste text or graphics from one file to another

Copy a picture or text from the Web in a file
IMPORTANT - These notes assume you can already do the following:

Use a Graphical User Interface to open and manipulate windows on screen

Use Microsoft Word to create and save a simple document

Use Microsoft Excel to create and save a simple spreadsheet and graph

Use search engines to locate Web pages
Graphical computer systems are designed to allow you to have several windows open at the same
time. This allows you to carry out tasks such as open one file while you work on another and copy
text or graphics from one file to another. The following notes will describe how to work with
several open files at once and the basic principles behind the integration of ICT applications,
including how to copy data between programs. They do not cover all aspects of the integration of
ICT applications. For information and instructions on other features use the Help facility within
the individual program (see below), or within Windows.
When/If Things Go Wrong
Remember that when/if an error occurs try the following to rectify the situation:
Use the Undo option by clicking on the Undo icon
on the Quick Access Toolbar at the top left
side of the program window (within Microsoft Office 2010 package). You can also use the
keyboard shortcut Ctrl+Z.
Use the program’s Help facility. This provides instructions and advice on using all of the features
of the software. To use the Help facility simply click on the Help icon
at the top right of the
program window or press F1 on the keyboard. This will open up the program’s Help dialogue box,
which gives you the option to search using search criteria defined by you, or to use the Table of
Contents
section. To search for specific criteria, type the question or relevant phrase into the
Help search field and click Search. You will be given a list of Help phrases which are nearest
matches to your question. Select the topic you require from the list.
If all else fails, exit from the program (by clicking on the Close icon
the program’s window) and start again.

The procedure for carrying out tasks such as moving or copying and pasting between files is the
same for files in the same program (e.g. 2 Word files) as it is between files in different programs
(e.g. between a Word file and an Excel file). These instructions, therefore, apply to all Windows
programs.
Moving or Copying Material between Files
Opening several files at once
Before moving or copying material (e.g. text, data, graphics) between files, it is easier if the files
are already opened. You can start a program at any time through the Start menu. Click on the
Start button on the taskbar (at the bottom of the screen) and open the required program as
normal. Then within the program, either open a previously saved file by clicking on the File tab
and then on the Open
icon, or open a new document by clicking on the File tab, New option
followed by the Blank Document option from the dialogue box and then click on the Create
button.
The Taskbar will display the icons of all programs currently being run with a box outline.
Switching between different files and programs
To switch between files, click on the outlined icon of the program on the taskbar. If you have more
than one copy of the same program opened (for example few different Word documents) position
your cursor over the program’s icon on the taskbar and a list of all the documents/windows will
pop-up. Click on the one you want to restore it. Remember you can maximise, minimise, move and
alter the size of any window on the Desktop. Changing the size of windows will, for example, let you
view two documents at the same time on the screen, for example view a spreadsheet and a word
document at the same time.

Moving or Copying and Pasting
To move or copy data carry out the following steps:

select the material (e.g. text, data, graphics) to be copied

copy it to the clipboard (temporary storage area in computer memory) by:
o
(from a program within Microsoft Office 2010) clicking on the Home tab, Clipboard
group and click on the Copy icon
or
to move it firstly cut it from the original file using the Cut icon

o

(from any other program, for example internet browser) going to the Edit menu and
choosing Copy or
to move it firstly cut it from the original file using the Cut command.
switch to the file where the material is to be copied or moved to, and paste the material by:
o
(in an program within Microsoft Office 2010) clicking on the Home tab, Clipboard
group and click on the Paste icon
o
(in any other program) going to the Edit menu and choosing Paste.
Task 1
Start Word and open a new document. Enter the following text in bold:

website:
Save this document as Integration1 to your user workspace (H: drive). Do not close the
document.
Start a second new document in Word. Type your name and course details at the top of the
document. Add the following line of text in italic:
This task will demonstrate how to paste text from one document into another.
Save this document as Integration2.
Copy the paragraph from Integration1 beginning ‘Answers to a lot …’ to the end of the
Integration2 document.
Save the files to your user workspace (H: drive) and close them.
Task 2
Open the document Integration2
Start an Internet Browser (e.g. Internet Explorer, or Mozilla Firefox) and go to the following web
address:
http://www.gcu.ac.uk/student/computerstuff
Copy the first paragraph from the web site to the end of your Integration2 document.
Re-save Integration2 to your user workspace (H: drive) and close it.
Copying a Chart from Excel Spreadsheet into a Word Document
Open the Excel file which contains the chart you want to copy. Then click once on the chart and
copy it by going to the Home tab, Clipboard group and click on the Copy
icon. Then open the
Word document where you want to put the copy of the chart and paste it by going to the Home
tab, Clipboard group and click on the Paste
icon.

Task 3
Start Excel and open the Sales spreadsheet file (created in Task 2 in the Spreadsheet booklet)
Copy the chart from the spreadsheet to the end of the Integration2 document.
Inserting a Picture from the Web into a Document
When including a picture from the Web in a document, the picture can either be copied directly,
or saved to disk, and then inserted into the required document.
To copy a picture from the Web:



Go to the web page that contains the picture to be copied. Ensure nothing else is selected
Right-click the mouse button on the picture to select it. Select Copy from the pop-up menu
Open or switch to the document where the picture is to be copied. Click at the point where
you want the picture to be copied/placed. Click on the Paste command
found on the
Home tab, Clipboard group to paste the copy of the picture to this location.
To save to disk and insert

Open the Web browser and find the picture that you want to copy.

Right-click the mouse button on the picture to select it. Select Save Picture As… from the popup context menu.

The Save Picture dialogue box will appear. Use the right-hand side of the Save Picture
dialogue box to navigate to the appropriate drive/folder to save the picture in. Use the
suggested name, or give the picture a new name, then click Save.
Open or switch to the document where the picture is to be copied. Click at the point where you
want the picture to be placed. From the Insert tab, Illustrations group select Picture. Use the
dialogue box to navigate around the computer drives to find the stored picture. Select the
appropriate picture and click Insert.
Task 4
Open your Internet web browser. Go to address:
http://www.gcu.ac.uk
Copy a picture from this page into the Integration2 document, re-sizing if necessary.
Save the Integration2 document and close it.
