FAQ’s from 7/28/16 Webinar: FY17 CACJ Reporting Requirements 1. Can you clarify on the CTentry date? Is this the date the Defendant is sentenced to the program or when they start receiving services from the program? Court Entry (CTenrty) date is the date in which the participant begin to receive services from the court. 2. We do not use SID numbers since we are family court. I have an ID number that I use. How would that be used here? It isn't in that same format. We’ll have to follow up on that question and clarify with Applied Research Services (ARS). 3. If a client is receiving inpatient treatment but still gets monthly visits from case management and the judge, are they considered active? Yes. 4. Would a transfer from one DUI Court to another DUI court be placed under discharge as a transfer? Transfers usually do not receive services from the transferring court and are transferred prior to receiving treatment from the transferring court. Yes. You would select discharge and then select transfer. The court accepts the participant and then transfers him/her to another court. 5. Why was cohabitating removed? This is particularly pervasive in the SA population... The decision was made by the Sub-committee to remove the term. No analysis of the data is anticipated. 6. Will SID’s need to be backdated or only entered in for new plea-in’s? Each court will receive the Historical Recidivism Report that includes the SIDs reported by the court from January 2013 to June 2016. Within the Historical Recidivism Report will be an opportunity for each court fill in any missing SIDs or incorrectly reported SIDs from January 2013 to June 2016. 7. Would you consider “reviewed” as someone who has actually be evaluated, or should someone who has been staffed but not actually evaluated also be considered reviewed? Any candidate considered for program entry. 8. Do you want dishonorable discharges, as well as honorable discharges for the veterans section? Question #12 of the General Program Information section within the FY17 CACJ Program Report is asking each court to collect and report the number of new Veterans admitted by military branch into the court regardless of discharge status. Please refer to your local program criteria. 9. Reason entered for family courts? Please enter ‘Other’ until further information is made available by the CACJ. 10. In the sample sent out there was a question about being homeless... what is the definition of homeless? Homeless is defined as having no home or permanent place of residence. 11. Has FivePoint Solutions and/or Connexis been contacted about reporting changes? Yes. Both companies have received an advanced copy of the new report and been notified of the changes. 12. Where is recidivism in this report? Will recidivism still be reported on the 4th quarter report? How many years should we track recidivism? The recidivism section of the previous report is not included in the FY17 CACJ Program Report. The CACJ will track recidivism using the SID numbers reported in the SID Exit section of the FY17 CACJ Program Report. 13. So for transfers will we have to report all information on a participant such as SID, demographic information, etc.? We currently do not receive any information on a participant if they are transferring to another jurisdiction. No. When a participant is transferred the other court will need to collect the demographic information. The initial court accepting the participant will need to complete the SID Enrollee AND the SID Exit section of the FY17 CACJ Program Report. The SID Exit Status selected should be Discharged-Transferred. 14. The reasons entered only include criminal reasons. What reasons do we put for entering the program for FDTC participants? Please enter ‘Other’ until further information is made available by the CACJ. 15. What would be the reason entered for family court? We do not have charges other than dependency. It isn't a violation. I guess it would be new charge? Then is there a choice for dependency or something related? If that doesn't make sense, I will email you. Please enter ‘Other’ until further information is made available by the CACJ. 16. Will that recidivism information be available to the court? Yes. 17. I track my FTC participants using their DFCS ID#, so can I continue using this number or do I have to start with the sequential ID#? Just thinking of tracking the case for in the future in the parent’s involvement with DFCS. I know that is how DFCS tracks the parents for their history when a report comes in. Please use the sequential ID as described in the FY17 CACJ Program Report, and within the webinar, as directed by CJCC.
