MINUTES of the Committee Meeting Tues 16th September 2014 Meeting opened: 6:59 p.m. Present: John Austin, Mel Horton, Gail Byrne, Peter Gubler, Angelo Logiudice, John Attwood, Colin Campbell, Kate Hussey, Phil McCredden and Carol Evans (Directory). Apologies: Barry Green, Andrew Rohrbach, Kim Visser and John Small. Previous minutes: Tuesday 19th August 2014 The previous minutes, were moved by Angelo Logiudice and, seconded by John Attwood, all in favour, carried. Correspondence In: Mel Horton Small Business Development Centre - July & Aug Newsletters to be posted. Action - Kate Domain name available (for dbchamber.net.au) scam letter. Aboretum meeting request notification was passed on to Angelo Logiudice and he copied it to all Committee members. Correspondence Out: Mel Horton AGM 2013 minutes, agenda, constitution changes emailed by Mel Horton. Meeting agenda 16/9/14 committee meeting notification emailed by Mel Horton. Minutes for meeting 19/8/14 emailed Aboretum meeting request notification sent to committee by Angelo Logiudice. Membership due statements emailed by Mel Horton. Gail Byrne moved that the correspondence be accepted, and Angelo Logiudice seconded, all in favour, carried. Matters Arising: Aboretum Information Bay Signage Refurbishment. Bob Wallin has organised a site meeting at 4pm on Wednesday 17 th September. Angelo Logiudice will attend. Mel Has cheque for signature tonight to replace this one lost in the mail. RCCI Membership for 2014/15 $208 – not cashed Repayment of $77 to Peter Fraussen – not cashed Rural Press AGM notification $98.70 – to be agreed Westcountry Web services/refreshments/video card $551 – to be agreed. Purchase of MYOB upgrade for current PC to V19.9 to work with Microsoft Office 2010 @ $470- needs agreement. (Only alternative is subscription which is ongoing cost and more expensive). Meeting refreshments tonight from Pizza Pizzicato $76 – needs to be reimbursed to Angelo Logiudice. Purchase of all the above new items moved by John Attwood and seconded by Gail Byrne, all in favour, carried. Future Payments: Angelo has ordered InDesign CD $827.20 for new PC. Aboretum Information Bay signage is a co-payment of $1,000 to assist in the refurbishment of the sign for the Shire- awaiting bill. Donnybrook News $100 survey prize, awaiting bill. Action: Angelo to raise invoice. Office Rental Jul-Sep Qtr $395, awaiting bill. Likely repayment of $77 to Tathra Hill Chalets o The above would leave us with an actual balance of $8,159.44 Currently membership stands at 80 with 43 members paid up. Mel has sent out statement reminders. The Treasurers report, and invoices approved for payment, purchase of V19.9 of MYOB, new members approved, and the addition of John Austin, Kate Hussey and Phil McCredden to bank mandate - moved by Peter Gubler, seconded by Angelo Logiudice, all in favour, carried. General Business: 2015 Directory Carol Evans reported that she has four new members wanting to join up and several businesses interested in advertising in the Directory. She reports she is waiting to get invoicing underway which Mel Horton advises can commence with the manual Excel invoice she has prepared for her. Mel queried how much Directory advertising has Carol sold to date. Carol reported that she has sold the first three pages back and front of the Directory. There was some Committee discussion around 1/3 page ads and cost. Action: It was resolved that Angelo, John Austin and Carol would discuss and agree on this at a separate meeting. This was moved by Peter Gubler and seconded by Gail Byrne, all in favour, carried. Mel advised she has supplied the shire pages in a word document for Carol to show Brian. She also advised that new PC has arrived and has Windows 7 loaded on it and the video card is installed, however InDesign has not been loaded as yet. Mel has loaded the old version of MYOB and the data and returned it to Angelo. Angelo has ordered a CD version of InDesign which is due to arrive within the week. Action: Angelo and Carol to liaise regarding the installation of InDesign on the new PC. Mel has also provided a read only copy of the Chamber MYOB data on the older Chamber PC. This PC also has MS Office 2010 installed which can be transferred to the new PC as and when it is up and running. Mel has realised that the InDesign package doesn’t come with Adobe Acrobat Pro which provides a limited ability to update existing .pdf adverts. The Chamber either needs to purchase this product at approximately $298, or could consider PDF2DTP which converts all .pdfs into InDesign documents which are then fully editable. Mel recommends getting a trial version. Action: Mel to send details to Angelo and Carol. Alternatively, ads can be sent to Colin @ Westcountry Web for creation/amendment, note that this would be chargeable to the advertiser. Angelo reiterated that it is important that advertisers are advised by Carol that production of the ads is not free of charge. Mel suggested the printer be advised in writing about the issue, when getting quotes. The Committee discussed changing the front cover of the 2015 Directory to a different colour, and the possibility of using new images from the Shire photography competition. John Attwood recommended seeking photographers’ approval prior to publication. Mel also suggested used images from True Grit for the cover. Other Business: Chamber Logo Revamp - Angelo This item again postponed to next meeting, however it was noted that we need to have this finalised for the next directory. Angelo rose that he has some ideas for the logo. Kate agreed to assist with ideas. Regional Chamber Operations Distributed for discussion – postponed to next meeting. Action: Kate to recirculate for discussion and add to agenda for the next meeting. Christmas Dinner We need to set a date and venue for the Christmas dinner. The Committee agreed on the Mushroom Cafe as the venue for the Christmas dinner on 15th November. Action: Gail to phone Kerry regarding availability and menu. Kate to send out invitations? Membership Fee Increase Peter moved that we raise the membership to $88 per annum. The Committee discussed this at length and agreed this was reasonable. Seconded by Gail Byrne, all in favour, carried. It will take effect from July 1st 2015. Insurance Angelo raised insurance for Carol who is a contractor to the Chamber, selling and compiling the Directory. Mel advises that the Chamber is covered for Personal Accident and Professional Indemnity for anyone working or contracted to the Chamber. However, if an advertiser sues the Chamber, the insurer after payout would then seek to recover funds from the contactor, in this case Carol. Mel advised that Carol needs to be aware of this. Angelo raised that in previous cases where there have been issues with advertisers they have been offered free ads, and this has proved to be a satisfactory resolution. Angelo also read the strong disclaimer in the Directory to the Committee, which states that the Chamber will accept no responsibility for any issues or accuracy within the Directory. The Committee asked Carol to ensure she emails all ads to advertisers and gets all changes and approvals in writing. Gail suggested that when proof reading that all Committee members should give input on local knowledge about people, changes and variations to circumstances. Carol suggested that the state and post codes should be removed from all residential listings. The Committee discussed and agreed to this change. Membership Certificates Angelo suggested we reinstate the Membership Certificates in an A4 size for display in businesses. Action: Phil to send copy from Donnybrook Accounting to Angelo and Kate.
