2016-2017 SEASON INFORMATION • • • REHEARSAL LOCATION Wiley H. Bates Middle School, 701 Chase Street, Annapolis, 21401 Bates Middle School has graciously donated the use of their building to CYSO for rehearsals as a very special in-kind donation. They have given us instructions for parking, hours we are allowed to be in the building, security requirements for our use of the building, which parts of the building we may use, and where food can be eaten. Please help us remain in good standing by following their rules and treating this building and the school staff with the utmost respect. DROP-OFF & PICKUP Please plan to drop students off 15 minutes before their rehearsal begins. This time is necessary for unpacking and tuning instruments so that rehearsals can begin on time. • The earliest students can enter the building is 4:45PM for a 5:00PM rehearsal. The only exception is for those entering at 4:30PM to set up the Wind Ensemble rehearsal in the cafeteria. • Adults should accompany younger students when they enter and exit the building. • Older students should wait inside the building immediately after their rehearsal ends until they are picked up. Everyone must leave the building by 9:30PM. • 2 DESIGNATED PARKING LOTS At the back of the school the parking lot accessed off Smith Avenue can be used but should be reserved to Conductors, Managers, and musicians who play large instruments and rehearse in the lower level . • At the front of the school the parking lot accessed off Chase Street is also available. • No pick-up, drop-off, or parking is allowed in the bus circle directly in front of the school. Please note that the school may ask police to ticket violators 2 DESIGNATED ENTRY DOORS • 2016-2017 SEASON INFORMATION • At the back of the school we can enter through the single door at the far left end of the building. Please note that this is the only door available for Tuesday rehearsals. • On Thursdays only we can enter at the front of the school through the door located to the right of the bank of main entrance doors. Look for the double-door with a stairwell inside. Go upstairs to the main floor if you are rehearsing in the cafeteria or a classroom nearby. Go downstairs to the ground level to find most of the classrooms we use during rehearsals. • We are asking parents to volunteer to monitor our designated entry doors during rehearsals. For the safely of all students Bates has stipulated that these doors are to be kept locked at all times to prevent unauthorized entry. If a parent volunteer is not at the door when you arrive, please be patient and someone will let you and your children in as soon as possible. • • • • • 2 DESIGNATED REHEARSAL SPACES On the main floor we have permission to use the cafeteria and the classrooms across from it, as well as to use the elevator to move chairs and equipment. In using any of the designated spaces there must be an adult in the room at all times if there are students present. We are not allowed anywhere else on the main floor or on any floor above it. On the ground floor we have permission to use the classrooms located between the bathroom/elevator area at the bottom of the staircase and the ground-floor door that we use to enter and exit the school. The only exception is for students attending flute rehearsals on Thursday nights, who are allowed past the bathrooms to get to their rehearsal classroom. REHEARSAL HELP DESK We are asking parents to volunteer at the Rehearsal Help Desk to help keep rehearsals running smoothly. This is where you can go to ask questions, pickup or drop off payments and forms, purchase snacks and water, and log your volunteer hours. It is located in the hallway on the ground floor just outside Classroom 002. Please note that all snack profits go towards providing conductors with small gifts at the end of the season. SNACK AREAS & PARENT WAITING LOCATION Students are allowed to eat in the ground-floor hallway and in the cafeteria on the main floor. No food is allowed in any classroom. The only drink that students are permitted to have in the school is water. Parents are welcome to wait in Classroom 002 located directly behind the Rehearsal Help Desk. Please note that there are occasions when this room is needed for other purposes such as auditions and will therefore not be available for parents. We apologize for the inconvenience. 2016-2017 SEASON INFORMATION • ENSEMBLE REHEARSAL SPACE We are asking parents and students to assist in the setup and breakdown of rehearsal spaces. • For rehearsals taking place in classrooms, chairs, desks, and stands need to be shifted to accommodate an ensemble, and then the room needs to be returned to its original layout. • For rehearsals taking place in the cafeteria, chairs, stands, and equipment need to be moved upstairs via the elevator from the ground floor storage locations, then back down and put away. • Please note that all room assignments are subject to last minute changes throughout the season. Auditions for all Ensembles and for new members Use of rooms #001, 002, and 003 • MUSIC DISTRIBUTION Music is sent to students by email or made available for download through Dropbox. • The exceptions are the Jr and Sr Flute Ensembles who receive their music from the conductor. • Students are responsible for printing their own music copies and keeping them in their CYSO music folder. They must take their music folders home each week to practice and bring them back for every rehearsal and performance. Students should always bring a pencil to make notes. MUSIC PREPARATION 2016-2017 SEASON INFORMATION • Students are expected to master their music prior to rehearsals and should ask their conductor and private teacher for help with difficult sections. o Listen to your conductor so you know what to practice during the week. o Schedule time for practice along with homework and extracurricular activities. o Use your home practice time efficiently by focusing—set goals, keep notes, and use a metronome. o Come to rehearsal physically and mentally prepared to work. o If you are relying on sight-reading after you are first introduced to the music, you are not pursuing a sound strategy. • Students should be open to the music and it is most important that they PRACTICE SLOWLY! o Think about how the music makes you feel and express that through your playing. o Understand the history of the piece and what the composer is saying. o Listen to how your part relates to others and play as a member of your section and of the orchestra as a whole. o Pay attention to your posture—it is extremely important to the quality of your music. • INSTRUMENTS & EQUIPMENT Students are responsible for their own instruments and equipment. • Percussionists are the exception because they only need to supply their own sticks and mallets. They are also responsible for setting up and storing the CYSO-owned percussion equipment. • All members must bring a portable music stand to all rehearsals. Please label all stand parts. • We encourage parents to insure valuable instruments. CYSO does not assume responsibility for damage to or loss of student-owned instruments and equipment. • STUDENT RULES OF CONDUCT Proper student behavior is expected at all times. You cannot eat, drink, or read during your rehearsal, and you must turn off your cellphone. • You cannot talk or disturbing others, especially when you are not playing. All musicians need to give their conductor their full attention at all times. • You must always display respectful behavior towards your conductor, ensemble managers, and fellow musicians. If a problem arises, please speak to your ensemble manager, who will address the issue. If the problem persists, contact the Executive Director for assistance. 2016-2017 SEASON INFORMATION • Please remember we are guests in our practice space. DO NOT touch or use any materials not belonging to you. This includes the pianos, keyboards, and blackboards. ATTENDANCE POLICY • In keeping with the purpose of the CYSO to provide a quality musical experience for its musicians, our staff hold all students responsible to themselves, their peers, and ultimately to the music itself. Therefore once young musicians have been selected as a CYSO student, it is their responsibility to: 1. Prepare and practice the music between rehearsals. 2. Attend all rehearsals and performances. 3. Be seated 10 minutes before the start of all rehearsals. • It takes a serious commitment to help ensure a quality musical experience for everyone. 1. 2. 3. 4. • • • You cannot have more than three (3) unexcused absences per season. You cannot have more than two (2) excused absences per performance cycle. You cannot miss the two rehearsals immediately before a performance. You cannot miss a dress rehearsal. Excused absences are: • Serious illness. • Death in the family. • Religious holidays. • Required school performances where you play the same instrument you play in CYSO. • College auditions and visits (this applies to seniors only). Please tell your Ensemble Manager no less than three weeks in advance when you have an unavoidable conflict. Sports conflicts are not considered acceptable excuses for missing a rehearsal or performance. Students may need to decide what activity matters most to them. JURIES & SEATING Juries will be scheduled during each concert cycle to assess the student’s mastery of the music. o Students will meet with two jurors for 5–10 minutes to perform a passage that the conductor has specified in advance. o The conductor can chose to change the seating order based on jury outcomes. o The Conductor may re-audition the top scoring players to select a Concert Master. 2016-2017 SEASON INFORMATION o If you are not performing at the appropriate level, you may be required to return for a second jury or be asked to re-audition for the ensemble at a future date. • Conductors can take the jury results into account when determining chair assignments. • Challenges are not part of the seating process in CYSO. • 2016–2017 IN-HOUSE CONCERTO COMPETITION This will be held January 28, 2017 from 8:30AM–4:30PM at Maryland Hall in rooms 200/101A. • Concertos with limited orchestral instrumentation are recommended, all concertos will be approved by the Music Director. • Applications are limited to the first 25 applicants and must be received by the Executive Director no later than October 13, 2016. • The first place winner will perform with the Mid Atlantic Symphony in the spring (date TBD) providing the instrumentation of the chosen piece allows it. These announcements can be important notifications of schedule changes and upcoming concerts that students need to pay attention to. • Ensemble Managers send out emails with instructions the conductors want conveyed after a rehearsal is over. Based on what was accomplished in a particular rehearsal, a conductor may want to change the rehearsal order for the following week, or ask one section to work on a particular piece of music. Emails will also repeat announcements made during rehearsals for the benefit of students who were absent. • Emails will also let you know when the latest newsletter is available. Newsletters are intended to provide information on upcoming events, anticipated schedule changes, and contact information. It also has informative music articles and spotlights CYSO musicians. Closures we know about ahead of time will be posted in our newsletter and on our website. If we are experiencing inclement weather, we will email you as soon as a decision has been made to close. CYSO usually follows the Anne Arundel County School cancellation policy. • • • CONCERT CALL TIME Call times are published in the newsletter one month prior to a performance. This is the time when ensemble musicians need to be ON STAGE and ready to play. For example, if your call time is 2:30pm, you need to be in 2016-2017 SEASON INFORMATION your seat by 2:30pm. If you have a legitimate reason for being late, please let your Ensemble Manager know at least three weeks ahead of time. • CONCERT PERFORMANCE ATTIRE Ladies: Formal black long sleeved or three-quarter length sleeved top and ankle length skirt, dress, or dressy pants, black stockings, and black shoes. • Gentlemen: Black tuxedo or black suit with white shirt and black bow tie, black socks, and black shoes. • Jazz Ensemble only: black long-sleeved button-down shirts, black pants (no jeans), black socks, and black shoes. • CONCERT ETIQUETTE Please stay for the entire concert. If you must leave prior to the end of the concert, please do so during the intermission. • If you must enter or leave the auditorium during the concert, please do so during applause. • If you have small children with you who are not able to remain seated or quiet, please take them out of the auditorium. • Please be sure to turn off all cell phones and other electronic equipment during the concert. • No flash photography is allowed. Video recording and photography are for your private use only and must be done at the back or sides of the auditorium only. NEW APPLICANT REGISTRATION 2016-2017 SEASON INFORMATION • Prospective students age 8 to 21 who meet our audition requirements may receive a one year membership when there is a vacancy in an ensemble. • Auditions will be held in the spring (May/June) at the end of each season for membership in the upcoming season. August and January auditions will be held if there are vacancies. • Prospective students will be scheduled for audition by the Executive Director when they o Complete the Audition/Emergency Contact application form. o Submit the $40 Registration fee. • A letter will be sent to all students who audition to let them know if they have qualified to the satisfaction of the audition panel. • Prospective students who have been notified of their placement become members when the non-refundable $100 tuition deposit is paid. • The balance of the tuition fees must be paid by the first rehearsal in October, unless a payment plan has been arranged with the Executive Director. • RETURNING MEMBER REGISTRATION Returning members of the Preparatory, Strings, and Concert Orchestras, and the Wind Ensemble, must audition for placement for the following year. These auditions will take place in May and June at designated times. ALL CURRENT MEMBERS MUST AUDITION AT THIS TIME; THE ONLY EXCEPTION WOULD BE FOR MEDICAL REASONS. Any returning member who does not audition in May or June will pay a late fee when they audition in August. Please contact the Executive Director to schedule an audition time. • All CYSO Musicians not currently in the JR or SR Flute Ensembles, Jazz Ensemble, or Symphony Orchestra must re-audition for ensemble placement for the 2017-2018 season. Returning members of the Symphony Orchestra, Jazz Ensemble, and JR and SR Flute Ensembles do not re-audition each year except where stated above. • An email will be sent to all returning students, confirming their placement for the following year. • All returning students must: o update their Audition/Emergency Contact application form o pay the $40 Registration fee o pay the non-refundable $100 tuition deposit o pay the balance of the tuition fees by the first rehearsal of the season, unless a payment plan has been arranged with the Executive Director. 2016-2017 SEASON INFORMATION • • • • • • • • • • • • • • • • • • TUITION POLICY A $100.00 non-refundable tuition deposit is due upon acceptance and must be paid by July 31st. The remainder is due by the first rehearsal of the season unless arrangements have been made in advance with the Executive Director for the balance to be paid in two equal installments due by the first rehearsal in September, and October. Checks should be mailed to CYSO, P.O. Box 863, Arnold MD 21012. Credit Card payments are accepted when tuition is paid in full. Tuition is non-refundable except when the Executive Director is notified in writing by September 30th of a withdrawal. In these cases 50% of the tuition if paid in full will be refunded. Tuition for the second and consecutive students will be reduced by $50.00 each. Discounts are also offered when a student participates in two ensembles. Tuition for the lesser priced ensemble will be waived. TUITION ASSISTANCE A letter stating the need for tuition assistance along with copies of the last two years of the family’s 1040 tax return will need to be submitted. This information should be addressed to the Scholarship Committee and delivered to the Executive Director in a sealed envelope. This submission is held in strict confidence by the Scholarship Committee, who will base their determination on the perceived financial need. Please note that tuition assistance does not cover the $40 registration fee or the $100 tuition deposit. A limited number of scholarships can be offered by CYSO. PARENT VOLUNTEERS 2016-2017 SEASON INFORMATION CYSO is administered by our Music Director and Executive Director, with the able assistance of many volunteers who fill vital roles for us. We thank all of you who have volunteered in the past because your help has meant so much to the health and functionality of our organization. We also thank those of you who remain active in our many administrative roles and board positions. Your continued involvement means that we can offer our young musicians an outstanding program again this year. We especially thank our Ensemble Managers who work closely with our conductors and students all season. Their diligence is key to our rehearsals running smoothly each week. At the start of each new season we ask parents to fill any vacancies we have in our week-to-week operations and fundraising roles so we can operate efficiently again this year. Volunteering for CYSO is a great opportunity to do something that is fun, meaningful, and gets you close to the action! The highlight will be listening to the Jazz Ensemble perform during the Silent Auction • Tickets for reserved seating will go on sale in January • All CYSO students will receive complimentary tickets to attend the performances.
