ESP Uploading Instructions Last updated: July 29, 2014 Preparing Your Submission: • Create QuickTime movie files using Photo-­‐Jpeg codec at 95% for progressive files. Interlaced files should be de-­‐interlaced and uploaded as a Photo jpeg. o Acceptable frame size: 1920x1080 o Acceptable frame rates are 23.98p, 24p, 25p, 29.97p, 30p o Acceptable frame size: 1280x720(progressive) o Acceptable frame rates are 23.98p, 24p, 25p, 29.97p, 30p • Set poster frames (click here for instructions on how to set a poster frame). If you have not selected a poster frame, ESP will display the auto-­‐chosen poster frame image, which cannot be changed. Supported Browsers ESP can be used on the following browsers: • New versions of Chrome and Firefox • IE 10 and above • Safari 6 and above Overview Tab When you login, you will see two sections: • Upload Videos – You can create a submission (send us videos and metadata) here. • Submission Panel (Dashboard) -­‐ Located under Upload Videos, you can see the status of past submissions and whether they have been accepted or rejected. Creating a Submission A submission is a batch of clips that you can upload at one time and apply bulk metadata: 1. After logging in, click “New Submission”. 2. You can add up to 60 clips to any Submission. a. Please include any similar content within the submission. b. If you have more than 60 shots, you need to break it into multiple submissions. c. No one clip should be larger than 2GB. 3. Upload video by dragging one or multiple files into the “Upload Videos” box or clicking “Upload Videos” and browsing for your files. a. If your file uploads are slower than expected, you can improve the upload speed up by choosing the closest location to you under “region for upload.” 4. My upload failed. What do I do? a. If it failed once, please attempt to upload the file(s) again. b. If it failed multiple times, please email [email protected] 5. It says my file is invalid. What’s next? a. Click control I or apple I on your file and make sure it meets one of our acceptable file formats and frame rates. A frequent error is to use H.264, HDV or DVCPROHD. 6. Add Metadata. You can begin adding metadata before the files have finished uploading. Your default data will be applied automatically if you have created a default template a.

You can edit individual clips by clicking on them and providing metadata. You can edit multiple clips at once by clicking select all, shift-­‐clicking, or control/command clicking multiple files. A yellow highlight will indicate that there is different information on the same field of the files. Complete the Title, a descriptive sentence of what takes place within the shot. Description: This field is optional if you have more detailed shot information. Please do not repeat the same information included in the title field, as it will wind up appearing on our website twice. Keywords: • Creative submission: Please add no more than 25 relevant, descriptive and focused keywords. Anything additional will be deleted. Releases: Click on “+ Upload new release”. • Use the browse button to select the release file from your computer. • Use the drop down field to indicate the release type: model/property. • Click add g. Mastered format: this field will auto complete from the file you uploaded. h. You can apply an event or custom template (see below) by clicking Apply Template at the top. 7. Click save when you are done with the metadata. Red highlights will indicate missing information. 8. Select some or all of the clips that are ready and click Submit to send them to Getty Images. If you wish to submit them all, please click control or shift click to select them all and then hit Submit. a. A green checkmark next to them will indicate that they have all the necessary information. b. A red exclamation point indicates that the file does not match the formats accepted by Getty Images. If you are unsure about accepted formats, contact us. c. A green box will indicate that they have been successfully submitted. d. Please check back to your Submission Dashboard to see what shots have been accepted. Note: You can only work on one submission at a time. Please finish your submission before starting a new one. Unfinished submissions may be deleted after 90 days so plan to complete your submission within that time frame. Applying Templates If you upload similar content you can save time by using templates. Custom Templates You can save the metadata from any clip as a template and apply that to other clips in the same submission OR later submissions. For example, if you commonly have US weather clips, you can save a template with the title, description and keywords, etc as “My weather template” Using multiple templates You can apply multiple templates to a clip. Templates are additive and the last template applied wins. For example, if the first template has title and description and the second has description and keywords, the clip will end up with the title from template #1 and the description and keywords from #2. Using the Submission Dashboard The submission dashboard (located under Upload Videos) lets you see details about your past submissions. Navigating a Submission You can filter by the date the submission was created and sort by various other methods. Once you find the submission you are interested in, you will see how many clips are uploaded versus submitted. If you click on the number of uploaded clips, you can see details about all the individual files. Submission Status Your submission status can be “In Progress” (no files uploaded, file(s) uploaded), or “Closed.” After 90 days, submissions are closed and you cannot edit or add any additional files to them. Getting back to a Submission Prior to being closed, you can open a submission (click on “ID”) and upload new files or edit files that have not been submitted. Once you have submitted a file, you can no longer edit it because it has been sent to our website for publishing. *Note: Only open one submission at a time, opening multiple submissions in different browser tabs may have cause issues with your submission. File ID The File ID is the ESP reference ID for the clip. After your clips have been reviewed and transcoded, you can click on the File ID to view the clip. If you are having trouble with a clip, please reference the File Id as it will help us troubleshoot the issue much faster. File Status Files can be in the following Status: Not yet submitted – File is uploaded, but has not been submitted. Double check that all of the required metadata is provided and proceed to submit it. Awaiting Review – The file has been submitted and we are waiting for a Reviewer/Inspector to accept or reject the file. Rejected-­‐ The file has been rejected by a Reviewer/Inspector Accepted/Published – The file has been successfully sent to Getty Images’ asset management system. It will be available on the website generally within 1 hour (after it has been transcoded into various formats for customers). *Note: Email us at [email protected] if your files have not appeared within 1 hour of being marked “Accepted and published.” We will look into what happened as soon as possible.
