Discussion held in relation to the Pony Club Australia meeting held earlier in November with Mrs D Cullen and Mrs J Frankum noting the concerns and objections that they has as our representative to some of the section in the draft PCA Constitution, Mrs D Cullen said that the Executive have requested that this constitution be mapped to our constitution by a specialised solicitor for them to provide their 3 opinion before the next PCA meeting in May. Mrs D Cullen also noted that she was trying to arrange a meeting with the minister in Canberra. ii) C73/13 Financial Report That the Treasurers Report be accepted – as per Balance Sheet & Profit & loss. Moved: Mrs M Pestell Seconded: Mrs E Caswell (carried) (carried) (carried) Discussion from the One Day Event report Mrs E Caswell said that she was concerned about the number of protests at the event and Mrs J Frankum said that in fact most of the contacts with the TD were queries rather than protests with only one formal protest which was dealt with early as there was photographic evidence to support the breach. Mrs K Taylor said that she believed that the TD had done a great job especially noting the talk that he held with the stewards before the competition commenced. vi) 2013 National Championship report – Mrs D Cullen as attached. Nil QUESTIONS TO THE EXECUTIVE 9. NOTICES OF MOTION I. That at Mounted Games State Championship the competition continue to include an Under 17 age group but that an 8 and Under 13 age group be introduced. Mrs J Frankum clarified that the intent was for the Associate age group to continue however could see where zones may be confused and withdrew the motion. II. That the C Certificate requirement be removed from the Junior Service Award. C99/13 That the C Certificate requirement be removed from the Junior Service Award. Moved: 10. • Mrs J Frankum Seconded: Mr P Logue (carried) AGENDA ITEMS Work Health and Safety – Mrs K Britton updated the meeting on the progress with Standard Operating Procedures (SOP), sample Chemical Registers and sample risk assessments which are now provided on the Associations website under the risk management tab. Mrs K Britton requested that Executive members forward any SOP’s that would be suitable to pony club so that they may be included in the examples. Mrs K Britton said that she would continue to work on providing further information to members and would follow up with other sporting organisations to ensure best practise was being followed. 11. Cloud Scoring System – tabled and discussed Mrs K Wood said that Zone 9 had used this system and their zone events with great success over a number of disciplines. Mrs D Cullen suggested that we invite Mrs C Hodges to shadow the official scorer at the next state championship to test the system. m. PCA – information on IMG coach/manager nominations and rider nomination – tabled with information on the Associations website anyone with suitable qualifications urged to apply. o. Zone 26 – application to host State Polocrosse Championship – already discussed 12. GENERAL BUSINESS Mrs J Alston said that she was concerned that some NCAS Preliminary candidates are not offering some form of courtesy to their ZCI when they attend an assessment outside of their zone. Discussion held that as the qualification was a national one PCA NSW cannot make any changes to the procedures and that candidates could be accessed in another zone or even interstate. • 8 • • • • • • • • 13. Mrs D Cullen said that the US has invited Australia to send representatives to the US Quiz to be st held 14-21 July 2014. Mr P Logue explained what the quiz entailed and said that it would be a terrific experience for any of our members. Mrs D Cullen requested that Mrs K Britton follow up with PCA to get a copy of the rules and a nomination form. Mr P Logue spoke about the recent Mounted Games rule changes and his concerns. Discussion held that the inclusion of demarcation lines was for rider safety and that the riders would soon adjust their style to reduce the number of eliminations. Mr P Logue foreshadowed a motion from his zone requesting that NSW host the IMG Championship in 2014. Mr P Logue foreshadowed a motion from his zone to the AGM that all motions be submitted via the agenda only and not come via the Executive or ZCI meeting. Mrs T Delany asked if the riders who did not attend the Jumping Equitation Championship presentation had been contacted. Mr M Syme (on behalf of the executive dispute committee) said that these riders had been contacted as per the Member Protection Policy and that resolutions had been made and that the matter was now finalised. Request for clarification that gaiters not to be worn by juniors at the State Showriding Championship as it was no longer listed in the schedule – request for this information to go on the website – Action – information updated to the website 4/12/13 Mrs E Caswell asked if it would be possible for the area numbers to be drawn from a hat for riders attending Showjumping at the RAS rather than the current practise. Action – Mrs J Frankum said that she would contact the RAS and see if this could be done. Mrs D Cullen reminded everyone to let the riders listed as reserves for State Camp to prepare in case they are called in as in previous years we have had riders scratch for a variety of reasons.
