Improving school processes and helping
students manage their printing credits
Background
With 21,000 students at Victoria University printing lecture notes and course information
at any time, the potential for paper wastage and lost documents is huge. The university
needs to ensure its printing equipment and software is able to handle large print
volumes efficiently. Fuji Xerox has been the university’s supplier for the last five years,
installing 200 multifunction devices, 70 printers and managing a fully staffed print room.
When the university was looking to upgrade its print solution it seemed natural to look to
the experience of its existing supplier.
“We have a really strong relationship with Fuji Xerox and I worked with them to upgrade
the existing print software. It took the University a while to decide but we ended up
going with the Equitrac Office system,” says Janet Hunt, client services manager at
Victoria University.

best way to improve school processes and
this is the result. It was the smoothest
installation we have ever had and students
are really flexible so there was no problem
with them coming back from holiday with
a new system in place.”
Follow You Printing eliminates the
frustration of students taking each others’
prints by mistake. Unless students run to the
printer to immediately collect their work it
often got lost in the pile. Now if a job is not
collected in 12 hours it is deleted from the
server memory automatically. Students are
therefore only paying for what they print –
something that is quite important when you
are living on a student budget.
“One of the real benefits is that because
students are working at all hours of the day,
they can now direct their printing to where
Equitrac Office 4.1 is a newer version of the university’s existing accounting and print
tracking software. A key feature of the software that attracted the university was Follow
You Printing, an intelligent software component that tracks student prints. Follow You
Printing gives students full control of their print output with two options: to print
immediately to a device of their choice or to print to the Follow You Printing queue
where the document is held on the server for up to 12 hours and can be picked up at the
student’s convenience.
Fuji Xerox assisted Victoria University to upgrade the existing Equitrac Office system
over the semester break and modified the student login scripts. The Follow You Printing
solution is currently running in two floors of the library on approximately 100 computers.
Once students register their magnetic stripe card, they could use it at any multifunction
device in the library.

Smarter efficiencies with
new kiosks
Fuji Xerox has also installed seven kiosks
throughout the University allowing students
to buy printing credits with their EFTPOS
card. These kiosks resulted from Fuji Xerox
including two third-party suppliers—EFTPOS
New Zealand and Equitrac—to provide the
solution. Used like an ATM machine, the
kiosks are aligned with the Equitrac Office
system by a network connection and
integrate with student ID cards. This
permits Victoria University to track student
transactions, print recipients and free up the
person at the helpdesk, all while generating
revenue.
The kiosk solution has also freed up the four
IT support staff who were previously loading

the student ID cards with print credits,
approximately 1,215 manual
transactions per week. These kiosk machines
are exclusive to Fuji Xerox, although they
can integrate with other software with
minimal modification.
As well as benefitting the students and
providing efficient solutions, the Follow
You Printing solution also benefits the
university’s environmental policy. With less
paper being printed, paper wastage is kept
to a minimum.
Victoria University is looking to continue
the roll out of Follow You Printing over the
next year, and Janet doesn’t envision any
problems moving forward with the project.
