System administrators should also read this guide to familiarize themselves with its basic and advanced features. 1.3 How This Guide Is Organized This guide is organized into seven chapters. The beginning chapters introduce the phone and explain how to use the basic features. Later chapters describe advanced phone features, how to customize the phone to suit your needs, and how to troubleshoot any issues. This guide also includes legal and compliance information, and the End User Licensing Agreement (EULA). Dolby® Conference Phone User Guide 1 Introduction 1.4 Conventions Used in This Guide This guide contains terms, writing conventions, and graphical elements. Familiarizing yourself with these terms, elements, and conventions helps you successfully perform tasks. Terms and Writing Conventions The following terms and writing conventions are used in this guide: 1.5 • The phone: This term refers to the Dolby Conference Phone. • Tap: This term refers to touching an item on the screen with your finger and then lifting your finger. • Press: This action refers to depressing a key or pressing a screen item for a second or two. • Press and hold: When you press and hold a screen item, you need to touch the screen for a second or two before lifting your finger. • Tap submenus: This convention describes how to access submenus. If the instructions indicate to tap Settings > Preferences > Clear Personal Data, tap the Settings submenu, tap the Preferences submenu, and then tap the Clear Personal Data submenu. • Select: Selecting an item on the screen refers to tapping the item so that another screen opens. • Scroll: This action describes how to view lists that appear on more than one screen. To scroll through items or lists, touch the screen, and then drag your finger up, down, left, or right. To stop scrolling, stop the dragging motion. • Swipe: This action moves a list of items up, down, left, or right. When you want to scroll quickly, swipe your finger across the screen, either up, down, left, or right. To stop your screen from scrolling, press your finger anywhere on the screen. Touching the screen while it scrolls does not select anything. • Button: This term refers to any physical button on the phone console. Phone buttons include microphone mute and volume up and down. • Held call: This term describes any call that is held. Audio for held calls cannot be heard in both transmit and receive directions. • Active call: This term refers to any call, including conference calls, you are currently in. An active call has audio associated with it. • Action button: This term describes the touchable area that designates the action you can perform on the selected object. • Onscreen keyboard: This term refers to the QWERTY keyboard that displays on the screen, allowing you to enter uppercase and lowercase characters, numbers, and special characters. • Onscreen keypad: This term refers to the keypad—all number keys, the asterisk (*), and the number sign (#)—that displays on the screen, allowing you to enter passcodes or phone numbers. It dramatically improves meetings by letting everyone understand what is being said, easily determine who is speaking, and participate as if they were all in the same room. Some of the key features of the phone include: • Extraordinary audio performance • One‐touch access to BT MeetMe with Dolby Voice service and telephony features • Integration with the Cisco® Unified Communications Manager • Built‐in voice bridge for multiple‐participant conferences in standard IP telephony mode • 480 × 272 pixel graphical color capacitive touch screen featuring single touch and swipe support • Visual LED indicator (blue, green, and red) Before you use your phone, take a few moments to become familiar with its features and user interface. This chapter details phone components, the screen layout of your phone, and how to use the phone touch screen. As a result, some features may not be enabled or may operate differently on your phone. The figures in this guide may not directly reflect what displays or is available on your phone screen. Dolby® Conference Phone User Guide 5 Getting Started with the Dolby Conference Phone Figure 2-1 Dolby Conference Phone Features The following list describes the important phone features: • 2.2 LED halo: Visual indicator with the following meanings: • Blue indicates an active call connection to BT MeetMe with Dolby Voice conferencing service. • Green indicates an active call connection to an IP PBX call. • Red indicates that you are muted. • Mute: Mutes local audio during calls and conferences. The LED halo is red. • Volume up and down keys: Adjust the volume of the speaker and the ringer. • Touch screen: The screen is touch sensitive. Tap to select and highlight screen items. To scroll, touch the screen and swipe your finger up, down, right, or left. • Microphones: The microphones provide 360° and 20 ft (6.1 m) coverage. • Speaker: Provides ringer and phone audio output. Dolby Conference Phone Home Screen When the Dolby Conference Phone is idle—not in an active call or conference—the home screen displays. The following figure shows a sample home screen. Leave onscreen keyboard. 2.5 Using Your Dolby Conference Phone with BT MeetMe with Dolby Voice When you see • • 10 on the phone home screen, you are able to: Perform the following tasks as a meeting participant: • Join a conference • Mute and unmute yourself • Leave a conference Perform the following tasks as a chairperson: • Set up a conference • Manage conferences Dolby® Conference Phone User Guide Using Your Dolby Conference Phone as an IP Conference Phone • Add another participant to a BT conference call • Set another participant as the chairperson • End a conference For instructions on how to perform these tasks, see Chapter 3. 2.6 Using Your Dolby Conference Phone as an IP Conference Phone When you see on the phone home screen, you are able to: • Place a call to a contact reachable by the IP PBX • Forward and transfer calls to another contact in your organization • Merge calls to create a conference call • Manage the local and corporate contact directories • Manage the recent calls list if enabled For instructions on how to perform these tasks, see Chapter 4. Dolby® Conference Phone User Guide 11 Chapter 3 Using Your Dolby Conference Phone with BT MeetMe with Dolby Voice This chapter provides instructions on how to use your Dolby® Conference Phone with BT MeetMe with Dolby Voice® conferencing. Topics in this chapter include: • 3.1 Entering the Activation PIN • Setting Up Personal Mode • Using BT MeetMe with Dolby Voice as a Participant • Using BT MeetMe with Dolby Voice as a Chairperson Entering the Activation PIN If you enter a chairperson or participant passcode and the phone is not activated with BT MeetMe with Dolby Voice, you are prompted to enter the activation PIN. Contact your system administrator for this PIN. To enter the activation PIN: 1. Tap . The activation PIN entry screen displays. Registering... displays while the registration process is proceeding. Activation successful! displays once activation is complete (typically, after one to five seconds). If you enter an incorrect activation PIN, you are prompted to try again. If you feel the activation PIN is correct, contact your system administrator. For troubleshooting issues, see Section 6.6.4. You can now start or join BT MeetMe with Dolby Voice conferences. 3.2 Setting Up Personal Mode The system administrator can set up the Dolby Conference Phone in your office as your personal phone. In Personal mode, your chairperson passcode is saved on the phone, which allows you to start BT MeetMe conferences faster. You can postpone setting up Personal mode to a later time; inthat case you must enter your chairperson passcode to start a conference. In most cases, you must enter a four‐digit PIN to start a conference. If you do not use the phone for a certain period of time, you must enter the four‐digit PIN again to start another conference. Note: If you enter the wrong security PIN three times within five minutes, you are prompted to reset your security PIN and re‐enter your passcode. In Personal mode, you can join any other conference without entering the four‐digit PIN. Topics in this section include: • Setting Up Personal Mode the First Time • Locking Personal Mode Manually For instructions on changing any Personal mode preferences, see Section 5.1.6. 3.2.1 Setting Up Personal Mode the First Time If the system administrator sets up the Dolby Conference Phone in your office as your personal phone, you can securely store your chairperson passcode on it. To set up Personal mode the first time: 1. Tap . The Personal mode setup screen displays. 14 Dolby® Conference Phone User Guide Setting Up Personal Mode Figure 3-2 2. Personal Mode Setup Screen To wait until later to set up Personal mode, tap and continue as shown in Section 3.4.1 at step 2. 3. To set up Personal mode, tap . The create security PIN screen displays. Figure 3-3 Create Security PIN Screen Enter a four‐digit PIN by tapping the appropriate keys. Tap the four keys again to confirm the PIN. Note: To go back to the previous screen from any PIN entry screen, tap . The chairperson passcode entry screen displays. Confirm passcode by re‐entering it. The Personal mode conference options screen displays. Figure 3-5 Personal Mode Conference Options Screen In the future when you tap , you will see the screen shown above, which allows you to choose between starting a BT MeetMe conference with your chairperson passcode or a different chairperson passcode, or joining someone else’s BT MeetMe conference. For another way to set up Personal mode, see Section 5.1.6. 3.2.2 Locking Personal Mode Manually You can lock Personal mode—thereby forcing you to enter the four‐digit security PIN to start a conference with your chairperson passcode. To lock Personal mode: • 16 From the home screen, tap and change Personal mode lock Off/On to On. Dolby® Conference Phone User Guide Using BT MeetMe with Dolby Voice as a Participant To unlock Personal mode: • From the home screen, tap and change Personal mode lock Off/On to Off. You may be prompted to enter your security PIN. 3.3 Using BT MeetMe with Dolby Voice as a Participant If the Dolby Conference Phone is registered and activated, you can use BT MeetMe with Dolby Voice as a participant. If the phone is not activated, you must enter the activation PIN and wait for the activation message to display (see Section 3.1). Topics in this section include: • 3.3.1 Joining Conferences • Muting Yourself • Requesting Operator Assistance • Leaving Conferences Joining Conferences Note: If you have been muted by the chairperson, and then the chairperson leaves the conference, you cannot unmute yourself. Contact the chairperson so they can rejoin the meeting and unmute the meeting or the participant in question. You can easily join a BT MeetMe conference from your Dolby Conference Phone. To join a BT MeetMe conference: 1. Tap . The BT MeetMe conference passcode entry screen displays. 2. Tap in the participant passcode on the onscreen keypad. The chairperson name—the conference host—is shown in the following figure. If you feel the passcode is correct, enter your email address along with your passcode. If you still cannot access your meeting, contact your system administrator. If you are the only participant in the conference for a certain period of time, you are prompted to extend the conference. If you do not answer Yes or No within one minute, the conference is ended. Showing Active Speakers At certain times during the conference—when there is no activity on the BT MeetMe conference screen for 10 seconds, the active speakers screen displays (see Figure 3‐11). Between one and four participants display while they are speaking. Participants are added when they speak and are dropped if they does not speak for one minute. You can still hear all other parties when you mute the microphone. The LED halo is red when activated. To disable mute, press 3.3.3 again. Requesting Operator Assistance If you are having issues with conference call, you can request operator assistance. To request operator assistance: 1. From the BT MeetMe conference screen, tap 2. Tap . . The BT MeetMe conference screen displays again and you can still hear the other participants and can still speak with them. When the operator connects, only you will hear and speak with the operator. The operator will return you to the conference when finished. 3.3.4 Leaving Conferences To leave the conference, tap 20 . Dolby® Conference Phone User Guide Using BT MeetMe with Dolby Voice as a Chairperson 3.4 Using BT MeetMe with Dolby Voice as a Chairperson If the Dolby Conference Phone is registered and activated, you can use BT MeetMe with Dolby Voice as a chairperson. If the phone is not activated, you must enter the activation PIN and wait for the activation message to display (see Section 3.1). This is a breach of security. 3.4.1 Setting Up Conferences You can set up conferences from: • Conference rooms or executive offices, if Personal mode is not enabled • Executive offices, if Personal mode is enabled You can easily start a BT MeetMe conference from your Dolby Conference Phone. If you enter an incorrect passcode, you are prompted to try again. If you feel the passcode is correct, enter your email address along with your passcode. If you still cannot access your meeting, contact your system administrator. For troubleshooting issues like Meeting not found or Service Unavailable, see Section 6.6.4. If you are the only participant in the conference for a certain period of time, you are prompted to extend the conference. If you do not answer Yes or No within one minute, the conference ends. Do one of the following: a. If you want to start a BT MeetMe conference with a different chairperson passcode, or joining someone else’s BT MeetMe conference, tap . Follow the instructions in If Personal Mode is not Enabled from step 2. b. If you want to start a BT MeetMe conference with your chairperson passcode, tap . You may be prompted to enter your security PIN. The conference connecting screen, joining conference screen, and the active BT MeetMe conference screen display in that order. Note: 3.4.2 If you enter the wrong security PIN three times within five minutes, you are prompted to reset your security PIN. Managing Participants You can manage participants from the BT MeetMe conference screen as shown in Figure 3‐20. Topics in this section include: • Muting a Participant • Ejecting a Participant Muting a Participant You can mute participants individually. To mute all participants, see Muting All Participants. Note: If you have muted any participants and you are about to leave the conference, you should unmute those participants; otherwise, they will be left in that state after you leave. Ejecting a Participant You can remove a participant from a BT MeetMe conference. To eject a participant: 1. From the BT MeetMe conference screen (see Figure 3‐16), tap adjacent to the participant that you want to eject. The BT MeetMe Participant actions screen displays (see Figure 3‐17). 2. Tap . The participant is removed from the BT MeetMe conference. No announcement plays on the participant’s phone. 3.4.3 Managing Conferences You can make changes to conferences from the BT MeetMe manage conference screen, shown in Figure 3‐18. Locking Conferences You can lock a conference so no more people will be allowed to join. To lock a conference: 1. From the BT MeetMe conference screen, tap . The BT MeetMe Manage conference screen displays (see Figure 3‐16). 2. Change lock conference Off/On to On. An announcement about the conference being locked plays to all participants. Any participant who tries to join a locked conference will hear an announcement to that effect, and then the call will end. Dolby® Conference Phone User Guide 27 Using Your Dolby Conference Phone with BT MeetMe with Dolby Voice Enabling Do Not Disturb While you are the chairperson on a BT MeetMe conference, you can, by default, answer any incoming IP PBX call. However, once you enable do not disturb, you won’t receive any such calls. Note: This feature is only available if the phone is also configured to IP PBX calls. To enable do not disturb: 1. From the BT MeetMe conference screen, tap . The BT MeetMe Manage conference screen displays (see Figure 3‐16). 2. Change do not disturb Off/On to On. Recording Audio While you are the chairperson on a BT MeetMe conference, you can record the conference. To record the conference audio: 1. From the BT MeetMe conference screen, tap . The BT MeetMe Manage conference screen displays (see Figure 3‐16). 2. Change audio recording Off/On to On. An announcement about the conference being recorded plays to all participants. Once you changes audio recording Off/On to Off, an announcement about the conference not being recorded plays to all participants. Requesting Operator Assistance If you are having issues with conference call, you can request operator assistance. To request operator assistance: 1. From the BT MeetMe conference screen, tap 2. Tap . . The BT MeetMe conference screen displays again and you can still hear the other participants and can still speak with them. When the operator connects, only you will hear and speak with the operator. You must dial their complete phone number, including an international area code. They will be added to the BT MeetMe conference screen, where you can manage them like the other participants. Enter the phone number including the area code. The dialing out to participant message displays. Tap to confirm. The message times out after five seconds. Dolby® Conference Phone User Guide Chapter 4 Using Your Dolby Conference Phone as an IP Conference Phone This chapter provides instructions on how to use your Dolby® Conference Phone as a standard IP conference phone. For example, you can place and answer calls, put calls on hold, forward or transfer calls, enable the do not disturb feature, and set up a conference call by merging an active call and a call on hold together. Topics in this chapter include: 4.1 • Using Basic Features: Placing, answering, holding, and merging calls, and viewing the recent call list • Managing Contacts: Managing your contacts and placing calls from your directories Using Basic Features Now that you are familiar with your phone user interface, you are ready to perform basic phone tasks that you can use on a daily basis. Only one active call—the call that has audio associated with it—can be in progress at any given time. In addition to the active call, your phone may have one other call that is either held, or in an incoming or ringing state. The following figure shows an active call to extension 3105 that has lasted 24 minutes and 29 seconds so far. First, tap . To place a call manually, tap the appropriate digits on the onscreen keypad, and then tap . See Calling from the Keypad. To place a call automatically, tap the recent calls icon or directory icon . For more information on calling from the recent calls list, see Section 4.1.10. For more information on calling from the directory, see Placing Calls to Contacts from Directories. You are allowed a maximum of two active calls at a time. Calling from the Keypad You can place a call by tapping the appropriate digits on the onscreen keypad. To place a call from the keypad: 1. From the home screen, tap 2. Note: 4.1.2 Your system administrator can set up your phone to automatically place a call after you enter a certain number of digits. If the phone does not automatically place the call when you finish entering all digits, you can explicitly tap the phone icon. If the call is placed before you enter all digits, or not placed automatically when you have finished entering all digits, contact your system administrator. Answering Calls All incoming calls display in an incoming call screen. If the call is from a contact in your contact directory, their name displays; otherwise, only the phone number displays, as shown in the following figure. To answer a call when you are not in an active call: • Tap . The LED halo turns green once the call is active. To reject an incoming call: • Tap . To answer a call when you are not in an active call: • If you want to put the active call on hold and answer the incoming call, tap • If you want to end the active call and answer the incoming call, tap Note: . . If you are in an active call and an incoming call arrives, the automatic answer feature is ignored. Using Automatic Answer Your system administrator may set up your phone to automatically answer incoming calls. You will hear one ring before the call is answered. The microphone is automatically muted for all automatically answered calls. To unmute so others can hear you, press . You can also set up your phone to automatically answer incoming calls. To enable automatic answer: • 4.1.3 From the home screen, tap and change the automatic answer Off/On to On. Muting the Microphone Mute the microphone—press —so other parties cannot hear you. You can still hear all other parties when you mute the microphone. The LED halo shows red. To disable mute, press 34 again. The LED halo returns to green. 4.1.5 Merging and Splitting Calls You can set up a conference by merging two calls together—one active call and one call on hold—as shown in the following figure. The two calls are merged, and the screen displays, as shown in the following figure. No additional calls can be made. Figure 4-7 Merged Call Screen To split a conference into two calls: • Tap . The calls are split, with both calls on hold. For example, Figure 4‐8 shows what displays if you look at call A (Sarah Chu). Figure 4-8 Tap Split Call Screen or and then to resume the call that you want continue. The other call remains on hold until you resume or end it. 36 Dolby® Conference Phone User Guide Using Basic Features 4.1.6 Transferring Calls When you transfer a call to another person, tap , and you automatically transfer the call without talking to the other person. This is called a blind transfer. To perform a blind transfer: 1. During a call, tap . The call is not held. 2. On the onscreen keypad screen, enter the number of the person to whom you want to transfer the call and tap Figure 4-9 . Transfer Screen The transfer completes without you speaking with the person on the other end. The home screen displays. 4.1.7 Forwarding Calls You can set up your phone to forward all incoming calls to another person, known as static forwarding, or you can forward a call as your phone rings, known as dynamic forwarding. Your phone will forward calls even if you enable the do not disturb feature. Note: Configuration changes made by the system administrator have a higher priority than changes you make through the user interface of the phone. Any change you make to the forwarding feature may be overridden if the phone reboots. Contact the system administrator if this occurs. Forwarding All Incoming Calls You can set up your phone to forward all incoming calls to another number. The options are: • All Calls: Forward all incoming calls. • No Answer: Forward all unanswered incoming calls. • Busy: Forward all incoming calls if you are already in a call (either an IP PBX call or a BT MeetMe with Dolby Voice call). Enter the appropriate forwarding contact number on the onscreen keypad, and tap Done. The following figure shows how to forward all calls to extension 2345. Figure 4-11 Call Forward Screen 4. Tap . Only the time and date displays on the home screen. 4.1.8 Using Do Not Disturb Enabling do not disturb stops your phone from ringing. All calls you receive while do not disturb is enabled are logged to your recent calls list. When you enable do not disturb: • Do Not Disturb displays on the home screen alternating with the time and date, as shown in the following figure. From the home screen, tap To disable do not disturb: • 4.1.9 and change do not disturb Off/On to Off. From the home screen, tap Ending Calls To end an active call, tap Note: . The LED halo goes off once the call ends. You cannot end a held call until you resume the call. To end a held call, scroll to the held call, tap , and then tap . For more information on held calls, see Section 4.1.4. 4.1.10 Using the Recent Calls List Your phone maintains a recent calls list—a list of missed, received, and placed calls—that holds up to 100 entries. By default, you can see this list; your system administrator, however, can disable its appearance. Note: BT MeetMe with Dolby Voice® conference calls are not added to the recent calls list. From the recent calls list, you can: • View calls. By default, the list displays all call types (missed, placed, and received), with the most recent call displaying first. • Tap a contact to automatically call the person. A count of missed calls displays on the home screen . Once you view the recent calls list, the count is reset. If display of the list is disabled, the count is also disabled. Icons displayed next to a call in the list indicate the call type: 40 • Placed calls • Received calls Dolby® Conference Phone User Guide Managing Contacts • Missed calls To view the recent calls list: From the home screen, tap , and then tap . To delete certain calls from the recent calls list: 1. From the recent call list, scroll through the list to find the desired entry. 2. Tap the entry, and swipe to the left. 3. Tap . A confirmation message displays, confirming that you want to delete the contact. Tap to confirm deletion. To clear out the entire recent calls list as well as all other local data, see Section 5.1.7. To automatically place a call: From the recent call list, scroll through the list to find the desired entry, and then tap the entry. 4.2 Note: If your phone is no longer registered with the IP PBX, your call will not complete. The following message displays: The IP PBX service is not available. Try again later. Note: If you are already in a conference call, your call will not complete. You are allowed a maximum of two active calls at a time. Managing Contacts You can store 100 contacts in your phone contact directory. You can dial and search for contacts in this directory. You may be able to add, edit, and delete contacts. If your system administrator set up corporate directory access on your phone, you may also have read access to portions of your company’s corporate directory. You can search for contacts in the corporate directory and add them to your contact directory. To view the contact directory: • From the home screen, tap . Figure 4-14 Directory Screen From your contact directory, scroll to view contacts or enter search criteria to find one. The search results will include a search through your organization’s corporate directory and are sorted by last name. A message displays if there are no local contacts or no local search results that match your criteria. Accessing Your Corporate Directory You can confirm that your system administrator set up corporate directory access on your phone by checking its connection status. To check the LDAP server status: • From the home screen, tap > > Status > Network > Directory Server, and verify that the status is Configured. Any directory search will now search through the corporate directory as well as the contact directory. Note: 42 Each time you return to the directory, only the local contacts display. Dolby® Conference Phone User Guide Managing Contacts Adding Contacts to Your Contact Directory You can add contacts to the contact directory in the following ways: • Adding Contacts Manually • Adding Contacts from the Recent Calls List • Adding Contacts from Your Corporate Directory Adding Contacts Manually You can add contacts to the contact directory. Caution: Do not store the BT MeetMe with Dolby Voice chairperson meeting code (described in Section 3.4) in the contact directory. This is a breach of security. To add a contact manually: 1. From the home screen, tap . The directories screen displays, as shown in Figure 4‐14. 2. Tap the add icon . 3. From the add contact screen, enter the contact information on the onscreen keypad: a. For First Name, enter the contact’s first name. b. Tap Last Name, and enter the contact’s last name. c. Tap Contact Number, and enter the contact’s phone number. d. Tap . Adding Contacts from the Recent Calls List You can save call information from the recent calls list to your contact directory. To add a contact from the recent calls list: 1. From the home screen, tap , and then tap 2. Scroll through the list to find the desired entry. 3. Tap the entry, and swipe to the left. 4. Tap . Adding Contacts from Your Corporate Directory You can save corporate directory contacts locally. To add a contact from the corporate directory: 1. From the home screen, tap . 2. Scroll through the list or search to find the desired entry. 3. Tap the contact, and swipe to the left. 4. Tap . Only the first name, last name, and phone number are saved. Searching for Contacts When searching for contacts, both your contact directory and your corporate directory are searched. To search for a contact: 1. From the home screen, tap . The directories screen displays, as shown in Figure 4‐14. 2. Tap the search box. 3. Using the onscreen keyboard, enter your search criteria, and tap Search. If an entry exists in both directories, it is presented only once. Note: Local contacts that fit the search criteria appear at the bottom of the search results. Editing Contacts in Your Contact Directory You can update information for local contacts. To edit a contact: 1. From the home screen, tap . 2. Scroll through the list to find the desired entry, or search as described in Searching for Contacts. 3. Tap the contact and swipe to the left. To place a call to a contact in your contact or corporate directory: 1. From the home screen, tap . 2. Scroll through the list to find the desired entry, or search as described in Searching for Contacts. 3. Tap the contact. Dolby® Conference Phone User Guide Chapter 5 Customizing Your Dolby Conference Phone You can customize your Dolby® Conference Phone by adjusting certain settings (including backlight brightness, time format, and date format) so that it is unique to you. This chapter shows you how to customize your Dolby Conference Phone. Topics include: 5.1 • Configuring User Preferences • Adjusting the Speaker and Ringer Volume • Connecting the Dolby Satellite Microphones Configuring User Preferences To configure the user preferences on the phone, tap > Preferences on the home screen, and then select what you want to customize. The brightness level is normally set at 80% of the maximum level. The backlight turns on automatically with any phone activity (for example, an incoming call or tapping the screen to place a call). The backlight lowers to a 20% level automatically when the phone is not in an active call and has been idle for more than 30 seconds. Any change you make to this setting is persistent. (That is, it remains even if the phone reboots or the software upgrades.) To change the displayed brightness: 1. On the home screen, tap > Preferences. The preferences screen displays. See Figure 5‐1. 2. Swipe the slider control left or right to set the brightness. There is no confirmation for the brightness level change. 5.1.2 Changing the Time Zone You can set the time zone where your phone is located. By default, GMT is selected. To change the time zone: 1. On the home screen, tap > Preferences. The preferences screen displays. See Figure 5‐1. 2. Tap Time zone. The Select time zone screen displays. Figure 5-2 3. The preferences screen displays, showing the time zone change. 48 Dolby® Conference Phone User Guide Configuring User Preferences 5.1.3 Changing the Time Format You can select either a 12‐ or 24‐hour clock. The time format selections may be restricted by the display language (see Section 5.1.5). To change the time format: 1. On the home screen, tap > Preferences. The preferences screen displays. See Figure 5‐1. 2. Tap Time Format. The time format selection screen displays. 3. Tap the desired time format. The preferences screen displays, showing the time format change. 5.1.4 Changing the Date Format You can set the date format on your phone. The date format selections may be restricted by the display language (see Section 5.1.5). To change the date format: 1. On the home screen, tap > Preferences. The preferences screen displays. Dolby® Conference Phone User Guide 49 Customizing Your Dolby Conference Phone 5.1.5 Changing the Language You can change the language that is displayed on your phone. Your language selection may restrict the time and date format selections (see Section 5.1.3 and Section 5.1.4). To change the displayed language: 1. On the home screen, tap > Preferences. The preferences screen displays. See Figure 5‐1. 2. Tap Language. The language selection screen displays. Figure 5-4 3. Language Selection Screen Scroll down until you see the desired language and tap it. For example, if you want to select Korean, scroll down to the end of the list, then select the last selection as shown below. Then the preferences screen displays in the selected language. 50 Dolby® Conference Phone User Guide Configuring User Preferences 5.1.6 Changing Personal Mode Parameters If the system administrator sets up the Dolby Conference Phone in your office as your personal phone, you can change the inactivity timeout, the security PIN, and the chairperson passcode or clear all these parameters. The default time is one hour. The system administrator can also reset the security PIN if you forget it. To change the Personal mode parameters: 1. On the home screen, tap > Preferences. The preferences screen displays. See Figure 5‐1. 2. Tap Personal mode. The Personal mode parameter screen displays. Figure 5-6 3. Personal Mode Parameter Screen Do any of the following: a. To change the inactivity timeout, tap Auto lock timeout. The possible options are five minutes, 20 minutes, one hour (default), two hours, four hours, and eight hours. b. To change the security PIN, tap Change PIN. Enter the current security PIN, then enter the new PIN twice. c. To change the chairperson passcode, tap Change host passcode. Enter the security PIN, then enter the new chairperson passcode twice. d. To clear all Personal mode parameters, tap Clear settings. 5.1.7 Clearing User Data If you were given a phone that was previously used by someone else, you can clear out their personal user data (namely, the recent calls list, the local contact directory, and any user preferences, such as do not disturb and call forward). Dolby® Conference Phone User Guide 51 Customizing Your Dolby Conference Phone To clear out the user data: 1. On the home screen, tap > Preferences. The preferences screen displays. See Figure 5‐1. 2. Tap Clear Personal Data. The clear personal data screen displays, as shown in the following figure. Figure 5-7 5.2 Clear Personal Data 3. Select Clear Recent Calls, Clear Local Contacts, and/or Clear User Preferences. 4. Tap to clear the personal data. Adjusting the Speaker and Ringer Volume To change the volume of what you hear during a call, press you make will persist across all calls. A tone plays when the satellite microphones are plugged in or removed. If there is no tone, contact your system administrator (see Section 6.6.8). Dolby® Conference Phone User Guide 53 Chapter 6 Maintaining and Troubleshooting Your Dolby Conference Phone This chapter contains information to help you maintain your Dolby® Conference Phone and solve any issues you might encounter when you use it. If your Dolby Conference Phone is unable to perform certain tasks, a warning icon displays on the screen. To solve certain issues, your administrator may need to reboot your phone or you may be asked to test phone hardware. This chapter includes information on: • Understanding Error Messages • Viewing the Status Menu • Upgrading the Software on the Dolby Conference Phone • Rebooting the Dolby Conference Phone • Running Diagnostic Tests This chapter also addresses phone issues, likely causes, and corrective actions. See Section 6.6. For support or service, contact your system administrator. 6.1 Understanding Error Messages When your phone is unable to perform certain tasks, a warning icon, , displays in the status bar. The warning icon lets you know that your phone has one or more important issues. You can view more about the issues from the Status screen by tapping the warning icon. Contact your system administrator with the following information: • Error message text • The connection shown as red on the Status screen if appropriate • Your phone IP address, the address of the provisioning server, the connectivity status of the LDAP server, the connectivity status of the BT Conferencing server, and statistics on packets sent and received since last boot. Tap Dolby® Conference Phone User Guide > , and then 55 Maintaining and Troubleshooting Your Dolby Conference Phone About > Status > IP Network or Call server or Directory server or Conference registration. • Your phone MAC address, the phone serial number, the software version, the DSP version, the hardware part number, and the name of the configuration files in use. Tap > • 6.2 , and then About > General. A description of the issue being experienced that includes: • Any observed symptoms • Any obvious triggers (what were you doing right before the error message displayed) • If the issue was reproducible (does it happen every time you perform a certain task or at certain times) • How widespread the issue appears to be (just affecting you or are others near you also having this issue) • Any other information you have that might assist in understanding the issue Viewing the Status Menu Tap on the home screen, and then tap and About > Status to view the status menu. Scroll to one of the status menu items, and tap the desired item. For an explanation of each menu item,contact your system administrator. On the Status menu shown in Figure 6‐1, you can see the status— or —of the connections between the phone and the following: 56 • DHCP server • Provisioning server • Call server • Directory server • Conferencing registration • Network time synchronization • IP network • CA certificates • Log file upload • Dolby® Satellite Microphones • Software update (if an error occurred when downloading the image or you ignored the request) Dolby® Conference Phone User Guide Upgrading the Software on the Dolby Conference Phone Figure 6-1 6.3 System Status Screen Upgrading the Software on the Dolby Conference Phone You may be prompted to confirm the software upgrade operation. Tap Update or Skip. If you do not respond within 20 seconds, the upgrade goes ahead anyway. The software update will take between 10 and 15 minutes. If you tap Skip, the home screen displays with . Tapping on allows you to see the Status menu.Tap Software update > Upgrade to perform the software update. 6.4 Rebooting the Dolby Conference Phone Your system administrator may ask you to reboot your phone if your phone malfunctions or to assist in troubleshooting. Note: Before you reboot your phone, contact your system administrator. If your phone is malfunctioning, you may be able to restore normal operation without rebooting it. In addition, your administrator may want to troubleshoot your phone before you reboot it. The recent calls list is automatically cleared when you reboot the phone. To reboot the phone: 1. From the home screen, tap and then tap and Reboot Phone. The message Reboot the phone? displays. 2. If you still want to reboot the phone, tap . The reboot process begins. The process ends when the home screen displays. Dolby® Conference Phone User Guide 57 Maintaining and Troubleshooting Your Dolby Conference Phone 6.5 Running Diagnostic Tests Your system administrator may ask you to access a diagnostics menu on your phone to test your phone hardware or check the network connection. You can test the phone microphones, satellite microphones if connected, speaker, keys, display, touch screen, and LEDs. You can view the phone communication status with external systems. To test your phone hardware: 1. From the home screen, tap > , and then Status > Diagnostics > Test Hardware. 2. From the test hardware screen, tap one of the following: • LED: Test the LED halo on the phone. • Keys: Press the three keys, one by one. • Touch screen: Test the touch screen response area. • Speakers: Test the speakers. • Microphones: Test the phone microphones. If satellite microphones are connected, they are also testable. 3. 6.6 Follow the instructions on the screen. Phone Issues and Solutions This section addresses phone issues, likely causes, and corrective actions. Issues are grouped as follows: 6.6.1 • Power Issues • Hardware Issues • IP PBX Calling Issues • BT Conferencing Calling Issues • Audio Issues • Software Update Issues • Corporate Directory Issues • Dolby Satellite Microphone Issues Power Issues The following table describes possible solutions to power issues. Table 6-1 Troubleshooting Power Issues Issue The phone has power issues, or the phone has no power. Solution Determine if the problem is caused by the phone, the AC outlet, or the Power over Ethernet (PoE) switch. Do one of the following: • If using PoE, verify that the port is a PoE port and not just a regular Ethernet port. • If using a power injector, verify that the injector is plugged into a functional AC outlet. • Verify that no lights illuminate on the unit when it is powered up. 58 Dolby® Conference Phone User Guide Phone Issues and Solutions 6.6.2 Hardware Issues The following table describes possible solutions to several hardware issues. For all returns of defective equipment, please provide a full technical report describing the defect. This information will allow a comprehensive repair to be carried out in a timely manner. If multiple items are being returned, each line item must have a separate RMA asset number and a separate description or defect code. Multiple assets may be returned under one blanket RMA number. Extended Warranty And Premium Service In addition to the Limited Warranty above, applicable Dolby products may include additional hardware warranty and/or software maintenance with purchase as defined in the applicable Policy. For a list of products that include this additional hardware warranty and software maintenance and a description of the hardware warranty and software maintenance policy, please review the Software Maintenance and Extended Warranty Policy (for hardware products) or Software Maintenance Policy (for software‐only products). The parties agree that the UN Convention for the International Sale of Goods will have no force or effect on these terms and conditions. Software License If any product purchased includes software, such software shall be subject to the license agreement accompanying such software. If applicable, this software is commercial computer software developed exclusively at private expense, and is provided to the US government only as commercial computer software (with ʺRestricted Rights,ʺ as applicable). Use, duplication, and disclosure by civilian agencies of the US government shall be in accordance with the terms of this Agreement and FAR 52.227‐19(b), or its current equivalent. Consistent with DFARS 227.7202 or its current equivalent, use, duplication, and disclosure by DOD agencies is subject solely to the terms of this Agreement. Product End Of Life Information Dolby products have been designed and built to give many years of service. When such products eventually reach the end of their serviceable life, they should be disposed of in accordance with local or international legislation. Safety, Compliance, and Disposal Information Part 15 FCC Rules This device complies with Part 15 of the FCC Rules. Operation is subject to the following two conditions: (1) this device may not cause harmful interference, and (2) this device must accept any interference received, including interference that may cause undesired operation. Dolby may modify this End User License Agreement: (A) immediately in any way which does not reduce or degrade Reseller’s rights or benefits pursuant to the policy or (B) in all other instances, on forty five (45) days written notice; provided, however, that the End User License Agreement in effect at the time of the sale of any Product unit shall continue to govern such Product unit. REPRESENTATIONS AND WARRANTIES. 5.1 You represent, warrant, and covenant that your use of the Software will at all times comply with the terms of this EULA, applicable laws and regulations and that you will not install, use, access, or run the Software for purposes other than using the Dolby Conference Phone or if applicable, accessing the conferencing services provided under the Parent Agreement. 5.2 Dolby represents and warrants that (a) it owns or has the right to license the Software and (b) that the Software is complete, correct, effective, and capable of meeting the specifications included in the documentation, if any, provided under the Parent Agreement. Your sole remedy for breach of the foregoing representation in Section 5.2(b) shall be Dolbyʹs commercially reasonable efforts to redeliver the affected Software. 6. DISCLAIMER OF WARRANTIES. The Software contains the following open source components and such other third party components, subject to the applicable licensing terms and conditions.
