HOW TO: Schedule a Group to Volunteer Please take note: • • • Groups must schedule at least 5 days in advance. We schedule shifts a maximum of 4 months in advance. Once you reserve a shift, we will send you an email with important information and instructions for your next steps. If you don’t see it in your inbox within a few minutes, check your Spam or Junk folder. LOGIN FIRST TIME USING OFB's NEW SYSTEM • Click "create a profile" on the green bar Complete all the required fields Click the Save button ALREADY HAVE A PROFILE? • Click "login here” on the green bar • Enter your Username and Password and click Login • • SELECT A SHIFT • Use the Calendar Filter to narrow your search. • • • Scroll down the Calendar page to see all the available volunteer shifts. Use the arrow buttons (< >) to navigate to different months. In the calendar listing look for an “Available to Groups:” number that is equal to or larger than the size of your group. If you group is too large, go back to the Calendar and search again. • • • Click on a specific shift to read description and requirements, and to sign up your group. Be careful to select the correct location and check age restrictions for shift type. Click the “Group Sign-Up” button at bottom of page. If you don’t see a “Group Sign-up” button, then that shift is not available for Groups to sign up. You will be prompted to Login or Create a New Profile if you have not already done so. • • After you login/create a profile, you’ll be prompted to select your group registration method. GROUP REGISTRATION • • • Fill in your group information in the Group Info area: o Select ‘Group Type’ o If you’ve selected Service/Community Group: • Search for your Service Organization, e.g. Boy Scouts of America; Girl Scouts of USA • Select age range if you are bringing a youth group • If your organization isn’t listed, click the “Don’t see your organization? Click here to add” button and enter the name. o If you’ve selected Corporate Group: • Click Search and enter the name of your corporation or organization, then select. • If your organization isn’t listed, click the “Don’t see your organization? Click here to add” button and enter the name. o Type in your Group Name, e.g. “BSA Troop 423”, “Girl Scout Troop 423”, “Corporate Marketing”, “Wilson Family”, etc. Fill in the required fields in the Shift Registration area o Expected group size (overestimate to make sure you have space for everyone) o Onsite contact information, if you won’t be coming to the shift o Click Submit If you selected the Online Roster method, the next page will be List of Attendees o You can start entering First and Last names immediately, or you can do that later. CONFIRMATION • Once you have completed registration you will receive an auto email. Check to make sure shift Information is correct. If you accidentally selected the wrong shift, you will need to cancel the shift and start over. See instructions below for canceling a shift. GROUP MEMBER REGISTRATION • • • • Are you attending? If you’ll be coming with the group you scheduled, you will also need to register. Use the same registration method that you selected for your group. If you selected to invite your volunteers with an email, forward the link to your group members. This web link will be in the email we send you, and you can also find it by logging into your profile, click on ‘my groups’, ‘Manage Existing Shifts’, and ‘Invite More Volunteers’. Each group member will need to click the link which will take them directly to the shift you reserved for them. They can log in, or create a brief profile if this is their first time on the site. After that they will see the Opportunity Information where they will click the Sign Up button. If they are successful, they will get a message that says, “Thanks for registering!”. Keep track of who has registered by logging into your profile and selecting ‘my groups’, ‘Manage Existing Shifts’, ‘Group Members’. The members who are registered with the web link will be listed in the top half of the window, under “Volunteers that signed up via the shift link.” The bottom half of the window will list volunteers that are registered by the Group Leader. Registration closes 3 days before your shift. Any unfilled spots will be released and opened to the public, so make sure everyone is registered; the sooner, the better! Once you’re logged in, check out the features in your account on the green bar: • • • • my profile: here you can view and edit your personal/individual profile information. my groups: helps you manage all the groups you schedule. From here you will be able to change the size of your group, add group members to your roster or find the link to invite group members, edit the group information and cancel the group shift. upcoming shifts: lists the shifts you have signed up for as an individual or as a group member. If you have registered a group but have not used the link to sign up as a group member, you won’t see the shift listed under “upcoming shifts” but it will be listed in “my groups” service history: is where you can view your historical total volunteer hours. Other important things to note: • • • If you will not be coming with the group you register, please enter the name and contact information for the onsite contact. This can be done during sign-up as part of the Shift Registration information, or after registering the group go to ‘my groups’, ‘Manage Existing Shifts’, and then ‘Edit Group’. If you need to cancel a group shift, go to ‘my groups’ on the green bar, click the ‘Manage Existing Shifts’ button next to the shift you want to cancel, and click the Cancel Shift button.
