3 Communications 101
The basic responsibilities of a CVP include... ● Pictures ● Slideshows ● Board Meeting Minutes ● Social Media * ● Merchandise * ● Newsletters ● Flyers * ● Promo Videos * ● Phone Calls ● Emails * It is vital that you collaborate and get approval from your advisor before posting or creating anything You are in charge of making sure all TYG members stay informed and up to date!! 4 Network Goals
My goal is to support a cohesive group of individuals that collaborate to solve problems and set the precedent for communication throughout the region. TYG: 1. 2. Personal: 1. 2. 5 So What's Communications Anyway?
Effective Communication: Communications is more than just exchanging information. It's about understanding the emotion and intentions behind the information. Effective communication is a twoway street: It’s not only how you convey a message so that it is received and understood by someone in exactly the way you intended, it’s also how you listen to gain the full meaning of what’s being said and to make the other person feel heard and understood. How to Communicate… Technology Aside: ●Form a relationship and find things in common! ●Good conversation starters: “What are you currently binge watching on netflix?” “Moes or Chipotle?” “What is your favorite sports team?” “What does your name mean?” ●Make the other person the subject of the conversation ●Be approachable, friendly, and confident ●Relate future events to their interests ●Show you care, give them all of your attention (put your cell phone away) ●Always exchange contact so you can stay connected ●Don’t forget about phone calls! Hearing someone's voice is much more personal than a text message 6 The Flow of Communication
“You can have brilliant ideas, but if you can’t get them across, your ideas won’t get anywhere.” Lee Iacocca
7 You and Your Advisor
As CVP, it is vital to be in constant communication with your advisor and you will work as a team throughout the year! Remember: You control the message that your TYG sends out to the world!
Whether it is a post on facebook, or merchandise you design, your advisor must approve everything. You not only represent yourself and your TYG, but also your advisor, clergy, and entire congregation. It is crucial to make sure all
social media posts, merchandise designs, flyers, music, and videos
have been approved by your advisor. Something that is posted on the internet can be accessed forever, so always be careful on what you post. Overall, you and your advisor will become best friends this year! 8 Working with other TYGs
Our region is lucky enough to have over 30 TYGs… utilize these resources! Although our NFTYSTR doesn’t have official subregions, there are a number of TYGs that are located in close proximity to each other. A goal of mine this year to to facilitate collaboration and communication within the TYGs of our region. ❏ CrossTYG Promotion: With permission from your advisor and the other TYG,

post about other events in your area that your members might be interested! ❏ Participate in other TYG’s push week: Just because one TYG is doing a social media push before a registration deadline, everyone can still participate in that push week! ❏ On Twitter: Always try to retweet and like tweets from other temples and our regional accounts! ❏ On the regional accounts, I will always feature TYG accounts and special announcements or events! Time to meet in subregions! Exchange contact information and discuss the following questions: 1. What strengths does one TYG have that my TYG can benefit from and vice versa? 2. How can we utilize social media to connect to other TYGs? 3. How can collaborating with TYGs that are close together benefit the region as a whole?
9 Photography
One of the most important parts of being CVP is taking pictures. It is your job to capture all of the moments that make your youth group so special! ● An expensive camera is not required, but be sure you are familiar with your camera ● Always be sure to have enough battery and storage on your camera ● Always be ready to snap a picture!! ● Having too many pictures is much better than not having enough ● Be sure to take pictures of everyone at the event, not just a certain group of people ● Make sure the pictures are high quality (good lighting, not blurry, enough headroom etc.) ● Take group pictures at every event ● Make sure that the pictures are accessible to everyone (create Facebook album or a FLICKR) ● Be sure to always be prepared (back up camera or charger) ● Candids, Candids, Candids!! ● P.S. No tongues! Good Examples:

Bad Examples: 10 Slideshows Once you have collected all the pictures from the event… it is time to show them off! Slideshows are a great tool to look back on all of the amazing memories from your TYG throughout the year! ➔ From your camera, upload all of the pictures to your computer ➔Create an album of all the all the pictures you want t
o use, and make sure everyone is featured! ➔ Upload the album to the program you are going to use to make the slideshow (ex: iMovie, Powerpoint, Windows Live Movie Maker) ➔ Organize the pictures in the order that you wish to present them ➔ Add special effects/transitions to make the slideshow more fun and aesthetically pleasing ➔ Choose upbeat music to accompany the pictures ➔ Be sure to check ALL photos/captions/music before hand to make sure they are appropriate! Get them approved by your advisor. Slideshows can also be used as a promotion tool to show how great your TYG is! 11 The Basics of Social Media
Utilizing social media platforms is an amazing way to connect and communicate within or outside your TYG! It’s quick, easy, and gets the message across to almost everyone instantly! **Make sure all posts are appropriate** Facebook: ● Create a group off all TYG members and parents to post updates on kallahs and TYG events ● Upload mass amounts of photos in an album at once ● Not all teens check Facebook so don’t only rely on it ● Check the security parameters to comply with your congregation Instagram: ● Feature photos from regional and TYG events ● Always post electronic flyers for events ● Post for push weeks!! (A flood of social media posts before a deadline) ● Always use hashtags to create a collective group of photos (#STRLLTI16, #strscrapbook, #JAMTY) Twitter: ● Quick updates and reminders ● Favorite and share the regional tweets and follow @NFTY_STR @STR_KVP ● Interact with TYG members/other TYGs/regional accounts ● Short and sweet messages ● Live tweet during events! 12 Flyers
Flyers are an essential essential part of communicating TYG events to your members. Flyers must have… ➢ Who, what, where, when, why!! ➢ TYG Name ➢ Explanation of event ➢ Date and Time ➢ How to RSVP for the event ➢ Contact person for questions ➢ Cost ➢ Any extra items participants might have to bring 13 Taking Minutes
One of your main tasks this year is to take minutes during board meetings. This is basically just taking notes of what was discussed and who said it. Your notes keep all board members updated and on the same page! ❖ Date them and include time started and finished ❖ Record attendance; take roll call in gavel order ❖ Bold
or
highlight
the very important tasks or dates ❖ Always include who, what, where, when ❖
Make them easy to read (outline format) ❖ Mention past and future events and deadlines ❖ It’s okay to be a little unorganized during the meeting! Be sure to go back and organize your notes before sending them out to your board but first get them approved by your advisor! ❖ Email them to the board members and your or post them in your group ASAP! ❖ Google Docs is a great tool to use! 14 Merchandise
Merchandise is a great way to show off TYG pride! The task of creating a TYG shirt, plus other clothing items and products are a major part of the CVPs role! Get creative and have fun! ★ Don’t limit yourself to just tshirts! Some temples don’t create yearly tshirts and that is perfectly okay! Other merchandise items are: water bottles, drawstring backpacks, hats, stickers and anything else you can think of! ★ Ask your TYG members what they want, and let them have input on the design! (Create a poll on facebook or twitter) ★ Keep merchandise creative yet simple. ★ Be sure to include your TYG name! ★ Use merchandise as a tool for fundraising! ★ Be creative! ★ www.customink.com
is a great tool eqipped with different clothing options, colors, and pictures to choose from. Use this space to draw any logos, fonts, slogans, mascots or small designs that you may want to incorporate in your merchandise! 15 16 MCVP 4 EVER
Of course every position is important, but you will be working especially close with your MVP this year. A huge part of CVP is recruiting members and keeping them engaged, which falls hand in hand with the MVP. Following through and following up ● Empowering participants who are interested ● Be inviting/personable ● Understand the .participant’s self interest ● Make sure participants are engaged ● Say you want to see them at the next event!! ● Show you actually care, ask their opinion. ● Make members feel wanted and included ● Inform parents about upcoming events ● Be calm and enthusiastic. Communication systems ● Phone Trees A tree like setup that branches out and connects different people together to form group chats with friends or active participants. ● Color Wheel A spreadsheet of all the members in a TYG with a color associated with each person. For each event, a different board member has the responsibility of contacting a different color set. This makes calls more natural and board members contact different people for every event. (From Cara Steinberg, NFTYSTR CVP 20152016) 17 Being a Good Board Member
You are now a part of a team and need to be a team player! It is essential to collaborate with not only your TYG board but your advisor to ensure an extremely successful year!! Do: Don’t: ➔ Always be approachable to all members of your TYG ➔ Be flexible!! ➔ Stay open minded and be accepting of everyone’s ideas ➔ Keep track of important dates and events ➔ Always check social media and stay active on all the accounts ➔ Set an example for the members of your TYG ➔ Build a bridge between your TYG and NFTYSTR ➔ Get everything approved by your advisor! ➔ Procrastinate and miss deadlines ➔ Post anything inappropriate on social media ➔ Point fingers and blame individuals ➔ Make commitments that you know you won’t be able to honor *You are a
board member
before you are your position!* As CVP, you are the glue that holds everyone together and you need to make sure there is constant communication among your board, advisor, and TYG members! 18 Best Wishes
You should now have all of the tools you need to be an amazing TYG CVP over the next year! I know you are more than capable for doing not only amazing things for you TYG but for our region! I can’t emphasize this enough… I am always here for you!! Weather you have a question about merch or just need a friend to talk to, please don’t hesitate to reach out! Also, the entire CVP family will be in constant communication throughout the year, so you won’t be able to forget about me! I can’t wait to start this journey together!
