NBBC/NEBC/NSBC Committee Role Descriptions The Chairman Keeping up to date on Badminton Laws and new initiatives, briefing/informing the committee of these as appropriate Act as the main representative for the Badminton Club To chair and control the meetings of the management committee Consult with the secretary on the content of the agenda and minutes of meeting Oversee decisions made by the committees Ensure that all committee members understand their roles and fulfil these to the benefit of the club Ensure the overall running of the club goes as smoothly as possible To be involved, where appropriate, in the co-ordination of club activities In conjunction with the secretary present the annual report Deal with any escalated problems or complications Introduce new and innovative ideas and implement them in order to benefit the members and the club as a whole e.g. this year we introduced the pegboard system Help the treasurer(s) plan the yearly budget Discuss strategy with the treasurer(s) on the use and investment of club funds Organising trips to badminton events Implement policies and procedures which protect the club(s) longevity Look after the web-site, keeping it updated Other duties agreed by the Committee NBBC/NEBC/NSBC Committee Role Descriptions 1 The secretary Requesting agenda items and issuing agendas for committee meetings 4 weeks prior to each event Taking notes at all meetings Producing minutes of committee meetings and publishing within 7 days Assumes overall responsibility for organising and publicising the AGM(s) Collating annual insurance from treasurers and submitting to Badminton England. Checking daily for emails from players and committee members and keeping abreast of all club activities Providing general secretary duties for committee members Manage the administration of the Club Committee and its associated activities To have an understanding of all moving parts of the committee and club and act as a central/pivotal point of contact for queries Pro-active attitude to taking on tasks and offering help to other committee members where required Other duties agreed by the Committee NBBC/NEBC/NSBC Committee Role Descriptions 2 The Administration Officer Maintain a separate nightly record of attendees (for all clubs) Sharing these records with the club treasurers on a monthly basis Distributing this record to committee members every 3 months Liasing with the treasurers / recruitment officer to flag any short falls in membership Arranging cover for absence Providing assistance at general and social events and tournaments Supporting other to other committee members as required Other duties agreed by the Committee NBBC/NEBC/NSBC Committee Role Descriptions 3 The Treasurer(s) Inform new members of costs and how to make subscription payments Monitor incoming payments and investigate/progress any shortfall To keep accurate records of all collection, use and disposal of Club funds and assets to a standard deemed acceptable to an independent auditor. Reconcile attendance record to payments received on the bank statement Settle invoices and other expenses Produce monthly breakdowns of all incoming funds and outgoing expenditure (report 1) Create summary of accounts (report 2) Reports 1 & 2 to be presented at each committee meetings and AGM To ensure that Club funds are used according to Club Rules, and always in the best interests of the members. Ensuring that appropriate security arrangements and practices are in place. Reconcile bank statements and investigate any discrepancies, reporting to the committee. To ensure that Club Accounts are subjected to an annual audit and report from a suitable qualified independent advisor. To assess the Club’s financial health and make a report to the members at the AGM. Manage the club(s) longevity account. Annually transfer surplus funds into the longevity account (up until each club has made a total contribution of 6 months hall hire fees) Other duties agreed by the Committee NBBC/NEBC/NSBC Committee Role Descriptions 4 The Equipment Officer Researching and purchasing all new/replacement/promotional equipment Ensuring all purchases provide best value for money Purchase adequate supplies of shuttlecocks to ensure that at all times each club has a minimum of 4 weeks supply Organisation, maintenance, service and repair of the Club’s equipment e.g. pegboard, storage box, notice board, nets etc. Promote and make goods available for members to purchase, for example racket grips, shuttlecocks, T-shirts and sweatshirts Ensure all information relating to equipment is updated regularly on the club's web-site Other duties agreed by the Committee NBBC/NEBC/NSBC Committee Role Descriptions 5 Recruitment Officer Manage all aspects of recruitment for the 3 clubs Maintain a waiting list for replacement members Recommend new members to clubs within 4 weeks of vacancy arising Liaise with new members and agree 1st night of attendance Assess new members ability and decide if they meet intermediate standard Create and maintain record of all members, plus emergency telephone numbers (copied to committee members on a quarterly basis) Ensure all information relating to recruitment is regularly updated on the club's web-site Other duties agreed by the Committee NBBC/NEBC/NSBC Committee Role Descriptions 6 Social Event Officer To organise social events to bring all club members together in a social setting to enhance relationships with in the club Engage regularly with members to establish preferred social activities To plan and arrange social activities / events (including booking venues, selling tickets and promotion). Minimum 2 social events per year Ensure all information relating to social events is regularly updated on the club's web-site Other duties agreed by the Committee NBBC/NEBC/NSBC Committee Role Descriptions 7 Child Protection Officer(s) Receiving and acting upon any reported concerns. Ensuring all members are familiar with, and adheres to the Child Protection Policy. Ensuring the Policy is implemented and promoted. Promoting best safeguarding practice across all three clubs. Acting as a first point of contact for the Club on issues of Child Protection, both internally, and for members of the public and other external contacts. Representing the key link to statutory agencies (Social Care or Police) during and following formal investigations. Maintaining and updating the policy. Keeping an up-to-date knowledge and understanding of the area of child protection, including attending appropriate training. Ensuring all relevant information around Child Protection is communicated to the Committee Members. Providing guidance on relevant matters to the Committee, and to other members of Club, as appropriate. Securely storing records of any concerns. Advocating the importance of Child Protection to all members, especially new ones. Ensuring that when on leave or absent from the Club for any significant period, that the role of DCPO is suitably covered by another member of the Committee. Other duties agreed by the Committee NBBC/NEBC/NSBC Committee Role Descriptions 8 Team leaders Organise and oversee events of the evening Maintain supply of shuttlecocks to ensure there is always a sufficient stock for each evening. Keep a record of attendance for each evening (this record will need to be provided to Badminton England should an insurance claim be made). Monitor arrival and departure times to ensure members are on site only 10 minutes before and after our contracted times. Report any hall hire issues to the school's facilities manager Manage pegboard system and remove when number of players reduces to 22 Ensure storage box is secure and stored away at the end of each evening Ensure that guests have been registered with the recruitment officer prior to court participation Handle any issues of dispute, referring to the Chairman if required.
