Signage Procedure
In an effort to keep our facilities looking their finest and provide an optimal environment for those wishing to promote their events and programs, the
following procedures have been developed for all Recreational Sports facilities. If you have any questions regarding any of these procedures, please stop
by the marketing offices in the RPAC B188 or email [email protected] and we will be happy to assist you.
Recreational Sports Posting and Literature Distribution Procedures
Postings are defined as: any material that is hung in the facility including facility signage, policy signage, program signage and promotional materials
from external and internal groups.
All postings (including those by program areas and Rec Sports staff) should be submitted through the Rec Sports marketing office. Prime areas of the
facilities have been designated for posting information. Requestors can indicate where they would like an item posted, and the marketing staff will make
every effort to post items where requested. Postings hung without an approval stamp will be removed and discarded.
Distribution of literature (pamphlets, flyers, table tents and brochures) can be accommodated for Rec Sports programs at the Sport Shop, Welcome
Center and on various 22x28 stands throughout the facilities. Literature distribution by non-Ohio State groups (flyers, table tents, brochures, etc.) is
coordinated through the sponsorship area. Inquiries should be directed to the Assistant Director of Sponsorship at (614) 688-4619. First consideration
for space during peak periods will be given to postings for Department of Recreational Sports programs, followed by Student Life unit postings. We will
make every effort to accommodate all requestors.
Postings are for two (2) weeks. Postings will be dated and stamped, and removed upon expiration. Exceptions may be made, at the discretion of the
marketing staff, when space allows for a longer posting period or for promotion of Department of Recreational Sports programs and services.
Signs for posting at any recreation facility should be left at the RPAC Welcome Center, and the marketing staff will post them. Postings are not accepted
at other locations. A total of six flyers (1 for ARC, 1 for JOW, 1 for JON and 3 for RPAC) are accepted for posting in all indoor recreation facilities.
Posting is not available at outdoor facilities.
The following guidelines apply to all postings:
• To ensure the integrity of all surrounding postings, handwritten signs will not be posted.
• As stewards of safe and healthy activity, Rec Sports will not accept advertising that promotes alcohol and tobacco use, sponsored by alcohol
and tobacco companies, or contains the logos and brands of alcohol and tobacco companies.
• The most effective posting size is 8.5 x 11 inches. Oversized items (larger than 8.5 x 11) will be posted as
space allows.
Assurance of quality advertising space:
Postings will be displayed with appropriate and approved materials in all four corners and will not hang off the bulletin board.
For safety, we ask that there will be no postings on facility doors. Suction cups signs are available for the posting of facility hours next to all entrances.
A template has been created and provided to staff members for the creation of emergency signage. Please request all other facility signage from the
marketing area, which has allocated funds to cover these costs. Posting of emergency signage should follow established posting procedures.
Display of large banners in the recreation facilities can be requested through the marketing area. Banners should be printed on banner material and
have grommets for hanging. A location that best conveys the banner message will be determined by the marketing area. Banner posting options may
include above the Welcome Center at the RPAC, the OAC and the ARC Fitness Center. First priority will be given to banners promoting Rec Sports
programs and facilities. Banners for non-Ohio State groups will be coordinated by the sponsorship office.
Outdoor Signage
Posting for temporary events on exterior facility spaces including fencing, staking or any attachment to permanent spaces is not permitted as it is in
violation of the university-wide campus signage and graphic guidelines. The opportunity to hang a banner on the Scarlet Skyway requires completion
of specific steps. Please see below for guidelines.
Scarlet Skyway Banner Hanging
Groups interested in displaying a banner from the Scarlet Skyway will need to take actions outlined below. It is important to provide a nine week
lead time to allow for all approvals and production of materials.
1. Contact the Rec Sports marketing office to determine if space is available for the dates desired at (614) 688-3983.
2. Banners must be affiliated with the Department of Recreational Sports or an event being held at the Recreation and Physical Activity Center
(RPAC).
3. Banners for display must measure 14’x30’ to fit the skyway. The banner must be constructed of heavy weight vinyl (to withstand strong winds),
have reinforced hems and have grommets every 2 feet on the top and bottom. The cost of a full color banner will be approximately $2,000-$3,000
and this cost must be covered by the requesting group.
4. You should now design your banner artwork for submission to the University Campus Graphics Coordinator.
5. All banner requests must have pre-approval from the University Campus Graphics Coordinator. Requestors should follow the steps identified in the
campus signage and graphic guidelines, http://fod.osu.edu/signage/signage.pdf (refer to Page 18). Allow 3-4 weeks for approval.
6. The requesting group should provide written approval from the University Graphics Coordinator to the Rec Sports marketing office at least two
weeks in advance so installation of the banner may be scheduled.
7. Groups should work with an outside source to produce the banner. The Graphics Coordinator or Rec Sports marketing office can provide a list of
suggested vendors. Please allow two weeks for production.
8. The banner should be delivered to the Rec Sports marketing office. Rec Sports is not responsible for lost, stolen or damaged banners. Banners will
be available for pick up one week after the display period ends.
9. The banner will be installed by RecSports staff. Fees will apply for installation ($300) and removal of the banner ($300). There is
a daily charge of $1,000 for display of banners on the Scarlet Skyway. The daily display rate for Ohio State groups and departments
is $500.
