MATERIALS CLASSIFICATION Like most school libraries, the Jolane Library Media Center uses the DEWEY DECIMAL Classification System to organize its books. This system divides NONFICTION (factual) books into ten major categories and assigns a"100" number to each category. Memorize the ten Dewey numbers listed below (Exercise #3). (This will be on your Semester Final) 000 100 200 300 400 General Works Philosophy Religion Social Science Languages 500 600 700 800 900 Science Technology Arts & Recreation Literature Geography & History The Dewey "100's" are further divided to specify the subject of the book within the major divisions. Please see the next page for this breakdown. Familiarize yourself with what is within each of the ten categories. The longer a Dewey Number, the more specifically the subject of the book has been identified. EXAMPLE: Geography & History 900 General History of North America 70 States of Great Basin & Pacific Slope 9 State of Washington .7 BOOK ABOUT HISTORY OF WASHINGTON 979.7 In addition to Dewey Numbers, call LETTERS are used in call numbers to classify materials: NONFICTION DESIGNATIONS (used in addition to the Dewey Number for the subject) REF 921 REF = Reference = Biography (a book about the life of a person) = Reference (Overnight Circulation) FICTION DESIGNATIONS F SC = FICTION (general fiction = stories, novels) = Story Collection FICTION OR NONFICTION DESIGNATIONS PB MAG PROF VC DVD = Paperback = Magazines (Overnight Circulation) = Professional (for teachers) = Video Cassette = DVD CALL NUMBERS When a book is classified, it is assigned a CALL NUMBER which is a Dewey Number or one of the letters from the previous page (like F for Fiction) PLUS the first three letters of the AUTHOR'S LAST NAME (occasionally it will be the first three letters of the Title). The CALL NUMBER goes on the spine of the book and on catalog records identifying the book. SAMPLE CALL NUMBERS: 784.5 BAL REF 808.8 FOR About arts / music (700’s) Author's last name starts with BAL Reference book (overnight checkout) About Literature (800’s) Author's last name starts with FOR SC ANT PB F AND Paperback book and Fiction Author’s last name BUT REMEMBER. . . . 921 BIOGRAPHIES do NOT have the AUTHOR letters added. BIOGRAPHY CALL NUMBER EXAMPLES: 921 PRE (probably about Elvis Presley) 921 KIN (could be about Martin Luther King or Carole King) READING SHELVES • NONFICTION is arranged on the shelf numerically according to call number. Consider the following to be the call numbers on the spines of 6 books. Notice the order they are put in. First they are in order by the number; second they are in order by the second line of letters. 001.53 HYD 001.53 JOH 001.64 TRA 010.9 REP 028.52 AHL 070.4 DEL 070.4 DEL • FICTION is arranged on the shelf alphabetically by author's last name. Several books by the same author are then shelved by title. Be aware of these “rules” related to shelving of Fiction. ü If an author has more than one book, alphabetize by title (ignoring a, an, or the in the title). ü Be aware that many author’s last names begin with the same first 3 letters. Always look at the author’s last name and alphabetize by that, not just the 3 letters of the call number. ü Example: Steinbeck and Stevenson both have the same call number but are alphabetically different. The spine labels would both look like this: F STE CIRCULATING MATERIALS o If a patron has an overdue book or an INACTIVE account alert, DO NOT CHECK OUT ANY LIBRARY MATERIALS to him/her WITHOUT permission from Mrs. Priestley. o Text Books are checked out regardless of overdues, but inform Mrs. Priestley if an account status needs attention. Always notify patron of overdues! o YA alerts require that the patron be in 8 th grade or have written permission on file. LIBRARY BOOKS, MAGAZINES, AND REFERENCE 1. You will be trained in the use of the checkout systemDestiny To check out library material, you need to be on the Library View screen . Select checkout and locate the patron’s record by scanning ID, typing in ID number or typing in last name. Once you have the correct patron record displayed, scan the bar code of the book. VERIFY every step on the screen. 2. Even though the materials are checked out through the computer, you must still stamp date due in the book. BOOKS = 3 weeks REFERENCE MATERIAL & MAGAZINES = 1 day (next school day) NOTE: Only past issues of magazines may be checked out. LIBRARY EQUIPMENT 1. Locate Equipment from appropriate storage area. Flash drives are in the top drawer of Mrs. Priestley’s desk and are checked out overnight only. 2. Locate patron record (teachers check out equipment using the same procedure as all other patrons.) Scan or type in the bar code of the equipment. Loan period is 3 weeks. VIDEOCASSETTES, DVDs, etc. 1. Videocassettes and DVDs are available for teachers only and are stored in the cupboard next to the print cartridges. They are shelved in Dewey Decimal order. 2. Locate patron record. Scan or type bar code on the videocassette. Inform the patron that the video is due back in one week. CHECKING IN MATERIALS 1. Library materials can check in using Library View tab only. 2. Textbooks can check in using Textbook View tab only. 3. Scan the bar code of the books. Listen for the alert tone and be sure barcode has scanned properly before going to next book. 4. Alert tones indicate BOB, YA, Hold, and Lost Books, and patron account issues, all of which require special processing! · A BOB book must be returned to the BOB shelf on the counter. · YA books are shelved behind the circulation area. · Books on hold are placed on the hold shelf with a slip of paper bearing the name of the patron for whom the book is holding and the date of the hold. NOTE: A pink hold notice should be processed and sent to patron DAILY for 35 consecutive school days before the book is removed from hold or until the book is picked up! · When lost books are returned, Mrs. Priestley must be notified in order to clear a patron account 5. Shelve all other books checked in on the circulation cart. 6. Shelve magazines on shelves in the circulation area. PLACING HOLDS 1. Select the Library View tab, Circulation, and then Holds. 2. Enter the student’s last name. 2. Select Add a Hold located in the lower right corner of the screen .To place a hold on an item, you need to know or locate the item’s accurate title. 3. Type in the title of the book. If several are visible, make sure to identify author and select the correct item. 4. Do not change priority unless instructed by the librarian. 5. Save. RENEWING MATERIALS 1. Patrons must have, in their possession, the item they intend to renew. 2. Select the Library View tab, Circulation, and then Renew. 2. Stamp the date due with the new date. PATRON INFORMATION 1. Sometimes patrons want to know what they have checked out or overdue. Select the Library View tab, Circulation, and then Patron Status. 2. Patron Status is the only place that allows viewing of both Text and Library materials concurrently! 3. The Patron Information can be printed by selecting Pintable locted at the bottom right of the screen and then File, Print. SCHEDULING EQUIPMENT FOR A FUTURE DATE If a staff member or student needs to schedule equipment for a future date, have him or her do the scheduling with Mrs. Priestley. SHELVING EACH LIBRARY ASSISTANT IS ASSIGNED A SECTION OF THE LIBRARY INFORMATION CENTER TO SHELVE. BOOKS 1. Learn the Dewey Decimal System of classification. 2. For nonfiction, shelve by Dewey number and author's last nameEXCEPT Biography which is shelved alphabetically by biographee's last name (see label on each biography). 3. Always look at the complete call number of a book. Watch out for spine labels that wrap. 4. If you are shelving fiction, watch out for these two issues: ¨ Two authors can have the same call number because a fiction call number is created by the first 3 letters of the author’s last name. For instance, V.C. Andrews and Greg Anderson would both have the call number “F AND” – be sure you consider the whole last name as you shelve. ¨ If an author has written multiple titles, shelve books alphabetically by title. Be sure to ignore “a, an, the” as you shelve titles. 6. Check your section regularly for correct order and neatness. It is frustrating for patrons to search for books that are out of order. ANSWERING TELEPHONE 1. For an outside call: If Mrs. Priestley is not available to answer their phones, please answer, "Jolane Library Media Center, student speaking. May I help you." 2. For calls on intercom: If Mrs. Priestley is not available to answer their phones, please answer. “Jolane Library Media Center, student speaking”. 3. Carefully take and deliver any messages. COPY POLICY 1. We do not do personal copying for students or copy inappropriate materials. Teachers should use other building copiers for classroom needs. You should not do personal copying without permission 2. When a teacher assigns a research project, he/she will inform us of the need to print documents. 3. If a number has not been specified, we provide a reasonable amount of printed items that cannot be checked out. If something is “checkoutable” it should be checked out rather than copied. 5. Students may appeal to the Librarian for exceptions to this policy.
