Understanding Academic Probation Southeast Missouri State University Harrison College of Business Advising Center January 2012 Who is placed on academic probation? Students are placed on academic probation by the Office of the Registrar at Southeast when their overall grade point average (GPA) is less than a 2.0. Please note financial probation is not the same as academic probation. Any questions regarding financial probation should be addressed to Student Financial Services at 573.651.2253. . Academic Probation Students must earn a minimum 2.0 semester GPA each semester while on probation or they are subject to academic suspension. Overall Grade Point Average (GPA) • Overall GPA includes grades for all 100 level or higher college courses on file (Southeast and any transfer credits). • For example, if a student attended another college in spring 2011 and then attended Southeast in fall 2011, the overall GPA would include all 100 level or higher courses that transferred in from the other university in spring 2011 and SE courses from fall 2011. • A minimum 2.25 overall GPA is required for the Bachelor of Science in Business Administration degree. Semester Grade Point Average (GPA) Semester GPA is calculated with grades earned in 100 level or higher courses that semester. For example, the fall 2011 semester GPA includes only the grades earned in 100 level or higher courses taken in the fall 2011 semester. How do you calculate the semester GPA? • List all courses and letter grade received. • Do not include developmental or lab courses that do not impact your GPA. These courses will have “0” as the first number of the course (such as EN099). • Convert all letter grades into numerical grades using the four-point scale: • A=4 B=3 C=2 D=1 F=0 • Multiply course grade points by credit hours per course. • Total grade points for all credit courses. • Total all credit hours for the semester. • Divide total grade points by total credit hours. • This is your semester GPA. A=4 B=3 C=2 D=1 F=0 How does probation affect enrollment? Students on academic probation are restricted to 12 hours maximum enrollment in the fall and spring semesters and 6 hours maximum summer enrollment. How do I get off academic probation? • Once the overall grade point average is raised to a 2.0 or higher, then the student’s academic standing is changed to “good standing” and the student is no longer on academic probation. • Maximum enrollment is changed back to 18 hours for fall and spring semesters and 12 hours for the summer. How do I raise my GPA? • Repeating courses that you previously completed with a grade of ‘D’ or ‘F’, as the new grade replaces the former grade in your GPA when repeating the same course. • Please note no new hours are earned when repeating a ‘D’, as credit hours were earned for the ‘D’; however, the new grade will replace the former grade in the GPA. • Please check with Student Financial Services at 573.651.2253 regarding hour and GPA requirements if receiving any form of financial aid or scholarships. Suggestions for Increasing and Maintaining GPA • • • • • Attend class consistently Take notes Ask questions and participate in class Visit with faculty during office hours Study outside the classroom in a quiet environment • Use a daily planner • Manage your time wisely • Set goals for yourself continued on next slide Suggestions for Increasing and Maintaining GPA • Locate and use campus resources (such as Learning Assistance Programs, Math Learning Center, and Center for Writing Excellence) • Check course grades at mid-term • If unsure of major, schedule career counseling by calling 651.5093 (free service) Schedule Changes • If you have already enrolled in classes for the upcoming semester, schedule changes may be necessary. • Examples of schedule changes include dropping to 12 hours and/or repeating courses that you completed with a grade of ‘D’ or ‘F’. • Courses may be dropped from your schedule due to lack of prerequisite(s). For example, students who did not earn a grade of ‘C’ or better in MA134 can be dropped from MA139, AC221, and EC215. • Emails or letters are typically sent in January and August to students on probation that need schedule changes. What is academic suspension? Students on probation who do not earn a minimum 2.0 semester GPA each semester while on probation are subject to academic suspension. Students who are placed on academic suspension are not eligible to attend Southeast for one semester (not counting summer). Students can write a letter of appeal. The appeal deadline is listed in the suspension letter mailed to students from the Office of the Registrar. Appeals will be reviewed by a committee and the student will be notified of the outcome of the review. Academic Suspension Continued • Students suspended at the end of a spring semester in May will not be allowed to enroll until the next spring semester. • Students suspended at the end of a fall semester in December will not be allowed to enroll until the next summer semester. • Students suspended at the end of a summer semester in August will not be allowed to enroll until the next spring semester. Academic Disqualification Students who are placed on academic suspension more than once will be disqualified from attending Southeast. They may appeal for readmission to Southeast after a minimum one semester absence. A committee will review the appeal and may readmit the student with specific conditions or deny the readmission of the student. What to do if suspended or disqualified? If possible, it is best to attend a community college and repeat any courses that you earned a grade of ‘D’ or ‘F’ in at Southeast. Information on transfer courses is available at “Transfer Conversion Records” at http://portal.semo.edu (under Public Services). As long as the course transfers in as the same course number taken at Southeast, the new grade will replace the former grade in your overall grade point average. ???Questions???
