Grand Convention Frequently Asked Questions Q: Where is Convention in 2017? A: The 2017 Grand Convention will take place at The Diplomat Beach Resort Hollywood, Curio Collection by Hilton. 3555 South Ocean Drive Hollywood, FL 33019. Q: What are the check in and check out times at the resort? A: The Diplomat Beach Resort check-in time is 4:00 p.m. and check-out time is 12:00 p.m. Q: What is the expected attire? A: Attire is resort casual. You can find a detailed list using the packing checklist available on the website. The best examples can be found by following Alpha Delta Pi on Pinterest. Q: Will there be Alpha Delta Pi items available for purchase on-site? A: Of course! Apparel, jewelry, accessories and more will be made available by Herff Jones, Boutique Greek and other vendors. Q: I am a local sister graduating this year but am not attending Convention. Can I still go through Jewel Degree at Convention? A: Yes, you are more than welcome to go through the ceremony that is offered during Convention. Please contact the Meeting Planner directly to be included on the list. Q: Do I have to pay for parking? A: Yes, Alpha Delta Pi attendees receive a discounted self-parking rate of $13 per day. Valet parking is also available for $18 per day. Flights Q: What airport should I fly into? A: You have the option to fly into two different airports. The Fort Lauderdale/Hollywood International is the closer of the two airports and is about 15 minutes from the resort. The Miami International Airport is about 30 minutes from the resort. We recommend flying into the Fort Lauderdale/Hollywood International Airport. Q: Does the registration fee include airfare? A: The registration fee does not include any transportation to/from Convention, including airfare, mileage, parking or shuttle fee. The Chapter President airfare will be paid for by Alpha Delta Pi International Organization as long as the flight is booked through Canyon Creek, Alpha Delta Pi’s Official Travel Agency. 1 Q: Do I have to book through Canyon Creek for my flight? A: Only Chapter Presidents and International Officers are required to book their flights through Canyon Creek. Registration Q: When will registration be open? A: Registration will be released in March and will close Monday, May 1. A late fee of $150 will be applied if you register after May 1. Q: Does the chapter have to pay for the Chapter President to attend? A: Yes, the chapter should budget to send at least one delegate, typically the Chapter President, to Convention. Q: Our Chapter President cannot attend due to a prior commitment, what should our chapter do? A: You must submit a written request (email, fax or regular postal mail) to Executive Office to change your chapter representative. You will then need to get approval from your Collegiate Province Director and District Team Director. Both approvals will need to be sent to the Meeting Planner at Executive Office. Once all approvals have been received the chapter delegate will register as the Chapter President. Q: I am going to register my Chapter Advisor, do I register her as my guest or should I fill out a separate registration form for her? A: We prefer all attendees submit their own registration form. All Alpha Delta Pi attendees need to have their own registration form submitted through their Pride Online account. Guests are only applicable for anyone who is coming to one event and is not an ADPi, ie husband, boyfriend, mother, friend, etc. Q: The Diplomat Resort and Spa is such a beautiful resort. What if I want to arrive earlier than Wednesday or stay a few days after the closing of Convention? And how much is an additional night? A: What a great idea! You may add on additional nights when completing your registration form. Make sure to indicate the correct check-in/out dates on your registration form. If you don’t indicate the correct check-in/out dates you will have issues checking in at the hotel upon arrival. A room night is $140 including tax. Q: What is my district? A: Use this map to determine which district you live in. Q: Do I reserve my guest room? A: No, all hotel reservations are made through Alpha Delta Pi once a registration form is received. If you contact the hotel directly regarding your hotel room you will be notified that you need to contact Alpha Delta Pi to make any requests. Q: If I pay for a single room can I request 2 double beds? A: Our room block is very tight, you can certainly request to have 2 beds in your guest room, but it will not be guaranteed and will be based on availability. Q: What if I have dietary needs or require special accommodations? A: We are happy to accommodate all needs of our attendees! During registration there will be an option to list those. 2 Q: I will be submitting my registration but don’t know anyone attending, will I have a roommate? A: Yes, anyone who registers for a double room will be assigned a roommate. If you would like to request a roommate, you can do so on your registration form. Otherwise, roommates will be assigned based on the type of attendee. Chapter Presidents will room with another Chapter President. Full time Attendance Q: What is included in the full time registration fee? A: Included in the registration fee is: - A double room Wednesday, Thursday, Friday and Saturday nights - Wednesday dinner, Thursday lunch, Thursday dinner, Friday dinner, Saturday lunch, Saturday dinner - Attendance at all sessions and meetings - All registration materials Q: What about my hotel room? A: The standard full time registration includes a double room. Unless you request a roommate, one will be assigned. If you would like to reserve a single room, you may choose that option on the registration form. Q: As a full time attendee, what do I do when I arrive? A: - Check in at the hotel lobby to receive your room key. You only have to provide your name and ID to the hotel and your reservation will be ready. Bellman tips are not included in the registration fee, so please tip accordingly ($1-$2 per bag). - Visit the Alpha Delta Pi registration desk to receive your tote bag, Convention program, name badge and more. Take time to review the materials so you can prepare yourself for the days ahead. - Stop by the Alpha Delta Pi Foundation Display to pick up and purchase Violets for your Sisters. Part Time Attendance Q: Why do I have to pay the daily registration fee? A: Great question! The daily registration fee covers administrative costs and registration materials. It is required for all part time attendees. Q: I am a local alumna and would like to volunteer. Do I have to pay the daily registration fee? A: We are so thankful that you are volunteering to help out with Convention. Yes, you will pay the daily registration fee when you register, however once you volunteer for 3 hours during Convention, you will be refunded the daily registration fee after Convention for that day. Q: Can a part time attendee who is not a voting delegate attend the business meetings? A: Yes, all Alpha Delta Pi members are welcome to attend the business meetings. Q: As a part time attendee, what do I do when I arrive? A: Alpha Delta Pi attendees receive a discounted self-parking rate of $13 per day. First thing to do is visit the registration desk in the meeting space to receive your tote bag, Convention program, name badge and more. You are then welcome to explore the property, go shopping at Boutique Greek and Herff Jones, visit the Foundation Display to pick up any Violets for My Sisters and network with your sisters! 3 Q: If I wanted to do the daily registration, that would include the general sessions and workshops, but none of the meals, correct? A: That is correct. If you only plan on attending business meetings, workshops and seminars, you only need to pay the daily registration fee. Meals are NOT included. Q: What if I decided I only wanted to attend a few meals, but didn't want to go the general sessions? Would that be an option? A: Of course! If you would like to come to any of the meals, register for the lunch(es) and/or dinner(s) of your choice. The daily registration fee is also required. Q: If I want to attend essentially all of Convention, but I don't need and/or want to stay at the hotel, what should I do? A: You will register using the part time registration and only register for the sessions or meals that you wish to attend. Voting Q: Who needs to get credentialed to be able to vote during Convention? A: Affidavits are required for anyone voting on behalf of a Chapter Advisory Board, House Corporation or Alumnae Association, including both full time and part time attendees. Affidavits are NOT required for International Officers, Chapter Presidents or past Grand Council members. Q: How do I register as a voting delegate? A: When filling out your registration form, you will choose in which capacity you will be attending Convention. This is your chance to register as the voting delegate for your Chapter Advisory Board, Alumnae Association or House Corporation. You will then be emailed in early May by the Convention Marshall to complete your voting affidavit (it must be notarized before arriving to Convention). Make sure your email address is correct on your registration form. Chapter Presidents, International Officers and Past Grand Council members are voting delegates once they submit their registration. Here are a few reminders: - Attendees who would like to participate in the Formal Opening are required to wear an allwhite dress or suit without colored trim and white shoes. No slacks, pant suits or flip flops are permitted. - For all meals and activities jeans or shorts are not permitted. - Bring your casual attire, gym attire and/or swimsuit in order to take advantage of the hotel amenities and Friday free time. - Don't forget your badge! - Use our packing checklist to make sure nothing is forgotten! 4
