No refunds at any time for any reason (medical, personal, or whatever) A one-‐time deferral to next year’s event is available on Race Roster. The event is named 2015 DEFERRAL OF TRAIL ULTRA AT MILLICAN RESERVE. No transfers to another runner. No transfers to a later race. You may transfer to another distance for a fee. Click the TRANSFER REGISTRATION link on the Race Roster race registration page. Race Check In The timing system checks you into the race when you start across the timing mat. Race Check Out All runners who do not finish the race must turn in their chip to the timer or to race staff (not a volunteer) at the finish line. We need to know if a runner leaves the course. We will check the finisher list against the starter list to make sure no one gets left out on the course. Chip Timing Chips on the bib numbers and, for the longer distances, on ankle straps will communicate with the timing system to verify that you started the race, collect loop times, establish your finish time, and verify that you are off the course. You only receive an official time for the race if you have a chip on your person from start to finish. Those timing chips can be sensitive to angle and distance from the reader mats, so don’t put them in a pocket or your hydration belt or your backpack. Wear the bib on the front of your clothing and the ankle band on your ankle even if you stop to change clothes or shoes and socks. Your visible bib will also help the volunteers know what directions to give you for your distance. The photographer will catalog your awesome race photographs based upon your bib number. Please have your bib number visible at all times. When you finish your distance, you are finished. Give us your ankle chip. You won’t need it anymore, but our timing company will. Time Line Thursday • 12:00 – 7:00 pm Friday • 12:00 – 7:00 pm Saturday • 05:30 – 06:30 am • 07:00 am • 07:05 am • 5:40 pm • 10:00 pm Packet Pickup (Brazos Running Company) Packet Pickup (Brazos Running Company) Packet Pickup (Millican Reserve Market Pavilion) 50 mile and 10k Start 50k and 25k Start Cutoff at Parking Lot Aid Station 1 for Final Lap Race Closed Transfers We don’t do transfers in our races. If you are running our race, please register for it yourself. If you registered and aren’t running, don’t give or sell your bib to someone else. It messes up the results for registered runners who finish after that person. That person didn’t agree to our waivers, you did. That person isn’t a guest of the private property we race on; they are a trespasser. Our insurance covers registered runners. Please buy your own entry and race your own race. Entrant Data Our registration system for all of our races is RaceRoster.com. The data they have on you for the race you registered for is as good as what you entered when you registered. Sometimes the NEXT button gets clicked too quick and your birth year is this year instead of the year you were born, or you stopped typing your last name after the first letter, or you clicked the female box when you are a male, or the significant other that you put down as your emergency contact isn’t significant anymore. It happens. It even happens that you can’t remember whether you registered for the race. You can check all of that yourself at the registration website on your participant dashboard. Log in and look at your registration details. If something is incorrect, click the edit link and see if you can fix it. A lot of the fields are set up to allow you to edit them. If you’ve already tried and not been able, then email us at [email protected] and we’ll fix it for you. Shirts We hand out shirts at packet pick up. You get the size shirt that you selected when you filled out the registration. We can’t make swaps at packet pick up. We have to order extra shirts already because the lead-‐time is so long that we have to guess how many of each size will sign up by close of registration. We also can’t order extras in case you don’t like the way the size that you ordered looks. Packet Pickup The packet is your bib number and your race shirt. There are three opportunities to pick up packets. The first two are Thursday and Friday before the race from noon until 7 pm at Brazos Running Company, 1667 Texas Ave S, College Station. All runners who are in town must try to pick up their packet on these two days. The third opportunity will be race morning out at the start area of the course from 5:30 -‐
6:30 am. This pick up is only for runners who are out of town. Experience shows that 75% of those who wait until race morning to pick up wait until 6:25 thinking they are the only ones who will be there. The best way to avoid stress at race-‐day pick up is to pick up during the week. The second best way is to get there early. Our volunteers will do their best to make the line go quickly, but if you get there late you will probably have to wait. Drop Bags There will not be a remote drop bag location. Runners can leave what they want at Aid Station 1 at the start/finish area. • Label your bag, trunk, box, ice chest, or whatever with your name and bib number. • Leave your things in weatherproof containers if that is a concern. There will not be shelter. • Set your things out in the drop bag area prior to the start. • Do not leave loose items with your bag. Secure everything in your containers. • Anything left behind after the racecourse is picked up is donated to charity. Runner Crews Do not assist runners away from the aid stations. All aid stations are accessible to crews by walking. Driving to aid stations is not allowed. Pacers Pacers are allowed on the final lap for the 50 milers. The field is small and will be spread out and lonely and the course will be dark. Runners may have as many pacers as they want, but only one on the trail at a time per registered runner. Pacers may not mule; runners must carry ALL of their own gear. No pacers for any distance shorter than 50 miles. Cutoff The course limit is 15 hours. That is 10 pm Saturday night. This is 18 min/mile pace. No one will be allowed to finish their final lap if they do not reach the start/finish area before 5:40 pm. This is to keep 50 milers from starting the final lap when they are not going quickly enough to finish within the time limit. Runners will NOT be allowed to finish their course on their own after the time limit expires. The race is responsible for our runners and our volunteers so we must be able to establish cut-‐
of times. “Claim Jumpers” 50 milers who have run the 50k and 50k runners who have run the 25k may be included in the results for the lesser distance. However, their names will be listed after those who registered for and ran the 50k and 25k. Medals for running a lesser distance will only be available if there are enough extras after all who registered for the event receive theirs. Course Marking The course markings are wire staff survey flags and survey tape. Everything we can think of has been marked to keep runners on course. Pay attention to the course during daylight hours and bring a good headlamp, as the course is not lit. The moon will be 98% full on March 7 if we are fortunate enough to have a clear night, but there is no lighting on the course. Pay attention to course markings and follow them. Do not depend upon the runner in front of you and follow them. It is the runner’s responsibility to stay on course. Course The course is typical of Post Oak rangeland in South Brazos County. There are stretches of pasture and grassy glades along with a lot of yaupon tangle. The property traverses the high ground between the Navasota and Brazos River watersheds so there are hills, but it isn’t hilly. A big part of the course is a single-‐
track mountain bike trail in the creek beds and yaupon tangle with lots of short steeps and switchbacks. Most creeks are either dry or narrow enough to jump when the weather is nice, but they could be ankle deep and muddy if it rains. Most of the trail is hard-‐pack dirt with occasional stretches of river gravel. There are also a couple of relatively short stretches of gravel roads. Be sure to pay attention to the pre-‐start briefing for any changes on race day. • 50 Mile Course is the 10k loop plus three 24k loops. • 50k Course is two 1k loops at the start and two 24k loops. • 25k Course is one 1k loop at the start and one 24k loop. • 10k Course is one 10k loop. Aid Station Food and Drink The aid stations have the basics – fluids, carbohydrates, and electrolytes. Different aid stations will have different foods. The 10k will pass two aid stations. All the other distances will pass four aid stations. Water, sports drink, flat Coke, potato chips, pretzels, dill pickle spears, boiled potato, soup, M&Ms, Twizzlers, cookies, PB&J sandwiches, quesadillas, bananas, strawberries, and orange slices. If it gets cold, we’ll put out warm food and liquids. If it gets warmer, we’ll put out the cold stuff. Cup Free To reduce the possibility of litter, make our race more sustainable, and respect the natural environment of the Millican Reserve the race will be cup less. We’ll equip our beverage coolers with Hydrapours and each registered runner will receive a Hydrapouch with their packet. The Hydrapour also works with your personal water bottles. For more information visit www.cupfreeracing.com. Port-‐a-‐potties There will be a large bank of potties at the start/finish area. There will be two pairs of potties out on the course roughly 4-‐5 miles apart. If you can’t hold it until you get to one, get well off the trail and cover your cat hole. Awards Trophies for First Place Overall Male and Female at each of the four distances. Certificates given to Second and Third Overall and top three in each age group. Running store gift cards for award winners. Age Groups: U20, 20-‐29, 30-‐39, 40-‐49, 50-‐59, 60-‐69, 70+ Awards handed out shortly after runner finishes. Dogs and Strollers NO DOGS OR STROLLERS allowed anywhere on the course. No exceptions. No Litter We are guests on private property and out with Nature. Don’t spoil it with trash. There will be trashcans at all the aid stations. Keep it clean. Other Trail Etiquette This race is on a trail, not the road. Much of it is on single-‐track trail with no room to pass unless it is given. If someone is behind a runner and would pass them if there were room, pull up and let them by. The easiest way to figure out if this is the case is to ask the person behind if they would like to pass. If they do, let them. If they don’t, enjoy their company. If you come up behind someone and want to pass, just ask. There is a lot going on out there in the woods. The wind blows through the trees. The bees buzz. Birds sing. Rattlesnakes rattle. If you have your ear buds in and the volume cranked up, you will miss all this. You won’t hear that runner coming up behind you or asking to pass. We won’t make you leave the ear buds behind; we just wish you would. There are a few houses in the development. They have no way in or out but the gravel roads we will run on. We’ve asked them to avoid the runners. We ask the runners to be considerate of them.
