Doris briefly explained that she had been in contact with the people from the company Expert
System regarding their Cogito product. The responsible from Suisse Romande will present their
product in a meeting together with Manuel and other representatives from the FAP-AIS group.

2. List of tools and databases for all services
The group created a list of the tools and databases to which MyCERN will need to connect.
The list so far includes:
 AIS applications:
o EDH :
 Contract extension
 Number of pending documents
 Create authorization to drive a CERN vehicle
 Training
 Change of family situation, address,
 Actions on termination sheets for all services
o AIS and other personal reminders
o EDMS
o PRT
o Oracle: person data, (institutes, experiment)
o E-files (Alfresco) (Web services)
o Electronic pool items (BAAN)
o Locks and keys (AIS)
o Short term car rental (AIS)
 ADaMS : Creating and listing access request, validity information of access cards
Requires new interface (to be discussed with IT-DB)
 Radio Protection database: dosimeter request, validity, information
Existing interface to be extended?
 Service Portal, Service Now: operational information about services (example bike rental),
information about open tickets; requires new interface ( available via Web services)
 IT:
o Indico
o IT resources database
o CDS
o Identity portal (service accounts)
o Phonebook
o Push notifications ( all news from CERN home web site, announcements, news
(internal communication)
 HR DB and applications
 Library loans and their reminder system
 Information in admin e-guide
Thomas and Pedro discussed that the main issue would be to put in place a standardized
authorization system and that they should discuss this implementation with the Group Leader of
IT-DB.

3. Resources
Thomas reported that the estimation of necessary resources in IT depend on the level of
involvement, for example if the user’s interface is implemented by IT. His group would see
this as a potential option but it would need to be discussed in their project plan.
Pedro said that the necessary resources depend on the need to implement the interface of
ADaMS with the requested standardized authentication method. This is provided by the ITDB group which so far has not yet implemented it (only basic authentication) He will contact
the Group Leader form IT-DB to discuss this point.
Sotirios reported that the APIs are already in place. The standardized authorization work is
also a big part of the resource estimation. The resources for the integration of their work
with MyCERN are already planned for.
EP: all tools are maintained by AIS and the data resides in the Foundation database
HR: Same as EP.
The group agreed that resources and information will be refined within the next weeks.
Thomas will send an email to Doris listing the resources that needs to be implemented for
the MyCERN website.
Doris would appreciate to have an updated version of the mock-up for the next meeting
which includes the new branding. This is not yet available. Sotirios will meet Fabienne
Landua regarding the branding of MyCERN website.
Regarding the description of procedures Anna pointed out the importance to have a single
source. She and Doris will meet to discuss this subject.
4. Draft Report and actions
Doris gave an overview of the first draft of the Conceptual Design report. Thomas agreed to
handle the part 3.3 The User Interface.
The title 3.7 was changed from “Induction” to “Preboarding for newcomers” on Anna’s
suggestion. Anna agreed to write this part.
Point 4. Doris asked the group members to propose items of possible benefits for users and
CERN Services.
Sotirios proposes that the group should discuss in the next meeting the items that should be
included in the first release of MyCERN and that of the second one.
The proposed release dates were discussed: 1st release 4th quarter of 2017 and 2nd release
2nd quarter of 2018.
