Together we’ll work to build our Model Community of Inspired People at Providence Healthcare Network. 2 • The Spirit of Providence Letter from thePresident I was honored to become Providence’s President and CEO on April 3, 2013. In the past two months, I have experienced a number of significant events at Providence, but none that embody the essence of Providence’s mission and values more than our response to the West fertilizer plant explosion on Wednesday, April 17. That night was an extremely difficult one for those affected by the explosion; many of whom are our own associates and their families. I am proud to say that I witnessed and experienced many incredible things that night, and I continue to be amazed by our Providence family in the days and weeks after. We talk about team and teamwork all the time, but seldom do we experience it on that level. That night, our organization came together not because of our jobs, but because of our love and compassion for others. When explosion victims began arriving at our emergency department, we were assembled and ready. There was no fanfare, no panic and no confusion. To watch you all go into action was a thing of beauty… poetry in motion. Patients were quickly triaged and treated. Displaced nursing home residents were comforted and cared for. That night we treated 87 victims, responded to hundreds of calls and walk-ins of people seeking information about loved ones and launched our social media presence immediately to better communicate with a wider audience. In the midst of all this, God’s love flowed through you all as you interacted with patients, families and each other. The outpouring of support from our Providence family, our community and even from those all over the country in the wake of this tragic event has been overwhelming. People showed up to our hospital to offer to help. Businesses called to donate supplies. Brigham Women’s Hospital in Boston sent pizza to our ER team. Over 300 people showed up to the Providence-hosted Carter BloodCare blood drive the following day, many of them students. Following the tragedy, our associates continued to give of their time by volunteering in West and generously donating their treasure to support our own associates and our other friends and neighbors in West. Over $22,000 was raised from associates and community members who wore Providence’s “Praying for West” T-shirts to demonstrate their support. We gratefully recognize all these selfless acts and appreciate everyone’s desire to lend a hand and make a difference. In a very short time, I have come to love this organization. Your unparalleled response to the needs of our friends and neighbors in West is one of many reasons why. That night, I was proud to be your CEO, but even more importantly, I felt blessed to be your colleague. Thank you for helping to define excellence at Providence. When I heard this designation, I wondered, “Why do we need a year of faith? Shouldn’t every year be a year of faith? Shouldn’t every day be a day of faith?” The answer to these questions comes to me daily when I read the newspaper or listen to the five o’clock news. Stuff happens that simply rattles and tests my faith and I suppose it shakes other people’s faith as well. Central Texas Cancer Network Breast Cancer Program The recent tragedy in West, the violence in Boston, terroristic acts, heinous crimes, natural disasters such as floods, hurricanes, tornadoes, earthquakes, wildfires, etc., not to mention economic and social injustices which persist, all remind us of the imperfect and temporal world in which we live. God made the world perfect “in the beginning”, yet something went wrong somehow. That “something” could be an evil or imperfect influence, which some might call the devil or it could be just the fact that we have free will and we don’t always use it for positive and creative purposes. Now I am not a fatalist or doomsday-er, so I need Faith to help me be aware of the grace, the love and presence of God that perseveres in the midst of the imperfections which often occur in our world. St. Paul wrote that “Where sin is, grace abounds all the more” (Romans 5:20). That is what I need to remember in this year of Faith, grace always abounds all the more. Each of you remind me of this, day in and day out by your cheerfulness, your dedication to love and service of neighbor and your professionalism in the face of difficulty. Day and night you all minister like saints to the sick, the dying, the grieving, the distraught co-worker and you do it with faith, knowing in your hearts that grace abounds all the more. Your light definitely shines, my friends, and your actions remind us all that this is a Year, a Day and a Time of Faith. Blood Drive Results In response to the tragic plant explosion in West, Central Texans rallied together to support our community neighbors. During the April 18 blood drive, over 300 people came to Providence to donate blood. Carter BloodCare was able to sign in 113 people. Of those 113, 98 were whole blood donors. Using the math that each donation can save 3 lives, enough blood was collected to help save almost 300 lives. The generosity of our Central Texas community is one of a kind! Now that’s not unusual since you can see Paulette every morning somewhere on the first floor, cleaning everything! But this day I noticed something different. On top of the piles and piles of trash, there was a book called “When God Speaks to Your Heart.” Itstoppedmeinmytracks—whatagreatupliftingthought:Godspeakstous,eveninthetrashanddiscardsweencounter. Now that happened the day before the tragedy of the West explosion. And as we saw the pictures on the news of all the destruction and all the trash that seemed to be everywhere, I remembered Paulette’s cart and the words “When God Speaks to Your Heart.” Andspeak,Hedid!Weexperiencedthekindnessesofsomanypeople…somanyoffersofhelp,withnoexpectationsofthanksorpublicity—thatis God speaking to our heart. You have been so generous, whether it was direct care that night, continuing care now, donations of needed items, financial donations or whatever was needed. You and associates from across Ascension ministries have given $14,000 for our associates who lost so much. As of this writing $10,000 has already gone directly to those who lost the most. And, at this point, T-shirt sales have raised over $22,000…and you can still show your support for our West neighbors by purchasing shirts! Providence Shows Support to our West Neighbors 6 • The Spirit of Providence The Twelfth Annual Food & Wine Experience was Quite an Experience! by Dave Guyer, CFRE, Vice President, Development; Executive Director, Providence Foundation May, 2013 The Federal HIPAA HITECH rule changes became final March 26, 2013. The following portions of the HIPAA HITECH rule were modified: Breach Notification Enforcement and Civil Monetary Penalties Fundraising/Marketing/Sale of PHI Research Authorizations Individual Rights to Access and Request Restrictions Decedents/Immunizations/Genetic Information Notice of Privacy Practices These changes along with the House bill that was effective September, 2012 by our legislature to state HIPAA laws, increases enforcement and penalties for violations. Some changes will affect how we conduct business with our patients and our business partners. As a result, we have modified the Joint Notice of Privacy Practices (Notice) and our Business Associate agreements (BAA) to reflect the new requirements. The new Notice has been posted at our Network website and we’ve begun to distribute it to our patients. Please check your registration and admission areas for this revised communication. If your Notice does not reflect an effective date of April 3, 2013, it is time to update it. This must also be posted prominently in waiting and admission areas. F ounders Society members who attended the Providence Foundation’s Twelfth Annual Food & Wine Experience on the beautiful spring afternoon of Saturday, April 20th, were certainly treated like VIPs. “That’s because they are!” stated Dave Guyer, Executive Director of the Providence Foundation. “The Food & Wine Experience is one way that the Providence Foundation can express our deep gratitude to these wonderful donors who give so generously to Providence.” The Food & Wine Experience was once again held at the Carleen Bright Arboretum’s White Hall and was beautifully decorated with accents of bright yellow spring flowers and teal tablecloth runners. This year’s chefs included Juanita Barrientos, with Gourmet Gallery, who prepared Goat Cheese Ricotta & Roasted Fruit, KXXV-TV’s Ann Harder, who prepared Debbie’s Savory Salad; Robin Jeep, with Vibrante Café, who prepared Creamy Cashew Kale & Wild Mushroom Sauté; JimQuattrocchi,withSergio’sRestaurant,whopreparedFishVeracruzano;JosephMyers,with the TSTC Culinary Institute, who prepared Three Cheese Chicken Roulande; and Nancy Grayson, with Lula Jane’s Bakery, who prepared her famous pound cake with fudge sauce. To assist in understanding our obligations, I’ve borrowed some case scenarios to stress how easily the law could be violated. Penalties leveraged by the state are in addition to Federal penalties. Texas HB 300 set forth some of the harshest financial penalties in America. Example 1 An EMS worker texts a photo of an MVC with note, “Saw this today,” to his girlfriend at the local volunteer fire department. She recognizes the car, and forwards it to her cousin whose roommate, Jim, was injured in the accident, asking, “Heard your roommate has two broken legs! Is Jim out of ICU yet?” The cousin replies, “He is better, but please pass it on to church to keep him in their prayers.” The cousin also posts a request to “pray for Jim Thompson, who was hurt in a car accident, and is in the hospital,” on Facebook. She puts a note in the “In Our Prayers” box at church with Jim’s name, and that he is recovering from an accident. The pastor announces the prayer request to the congregation of 186 people. In the back of the room is a lawyer, who texts his secretary about Jim’s injuries and asks her to contact him at the hospital regarding his legal representation. continued on page 8 sidebar... The computer contained Protected Health Information (PHI) on 656 individuals. The PHI included names, social security numbers, dates of birth, and medications. In response, the hospital took steps to enforce the requirements of the Business Associate Agreement (BAA). The BA agreed to install encryption software on all their mobile devices, strengthen IT access controls, update security policies, and improve the physical security of their building. In addition, the responsible employee was counseled and all employees received additional security training. HB 300 holds accountable anyone in Texas that comes into contact with PHI. This means that your BAs will be accountable to the provisions of HIPAA and HB 300 unless they have no contact with PHI. Our BAAs were revised to include language requiring business associates to comply with state and federal privacy rules. Civil penalties of $5,000 – $1.5 Million* may be assessed. Many of them volunteered at the recent Champagne Luncheon & Style Show, and several of them even shared their good looks on the runway! Just a few weeks later, another great group of Forum members gave their time to support the Foundation’s Food & Wine Experience. We are quite thankful for the time and effort that the Forum continually puts forth to support Providence. On March 23, Providence Park associates, residents and their families gathered for their annual Easter egg hunt. Resident Glenda Oliver personally stuffed each egg with sweet treats and volunteer Jeff Adcock made a special appearance as the Easter Bunny. Looking for a way to drop extra pounds and get in shape? Try interval training! Interval training combines short bursts of intense activity called intervals, with periods of lower intensity or rest periods. Switching between the two makes your body work harder, burning more calories faster than it would at a steady, moderate pace. If you›re not active now, talk to your doctor before you start an intense exercise program. Below are just a few examples of how to get started on an interval training regimen. Walking or running: Warm up first, then mix short bursts of speed of varying lengths, or sprints into your walk, run, or jog. Those bursts of speed may last 30 seconds to a minute. After each interval, slow down and let your heart rate come back down. Swimming: Swim a length, rest for 30 seconds, swim another length and repeat until you’ve swam six lengths. Two days later, aim for seven lengths with 30 seconds of rest, and so on. Then begin shortening your rest. Eventually you should be able to do 10 lengths with 15 seconds of rest between lengths. Rowing: Row hard for two minutes, then rest for one minute and repeat that cycle 10 times. After two weeks, move up to three-minute intervals with one minute of rest. Palliative Care Corner by Michelle Myers, Palliative Care Coordinator Daniel and Abigail Olmstead, children of Michael Olmstead, Vice President of Long Term Care The Difficult Journey: Maintaining Hope While Preparing for Death W hen a patient is given a terminal diagnosis, hope and comfort are essential for their physical, emotional and spiritual well-being. As caregivers, we have the opportunity to help prepare patients and their families for what lies ahead and help guide them through this very rough terrain. We can help patients set and reach realistic goals, as well as help prepare them for realistic outcomes. Pacing topics with patients and families will be dependent on their unique needs. Careful consideration needs to be taken in regards to both patient and family when engaging in difficult conversations. A good balance of hopeful inspiration and end-of-life preparation can assist with this process. Encouraging strength, hope and quality of life, and placing value on time left are important parts of goal development. The Spirit of Providence • 11 On May 5, the emergency department celebrated the one year anniversary of implementing EMR (electronic medical records) and CPOE (computerized physician order entry). The use of EMR and CPOE allows caregivers to access patient medical data more quickly and helps reduce errors related to poor handwriting or transcription. Thank you to the entire emergency department team for your help in making this transition. Your dedication to excellent patient care is evident! On May 10, you couldn’t help but stop and smell the roses! Begonias, hydrangeas and beautiful arrangements made by our Providence volunteers helped us celebrate Mom this Mother’s Day! Throughout the year, approximately 40 Providence associates serve as pen pals to the 4th grade class at Brook Avenue Elementary. This exercise allows the students to practice creative writing as well as proper spelling, grammar and hand-writing skills. Providence helped the 4th graders celebrate a successful with a luau. The students and their Providence pen pal enjoyed sandwiches provided by our Nutritional Services team and enjoyed games and photo ops in a beach-themed seascape.
